About the application
Merchantile Market is a curated shopping experience that brings together local businesses, makers, artisans, and entrepreneurs for a vibrant community event. Held outdoors (rain or shine), the market features a thoughtfully selected mix of unique products, handcrafted goods, specialty foods, interactive experiences, and local services.
Due to high demand and venue limitations, vendor truck/trailer space is limited.
Applications remain open until all vendor spaces are filled or the application limit is reached, whichever comes first. Vendor applications are reviewed on a rolling, first-come, first-served basis. Participation requires full compliance with all market policies, including setup, safety, and operational requirements.

Terms & Conditions
ONLY COMPLETE THIS APPLICATION IF YOU ARE A FOOD & BEVERAGE VENDOR preparing food or beverages for consumption at the market.
Please use the Standard Vendor Application if you are selling baked goods, pre-packed foods, specialty foods (ie. jam, honey, sauces, seasoning etc).
To be considered, your completed application must include:
- At least 2 photos of the products you plan to sell at the market
- At least 1 photo of your booth display
- Applications submitted without the required photos will not be considered.
- Meet the qualifications as outlined below:
- A well-maintained website or social media presence is preferred.Vendors offering quality products and/or quality services (family friendly).
- Direct selling companies are not currently being considered, including brands like Avon, Mary Kay, Pampered Chef, and Tupperware.
- The following items are strictly prohibited at the market:
- Pharmaceuticals, illegal drugs or drug paraphernalia, alcohol, firearms, ammunition, knives, swords, machetes, live animals, and any products containing profanity, nudity, or pornographic content.
- Department store overstock, liquidation items, returned or visibly damaged goods
- Counterfeit or trademark-infringing merchandise
- Items featuring explicit language, hate symbols, or vulgar content
- Politically charged products that express political affiliations, slogans, party-related statements or controversial items that may disrupt the inclusive nature of our market are also not allowed.
- A limited selection of thoughtfully curated CBD and wellness-related products may be considered. All CBD-related items must comply with applicable laws and must be reviewed and approved in advance to ensure they align with the intentional, community-centered, and curated experience of our market. The Organizer reserves the right to decline any products that do not fit the overall mission, vendor mix, audience, or atmosphere of the event.
Vendor Terms & Conditions
By submitting an application and/or purchasing a vendor space at Merchantile Market, you (“Vendor”) acknowledge that you have read, understood, and agree to the following Terms & Conditions:
Vendor Space & Approval
- Due to venue limitations, only a limited number of trucks and trailers can be accommodated per market. Vendors able to operate within a standard 10’ x 10’ booth are strongly preferred, as this allows for greater participation and an improved overall experience.
- Approval of your application does not guarantee a vendor space. Spaces are only confirmed once full payment has been received.
- All application and vendor fees are non-refundable, non-transferable, and not eligible for future market credits unless otherwise stated.
Food and beverage vendors are responsible for obtaining and maintaining all required permits, licenses, and certifications needed to sell food or beverages. If you are unsure of requirements, please consult Maricopa County for guidance.
Load-In & Setup
Market Hours: Saturday, December 12: 10:00 AM – 5:00 PM & Sunday, December 13: 10:00 AM– 4:00 PM
- Vendor load-in will take place on Saturday, December 12 between 7:00 AM and 9:00 AM.
- Vendors will be assigned a specific arrival window, and detailed load-in instructions will be provided prior to the event. Load-in is staggered between 7:00 AM and 8:30 AM.
To ensure a smooth setup process:
- All items must be moved to your assigned booth space before setup begins; approved vehicles must be relocated immediately after unloading.
- All vendors must complete setup by 9:50 AM.
- Vendors who do not arrive by 9:00 AM a the latest will forfeit their reserved space without refund. Repeated late arrivals may impact future market participation.
Wagons, Carts & Vehicle Access
All vendors must use a wagon or cart to transport items from the designated unloading zone to their booth space inside the Civic Center. Vehicle access is restricted to approved loading and unloading only. All vendors will be assigned loading zones and must cart items into the market area.
Booth Assignment & Setup Requirements
- Booth fees range from $625-$775. All fees will be subject to taxes.
- Vendors are responsible for providing all booth equipment, including canopies, weights, tables, chairs, and displays.
- All 10’ x 10’ booths must include a fire-resistant canopy in white, cream, or an approved branded design.
- Canopies must display a valid fire-resistance label or certificate and may be inspected on-site. Non-compliant canopies will not be permitted.
- Canopy weights are mandatory (minimum 40 lbs per leg). Stakes or ground-penetrating methods are not allowed.
- Final booth assignments will be determined by the Organizer based on operational requirements and the overall needs of the event. Specific placement requests are not guaranteed.
- Booth spaces may be located on grass, gravel, or pavement and may include slight inclines.
- All displays, signage, and merchandise must remain fully within the assigned booth space. Items extending beyond booth boundaries must be corrected immediately upon request.
Overnight Setup Guidelines
10 x 10 Booth Spaces
Weather permitting, vendors may leave booths intact overnight from Saturday to Sunday at their own discretion, though overnight conditions can be unpredictable. Tents left in place must be fully enclosed with zippered or Velcro-attached sidewalls, lowered, and securely weighted at all four corners (minimum 40 lbs per leg; no stakes allowed). Mandatory takedown will be required if wind, rain, storms, or overnight gusts of 15 mph or higher are forecasted or observed.
Food Trucks & Food Trailers
Weather permitting, food trucks and food trailers may remain on-site overnight from Saturday to Sunday. Vendors are responsible for ensuring their vehicle and any equipment are properly secured before leaving for the evening. Any exterior items, signage, tables, tents, or other equipment that could be affected by weather should be removed or securely stored overnight. If severe weather or overnight wind gusts of 15 mph or greater are forecasted or observed, additional safety measures or removal of exterior equipment may be required at the organizer's discretion.
Overnight Security
Overnight security will be present on-site and conducting regular patrols throughout the duration of the event, including between event days. There will be approximately 6 security guards present and will be in charge of a designated area. We are not liable for any lost, stolen, or damaged items left unattended in vendor spaces or on market grounds. By participating in this event, vendors acknowledge and accept responsibility for their own property and inventory outside of official event hours.
IMPORTANT REMINDER: All vendors are strongly encouraged to remove all valuables overnight — including but not limited to cash boxes, electronics, merchandise, and sensitive materials.
Weather Policy
Merchantile Market operates rain or shine. This specific market is at a outdoor venue. In the event the market is canceled or postponed by organizers, vendors may either attend the rescheduled date or receive a credit toward a future market. Refunds will not be issued.
All vendors are required to comply with the Weather & Canopy Policy. Weather-related updates and instructions will be communicated via email, and vendors are responsible for reviewing and following all guidance provided.
Vendor Conduct & Compliance
- Vendors must participate in both days of the market. Single day participation is not permitted.
- All communication regarding the vendor review and approval process, event updates, and event-related inquiries will be conducted through Eventeny. Vendors are responsible for regularly monitoring their Eventeny messages throughout the application process and leading up to the event. To ensure timely responses and accurate recordkeeping, vendors should submit event-related questions and communication through Eventeny rather than email whenever possible.
- Any changes, additions, or expansions to product offerings must be submitted to the Merchantile Market team for review and approval prior to the market.
- Vendors who pack up or leave before the official market closing time will be charged a $50 early breakdown fee and may affect eligibility for future markets.
- Vendors who fail to notify organizers of their absence will be charged a $50 no-show fee and may affect eligibility for future markets.
- You may provide your own generator or Electricity is available for $50, though powered spaces are limited.

All fees will be subject to taxes. Booth Space & Setup - Vendors must provide their own setup, including tables, chairs, displays, and any other necessary equipment. - A 10' x 10' fire-resistant canopy in white, cream, or a branded design is required. - Canopies must be securely weighted on all four legs with a minimum of 40 lbs per leg. Weights must be firmly attached or strapped to the canopy. Stakes or any ground-damaging anchoring methods are prohibited. - For safety reasons, any canopy that is not properly secured may be required to be removed at any time. - Additional 10' × 10' booth spaces may be purchased, subject to availability. - Booth locations may be on grass, gravel, pavement, or slight inclines. Vendors should plan their setup accordingly. - All displays, signage, merchandise, and equipment must remain entirely within the assigned booth space. Items extending beyond booth boundaries must be corrected immediately upon request. - You may provide your own generator or Electricity is available for $50; powered spaces are limited. Please ensure you select the correct space required at the market as we will not be able to make the adjustments after application has been submitted. |
