FlexFest – Food Truck Vendor Overview

FlexFest is a free, all-ages health and wellness festival designed to bring the community together for a high-energy day focused on movement, wellness, and connection. Guests will enjoy live music, interactive wellness vendors, mocktails, fitness experiences, and family-friendly programming in an open-air festival environment. We are currently accepting a limited number of food trucks (maximum of 3 total) to support the event experience while maintaining balance and flow throughout the festival footprint.
ALL FULL SCALE BUSINESSES MUST SPONSOR THE EVENT.

Set-Up:
All food trucks must arrive and be fully set up no later than 10:30 AM. Late arrivals may not be guaranteed placement.

Woodstock Arts Green – Woodstock, GA
Important Placement Note:
All food trucks will be required to remain off the main event green and will be staged in designated perimeter or adjacent areas as assigned by event staff. No vehicles or vendor setups are permitted on the central green space.
Approved Food Truck Categories:
We are looking for vendors that align with a health-conscious, wellness-friendly, or community-focused environment, including but not limited to:
Healthy food options (bowls, wraps, fresh foods, etc.)
Smoothies, juices, and specialty beverages
Coffee and specialty drink trucks
Light bites and globally inspired street food
Fresh, made-to-order casual dining options
All menu items must be appropriate for a family-friendly wellness-focused event.
Please Note:
Limited to 3 food trucks total (strict cap)
Vendors must provide all equipment, power sources, and setup needs
Electricity is not guaranteed
Generators must be approved and safely operated
All vendors must maintain clean, safe, and professional operations at all times

Event Overview:
FlexFest is built around community wellness, positive energy, and accessible health experiences for all ages. The food truck selection is intentionally limited to ensure a balanced experience that complements wellness vendors, mocktails, live DJ entertainment, and interactive activations throughout the day.

TERMS AND CONDITIONS, RELEASE OF LIABILITY, ASSUMPTION OF RISK, INDEMNIFICATION, AND LEGALLY BINDING WAIVER AGREEMENT

Hosted By: Goin’ Social Events (“Organizer”)
This Terms and Conditions, Release of Liability, Assumption of Risk, Indemnification, and Waiver Agreement (“Agreement”) is a legally binding contract between Goin’ Social Events and any participating party, including but not limited to vendors, sponsors, exhibitors, partners, performers, volunteers, contractors, and approved participants (collectively, “Participant”).
By applying, registering, accepting placement, submitting payment, executing a sponsorship agreement, participating in any capacity, or attending or engaging with FlexFest 2026, Participant expressly acknowledges and agrees to be bound by all terms herein.
1. NATURE OF AGREEMENT AND ACCEPTANCE
Participant acknowledges that participation in a large-scale outdoor public festival involves inherent risks, including but not limited to physical, environmental, operational, financial, reputational, and logistical risks.
Participant further acknowledges that this Agreement is intended to allocate risk and limit liability to the fullest extent permitted under the laws of the State of Georgia.
Participation in any capacity shall constitute full, voluntary, knowing, and irrevocable acceptance of all terms, conditions, waivers, releases, and indemnification obligations contained herein.
2. EVENT NATURE AND PUBLIC ENVIRONMENT
Participant acknowledges that FlexFest is a free, all-ages, outdoor public event designed to accommodate large attendance volumes, interactive programming, vendors, sponsors, live entertainment, and community engagement.
Participant understands and accepts that conditions may include, without limitation:
High foot traffic and crowd density
Variable weather conditions including heat, rain, and wind
Loud music, amplified sound, and live performances
Uneven walking surfaces, outdoor terrain, and temporary structures
Interaction with members of the general public, including minors
3. ASSUMPTION OF RISK (INCLUDING BODILY INJURY, ILLNESS, AND PROPERTY DAMAGE)
Participant voluntarily assumes all risks associated with participation in the event, whether known or unknown, including but not limited to:
Slips, trips, falls, or collisions
Crowd-related incidents, congestion, or disorder
Weather-related hazards including heat exhaustion, dehydration, wind, rain, lightning, or extreme temperatures
Equipment failure, electrical exposure, or generator use
Interaction with attendees, staff, vendors, or third parties
Use of tents, displays, staging, or temporary infrastructure
Food, beverage, product handling, or physical activity participation
Exposure to illness or communicable disease
Participant expressly acknowledges that such risks may result in:
Serious bodily injury or permanent disability
Emotional distress or psychological harm
Property damage or loss
Financial loss or economic hardship
Death
Participation is strictly voluntary and undertaken at Participant’s sole risk.
4. RELEASE OF LIABILITY
TO THE MAXIMUM EXTENT PERMITTED UNDER GEORGIA LAW, PARTICIPANT HEREBY RELEASES, WAIVES, DISCHARGES, AND COVENANTS NOT TO SUE GOIN’ SOCIAL EVENTS, WOODSTOCK ARTS, PROPERTY OWNERS, SPONSORS, CONTRACTORS, VOLUNTEERS, SECURITY PERSONNEL, EMPLOYEES, AGENTS, REPRESENTATIVES, AND ALL EVENT AFFILIATES (COLLECTIVELY, “RELEASED PARTIES”) FROM ANY AND ALL CLAIMS ARISING OUT OF OR RELATING TO THE EVENT.
This includes, without limitation:
(a) Bodily Injury or Death
Including injury, illness, disability, emotional distress, or death arising from any cause whatsoever, including negligence or premises conditions.
(b) Property Damage or Loss
Including but not limited to personal property, inventory, equipment, displays, vehicles, or merchandise, whether caused by theft, weather, accident, vandalism, or third parties.
(c) Economic or Financial Loss
Including lost profits, loss of business opportunity, reputational harm, or any consequential or indirect damages.
Participant acknowledges that all participation is at their sole and exclusive risk.
5. INDEMNIFICATION
Participant agrees to defend, indemnify, and hold harmless the Released Parties from and against any and all claims, demands, actions, liabilities, damages, losses, penalties, fines, costs, or expenses (including attorney’s fees) arising out of or related to:
Participation in FlexFest in any capacity
Products, services, or representations offered by Participant
Acts or omissions of Participant, employees, contractors, or agents
Injury or death caused by Participant or Participant’s property
Violation of law, regulation, or venue policy
Breach of this Agreement
This obligation shall survive termination, expiration, or completion of the event.
6. BOOTH, EQUIPMENT, AND PERSONAL RESPONSIBILITY (IF APPLICABLE)
Where applicable, Participant is solely responsible for all equipment, materials, and infrastructure including but not limited to:
Tents, weights, tables, signage, and displays
Electrical equipment, cords, generators, and lighting
Merchandise, products, and storage
Setup, teardown, and secure installation
Participant assumes full responsibility for ensuring all equipment is safely installed, maintained, and secured against environmental and crowd-related conditions.
Organizer shall bear no responsibility for loss or damage caused by improper setup, negligence, or third-party interference.
7. DAMAGE, LOSS, AND THEFT DISCLAIMER
Organizer is not responsible for:
Theft or loss of property, equipment, or cash
Weather-related damage
Damage caused by attendees, vendors, or third parties
Product failure, deterioration, or malfunction
Participant assumes full responsibility for safeguarding all assets at all times.
8. FEES, PAYMENT, AND NON-REFUNDABILITY (WHERE APPLICABLE)
All participation, vendor, or sponsorship fees:
Are due upon acceptance unless otherwise stated in writing
Are strictly non-refundable under any circumstance except full event cancellation by Organizer
Are not refundable due to weather, attendance levels, performance outcomes, or force majeure events
Failure to comply with payment terms may result in removal from participation without liability to Organizer.
9. CONDUCT AND RIGHT OF REMOVAL
Participant agrees to conduct themselves in a professional and lawful manner at all times.
Organizer reserves the absolute right to remove any Participant without refund or compensation for:
Unsafe behavior
Disruptive or inappropriate conduct
Noncompliance with rules or instructions
Misrepresentation or unauthorized activity
Any action deemed detrimental to the event or public safety
10. WEATHER AND FORCE MAJEURE
This is a rain-or-shine event.
Organizer shall not be liable for cancellation, delay, relocation, or modification due to weather, natural disaster, government action, public emergency, or any other force majeure event beyond reasonable control.
11. MEDIA RELEASE AND INTELLECTUAL PROPERTY
Participant grants Organizer an irrevocable, perpetual, worldwide, royalty-free license to use Participant’s name, likeness, logos, images, branding, and event-related materials for promotional, marketing, and advertising purposes in any media format.
No compensation shall be owed for such usage.
12. SAFETY AND COMPLIANCE
Participant agrees to comply with all applicable local, state, and federal laws, as well as all venue and event safety requirements.
Participant shall not engage in any conduct that jeopardizes permits, licensing, safety, or operational integrity of the event.
13. LIMITATION OF LIABILITY
To the fullest extent permitted by Georgia law, Organizer shall not be liable for any indirect, incidental, consequential, special, punitive, or exemplary damages, including but not limited to lost profits, loss of revenue, or business interruption.
Organizer’s total liability, if any, shall not exceed the amount paid by Participant to Organizer, if applicable.
14. GOVERNING LAW AND VENUE
This Agreement shall be governed exclusively by the laws of the State of Georgia.
Any dispute arising under or related to this Agreement shall be brought exclusively in the state or federal courts located in Cherokee County, Georgia.
15. SEVERABILITY
If any provision of this Agreement is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
16. ENTIRE AGREEMENT
This Agreement constitutes the entire understanding between the parties and supersedes all prior oral or written agreements, communications, or representations.
ACKNOWLEDGMENT AND BINDING ACCEPTANCE
By applying, registering, participating, sponsoring, vending, performing, volunteering, or attending FlexFest 2026, Participant acknowledges that they have read, fully understand, and voluntarily agree to be legally bound by all terms and conditions set forth herein, including but not limited to assumption of risk, waiver of liability, indemnification obligations, and limitation of liability provisions.
