Studio Live at NYFW Application (Designers and Brands)

NYFW Studio Live is where fashion, media, and culture intersect — giving creatives the opportunity to be seen, documented, and remembered.

1. Application & Acceptance

Submission of an application does not guarantee acceptance into Studio Live NYFW Edition.

Ars Media Arts Group reserves the right to review and approve all participating brands, designers, and creative concepts to ensure alignment with event standards, brand integrity, and overall event curation.

Participation is confirmed only after approval and receipt of the required deposit payment.

2. Deposit Policy

A non-refundable deposit is required immediately upon acceptance to secure participation in Studio Live NYFW Edition.

Deposits are applied toward the Participant’s total balance.

Failure to submit the required deposit may result in forfeiture of the opportunity and placement being offered to another participant.

All deposits are final and non-refundable under any circumstances, including cancellation by the Participant, scheduling conflicts, travel issues, or failure to complete remaining payments.

3. Final Payment Deadline

The remaining balance must be paid in full no later than fifteen (15) days prior to the official event date.

Participants who fail to complete final payment by the deadline risk:

Immediate loss of their confirmed spot in the event

Removal from promotional materials and event marketing

Forfeiture of any prior payments made, including the deposit

Ars Media Arts Group reserves the right to replace unpaid participants with waitlisted brands, designers, or creatives.

4. Participant Responsibilities

Participants are responsible for:

Providing accurate brand information, assets, and requested materials by designated deadlines

Arriving on time for installation, set-up, activations, and scheduled event programming

Maintaining professional conduct toward staff, models, guests, media, and fellow participants

Ensuring products, samples, displays, or collections comply with venue and event standards

Failure to comply may result in removal from the event without refund.

5. Marketing & Content Usage

By participating, Participant grants Ars Media Arts Group permission to photograph, film, and document brand participation for promotional, editorial, archival, and marketing purposes.

Ars Media Arts Group may use event images, video, logos, and brand names across digital, print, and social platforms to promote the event and future activations.

Official event content will be distributed through Ars Media Arts Group in collaboration with participating brands.

6. Cancellation & Withdrawal

If a Participant voluntarily withdraws after acceptance, all payments made—including deposits—remain non-refundable.

No credits, transfers, or refunds will be issued unless approved in writing by Ars Media Arts Group.

Ars Media Arts Group reserves the right to cancel or modify programming due to unforeseen circumstances, venue limitations, safety concerns, or force majeure events.

7. Liability

Participants are responsible for their own merchandise, displays, samples, personal belongings, and equipment during the event.

Ars Media Arts Group, venue partners, staff, and affiliates shall not be liable for lost, stolen, or damaged property.

8. Agreement & Acknowledgment

By submitting payment and participating in Studio Live NYFW Edition, Participant acknowledges that they have read, understood, and agreed to all terms outlined above.
