About the application
Merchantile Market is a curated shopping experience that brings together local businesses, makers, artisans, and entrepreneurs for a vibrant community event. Held outdoors (rain or shine), the market features a thoughtfully selected mix of unique products, handcrafted goods, specialty foods, interactive experiences, and local services.
Due to venue space limitations, only a limited number of trucks and trailers can be accommodated per market and reserved for food & beverage vendors.
Applications remain open until all vendor spaces are filled or the application limit is reached, whichever comes first. Vendor applications are reviewed on a rolling, first-come, first-served basis. Participation requires full compliance with all market policies, including setup, safety, and operational requirements.
Booth and table options include 10×10 and 6 x 4 (very limited and not applicable for for Experience Vendors) with prices ranging from $200 to $400.

Experience Vendors
Experience Vendors are a curated, limited-access vendor category reserved for businesses that offer a hands-on service, interactive activity, or immersive customer experience rather than solely retail products. Examples include permanent jewelry, piercings, tattoos, hat bars, personalization services, live demonstrations, and other unique interactive experiences that encourage customer participation.
To maintain a balanced and diverse vendor mix, Experience Vendor spaces are intentionally limited and highly selective. Merchantile Market typically accepts no more than 2–3 vendors per experience category, ensuring a curated experience for both vendors and attendees. Certain offerings, including permanent jewelry, piercings, and tattoos, are accepted exclusively as Experience Vendors and are not eligible to participate as Standard Vendors.
Applications are reviewed based on the uniqueness of the experience, customer appeal, operational requirements, category availability, space considerations, and overall fit with the event. Experience Vendors receive enhanced visibility and promotional opportunities designed to help showcase their business before and during the market.
Experience Vendor Requirements
- Minimum booth size: 10' × 10'
- Booth sharing is not permitted.
- Electricity may be available for purchase, subject to venue availability.
- Experience Vendor booth fees differ from Standard Vendor pricing.
- Approved tattoo and piercing vendors must provide all required licenses, certifications, permits, and proof of insurance prior to participation and are responsible for complying with all applicable local, county, state, and venue regulations.
Experience Vendor Benefits
As an approved Experience Vendor, your business will receive additional exposure and enhanced placement, including:
- Premium Booth Placement in high-traffic areas to maximize visibility and customer engagement.
- Featured Placement on the Event Map, helping attendees easily locate your experience before and during the market.
- Dedicated Social Media Promotion, including at least one featured post on Merchantile Market's social media channels, with additional opportunities for inclusion in reels, vendor spotlights, and behind-the-scenes content throughout the season.
- Newsletter Features, where selected Experience Vendors may be highlighted in pre-event email campaigns to generate excitement and encourage attendees to visit your booth.

Any vendors preparing food or beverages for consumption at the market, please complete the Food & Beverage Vendor Application.
This vendor application is ONLY for standard vendors in addition to vendors selling baked goods, pre-packed foods, specialty foods (ie. jam, honey, sauces, seasoning etc).
All Categories for this Vendor Application
Accessories - Wearable goods and fashion accessories. Examples include handmade or curated hats, bags, belts, scarves, and sunglasses.
Apparel — Handmade, designed, or curated clothing and wearable fashion items.
Art & Prints — Original artwork and artist-created reproductions. Examples include paintings, drawings, photography, prints, illustrations, and artist merchandise.
Baked Goods - Freshly baked or packaged baked goods intended for take-home consumption. Examples include cookies, brownies, cakes, cupcakes, pastries, breads, macarons, muffins, pies, cinnamon rolls, and other specialty baked treats.
Bath, Beauty & Wellness — Personal care and wellness products. Examples include soaps, skincare, body care, cosmetics, herbal products, and wellness goods.
Dogs & Pets - Products made for pets and pet owners. Examples include treats, accessories, apparel, toys, and pet-related goods.
Experiences & Services - Interactive, personalized, and service-based offerings. Examples include tattoos, piercings, permanent jewelry, hat bars, customization, and hands-on experiences (additional fee).
Home Decor - Decorative and functional goods for the home. Examples include wall art, wreaths, signs, trays, decorative accents, seasonal décor, and handcrafted home accessories.
Home Fragrance & Candles — Handcrafted fragrance products designed for the home and personal spaces. Examples include candles, wax melts, room sprays, linen sprays, fragrance oils, incense, reed diffusers, car diffusers, and perfume oils.
Jewelry — Handcrafted and curated jewelry of all styles and materials. Examples include rings, necklaces, earrings, bracelets, and statement pieces in fine, semi-fine, or artisan styles.
Kids & Family — Products designed for children and families. Examples include children's apparel, toys, nursery décor, baby accessories, and family-oriented gifts.
Plants & Florals — Live plants, dried botanicals, and floral goods. Examples include succulents, air plants, dried flower arrangements, wreaths, and seasonal floral décor.
Pottery & Ceramics - Handmade ceramic and clay creations. Examples include mugs, bowls, vases, planters, serving ware, and decorative ceramic pieces.
Specialty Foods — Packaged, shelf-stable food products intended for take-home purchase. Examples include honey, jams, jellies, hot sauces, pasta, jerky, spice blends, and artisan pantry goods. Items prepared or served on-site do not fall under this category.
Specialty Goods & Gifts — Unique, giftable goods that don't fit neatly into another category. Examples include stationery, greeting cards, books, leather goods, keychains, magnets, ornaments, and handcrafted novelty items.
Vintage - Curated vintage apparel and accessories that showcase timeless style and quality craftsmanship.
To be considered, your completed application must include:
- At least 2 photos of the products you plan to sell at the market
- At least 1 photo of your booth display
- Applications submitted without the required photos will not be considered.
- Meet the qualifications as outlined below:
- A well-maintained website or social media presence is preferred.
- Vendors offering quality products and/or quality services (family friendly).
- Direct selling companies are not currently being considered, including brands like Avon, Mary Kay, Pampered Chef, and Tupperware.
- The following items are strictly prohibited at the market:
- Pharmaceuticals, illegal drugs or drug paraphernalia, alcohol, firearms, ammunition, knives, swords, machetes, live animals, and any products containing profanity, nudity, or pornographic content.
- Department store overstock, liquidation items, returned or visibly damaged goods
- Counterfeit or trademark-infringing merchandise
- Items featuring explicit language, hate symbols, or vulgar content
- Politically charged products that express political affiliations, slogans, party-related statements or controversial items that may disrupt the inclusive nature of our market are also not allowed.
- A limited selection of thoughtfully curated CBD and wellness-related products may be considered. All CBD-related items must comply with applicable laws and must be reviewed and approved in advance to ensure they align with the intentional, community-centered, and curated experience of our market. The Organizer reserves the right to decline any products that do not fit the overall mission, vendor mix, audience, or atmosphere of the event.
Vendor Terms & Conditions
By submitting an application and/or purchasing a vendor space at Merchantile Market, you (“Vendor”) acknowledge that you have read, understood, and agree to the following Terms & Conditions:
Vendor Space & Approval
- Approval of your application does not guarantee a vendor space.
- New Vendor Payment Process: During the application process, vendors will select their booth option and payment window. When approved, booth fees will be automatically processed within the payment timeframe selected during the application process.
- Vendors who select a later payment window should be aware that available spaces may sell out before their payment is processed.
- Please note that booth spaces are available on a first-come, first-served basis and are only secured after payment has been successfully processed.
- Electricity is not available for standard vendor spaces. Power is reserved exclusively for approved Experience Vendors and Food & Beverage Vendors.
- All application and vendor fees are non-refundable, non-transferable, and not eligible for future market credits unless otherwise stated.
Load-In & Setup
Market Hours: Saturday, November 21: 10:00 AM – 5:00 PM
- Vendor load-in will take place on Saturday, November 21 between 7:00 AM and 9:00 AM.
- All vendors must use a wagon or cart to transport merchandise and equipment from their designated unloading zone to their booth space inside Scottsdale Civic Center.
- Vendors will be assigned a designated arrival window and unloading zone. Detailed load-in instructions will be provided prior to the event.
- Vendors who have not arrived by 9:00 AM at the latest will forfeit their reserved booth space without refund. Repeated late arrivals may affect eligibility for future Merchantile Market events.
- All vendors must be fully set up and ready for business by 9:50 AM.
Booth Assignment & Setup Requirements
- Booth fees range from $200-$400, with optional upgrades available for an additonal cost. All fees are subject to applicable taxes.
- Vendors are responsible for providing all booth equipment, including canopies, weights, tables, chairs, and displays.
- All 10’ x 10’ booths must include a fire-resistant canopy in white, cream, or an approved branded design.
- Canopies must display a valid fire-resistance label or certificate and may be inspected on-site. Non-compliant canopies will not be permitted.
- Canopy weights are mandatory (minimum 40 lbs per leg). Stakes or ground-penetrating methods are not allowed.
- 6 x 4 Table Space (very limited) - outdoor umbrellas are allowed during market hours; however, they must be securely weighted at all times (minimum of 50lbs) to ensure safety (no canopies).
- Additional details on booth setup and display requirements are outlined in the Vendor Agreement.
- Booth locations are assigned by Merchantile Market unless a reserved booth placement upgrade is purchased.
- Booth spaces may be located on grass, gravel, or pavement and may include slight inclines.
Weather Policy
Merchantile Market operates rain or shine. This specific market is at a outdoor venue. In the event the market is canceled or postponed by organizers, vendors may either attend the rescheduled date or receive a credit toward a future market. Refunds will not be issued.
All vendors are required to comply with the Weather & Canopy Policy. Weather-related updates and instructions will be communicated via email, and vendors are responsible for reviewing and following all guidance provided.
Booth Sharing
- Booth sharing is only permitted for 10 x 10 spaces between standard vendors who have both applied and been approved. Experience Vendor and 6 x 4 spaces are not eligible for sharing.
- Approved vendors may not share space with unapproved vendors.
- Vendors must notify the Merchantile Market team in advance of any approved booth-sharing arrangements.
Vendor Conduct & Compliance
- All communication regarding the vendor review and approval process, event updates, and event-related inquiries will be conducted through Eventeny. Vendors are responsible for regularly monitoring their Eventeny messages throughout the application process and leading up to the event. To ensure timely responses and accurate recordkeeping, vendors should submit event-related questions and communication through Eventeny rather than email whenever possible.
- Vendors approved for the event will be required to add the City of Scottsdale to their Arizona TPT license prior to the market.
- Vendor approval is based on the products submitted in your application. Any changes to approved product offerings must receive prior approval.
- Failure to receive prior approval may result in adjustments to your booth space or participation status.
- Vendors are asked to post or repost the official event graphic on your Instagram and Facebook stories at least once a week, starting the day you receive it.
- Vendors who pack up or leave before the official market closing time will be charged a $50 early breakdown fee and may affect eligibility for future markets.
- Vendors who fail to notify organizers of their absence will be charged a $50 no-show fee and may affect eligibility for future markets.

Items extending beyond booth boundaries must be corrected immediately upon request. - Booth sharing is not permitted. Electricity - Electricity may be available for purchase, subject to venue availability. Licenses, Permits & Insurance - Approved tattoo and piercing vendors must provide all required licenses, certifications, permits, and proof of insurance prior to participation and are responsible for complying with all applicable local, county, and state regulations. - All required documentation must be submitted by the deadlines established by Merchantile Market prior to the event. - Vendors are solely responsible for complying with all applicable health, safety, and regulatory requirements throughout the event. |
