Algonquin Fest 2026 Rules & Regulations
1. CRSEM LLC dba Special Events Management (hereinafter “CRSEM”) reserves the right to cancel a contract at any time for the good of the festival, subject to the direction of the Village of Algonquin (“Host Committee”), which retains the final authority to cancel any and all contracts at its discretion in the best interests of the festival. Any cancellations by CRSEM will be refunded only if all rules and regulations are followed. Refund eligibility for cancellations initiated for the good of the festival shall be determined by CRSEM in coordination with the Village. Cancellation or suspension due to lack of proper Village, County, or State licensing, or failure to meet or maintain guidelines, will not be eligible for refunds.
2. Account Holds: CRSEM LLC is not responsible for the issuance or potential denial of a license from any and all required entities including but not limited to those issued by the Village of Algonquin and/or State of Illinois Liquor Control Commission – for Alcohol Vendors only) due to any holds being placed on business accounts associated with the vendor. Each vendor is solely
responsible for resolving any standing holds with the Municipality /or State of Illinois prior to application approval.
Please note: Most businesses are not aware of a hold until their application is submitted and CRSEM is contacted by the Village and/or State. Any standing debt that you have with either the village or state both personally and through your business, can put a hold on your license being issued. All of these debts should be paid as soon as possible prior to the event. It is essential that you call each
government agency regardless of your assumed standing. Please call either the Village of Algonquin or the State of Illinois Liquor Control Commission (Alcohol Vendors only) at 312-793-3380.
3. Exclusivity: CRSEM will not make any
representations offering exclusivity to any participant/exhibitor and or category. Each and every food vendor agrees that they are only permitted to sell up to 6 food items. These items must be approved by the committee in advance of the event.
4. Water: Running water may be available and when so, only in limited quantities. CRSEM recommends supplying your own fresh water.
5. Electricity: No small portable generators or car batteries are permitted within your booth. All electricity on site, if paid for, is portable and provided by a third-party supplier. Any service disruptions and/or blackouts from electricity provided by CRSEM will NOT result in a rebate or refund.
6. Music: The playing of recorded or live music within your booth is prohibited. Anyone violating this clause will be subject to removal from the festival.
7. Laws: Staking into the grass or surface below your booth is not allowed on Park property. You are directly responsible for any and all fees or expenses incurred as a result of a violation including but not limited to the Village of Algonquin, McHenry County or State of Illinois violations and or fines, as a result of your conduct.
8. The sale of any THC or CBD based products is strictly prohibited
9. Set-up and Tear-down: Each participant is responsible for setup, take down and clean-up of his/her booth space. Vehicles are only allowed in designated areas as directed. Unless otherwise noted, parking is not provided to any participant but is available upon availability.
Load-in/set-up times will be provided to you by email one week prior to the event. You must remove your vehicle immediately after unloading your merchandise and agree to move your vehicle if requested by CRSEM. You are allotted 2 hours from closing time of the event to vacate your booth space after the event. In the event the space is not returned in the same condition as prior to your arrival, the Vendor/Merchant will be responsible for any and all costs and damages associated including reasonable attorney fees required.
10. No Show Policy: Participants who have not checked-in by 9:00AM July 24th, will be considered a “no-show.” No Show. Participants/artists will NOT be eligible for refunds and assigned booth space will be forfeited.
11. Trash Disposal: Each space must be left clean throughout the event and each night. Trash receptacles and bags will not be provided, this is your responsibility. Trash (in bags) will be picked up from booths each night. All vendors May be subject to additional fees if your space is not maintained as delivered, upon vacating your event space, including any staining of the grass below your booth footprint.
12. Indemnification: To the fullest extent permitted by law, the Vendor agrees to indemnify, defend, and hold harmless the Village of Algonquin (“Village”), CRSEM LLC dba Special Events Management (“CRSEM”), and their respective elected and appointed officials, officers, employees, agents, volunteers, contractors, festival service providers, and sponsors (collectively, the “Indemnified Parties”) from and against any and all claims, demands, damages, losses, liabilities, costs, and expenses, including reasonable attorney’s fees, arising out of or related to the Vendor’s participation in the event, including but not limited to the Vendor’s operations, acts or omissions, negligence, misconduct, or breach of this agreement, except to the extent caused by the sole negligence or willful misconduct of an Indemnified Party. The Vendor assumes all risk of loss, theft, or damage to its property, equipment, and materials, whether occurring before, during, or after the event, and agrees that the Indemnified Parties shall not be responsible for such loss or damage. This provision shall survive the completion, cancellation, or termination of the event or this agreement. Vendor shall maintain general liability insurance in amounts acceptable to the Village and, upon request, provide a certificate of insurance naming the Village of Algonquin and CRSEM as additional insureds.
13. Booth Space: Each vendor must use only the space that they are granted. Only a three-foot entry way is permitted. Walkways must be left unobstructed at all times. It is strictly prohibited to store items outside of your exhibitor footprint, across or adjacent to your booth. We reserve the right to relocate a participating exhibitor when
necessary, even after a space has been assigned – based upon approval of the festival committee.
14. Site Maintenance: All Vendors will be responsible for maintaining their space(s) in an orderly fashion, and may be subject to additional fees if your space is not maintained as delivered, upon vacating your event space. (i.e. trash and waste removal, damage to designated area property etc.)
15. Damages to Rental Equipment: Extra fees will be incurred by participants for damages and clean-up of rental equipment as deemed necessary by rental equipment company for returned items which are damaged; or in need of any cleaning following the event.
16. Third Party Vendors: You cannot resell or lease any space to a 3rd party to participate in the event in your booth.
17. Event Hours: All vendors must remain open during festival hours.
18. 2026 Refund Process: If the event is faced with inclement weather, Acts of God and/or any situation that threatens the safety of exhibitors and patrons, CRSEM has the sole authorization to postpone or cancel the event which will not result in the refunding of your fees.
By signing below, I hereby acknowledge and accept all terms of this vendor application by which will be considered a legal contract
between myself (Vendor) and CRSEM LLC) including all rules and regulations and understand that I am legally bound by this
agreement. As a participating exhibitor, I acknowledge that CRSEM is serving as the event producer for the Algonquin Fest on behalf of the Village of Algonquin, which owns the event and retains final authority over all event operations. CRSEM is an independent contractor and not an employee or agent of the Village rules and violations as outlined in this document. I acknowledge that CRSEM is acting as the event producer and agent for the Village of Algonquin who owns the event. Under all circumstances unless stated in the rules and regulations, there are no refunds.
(You will NOT be held accountable for rental equipment that you do not rent, however, we must have acknowledgement from you in the event that you add rental equipment to your application at a later time or rent an item on-site. It is your responsibility to inspect your tent during load-in and make management aware of any existing damages prior to the opening of the event.)
