Retail & Merch Vendor Application – 6th Annual Rally & Ride Out of the Darkness®

Welcome to the 6th Annual Rally & Ride Out of the Darkness®.

We are seeking high-quality retail and merchandise vendors that align with the energy, style, and purpose of this event.

This is not a typical vendor setup. We intentionally curate vendors to create an experience that feels cohesive, engaging, and meaningful for attendees.

 
How the Process Works:

• Submit your application for review
• If approved, you will receive instructions to log back in
• You will then select your booth location from the event map
• Payment is completed after selecting your booth to officially secure your spot

Booth spaces are first come, first served after approval.

 
We Are Looking For Vendors That Offer:
• Apparel, accessories, leather, jewelry, and custom goods
• Handmade items, crafts, art, and home goods
• Drinkware, custom gifts, and photo products
• Vehicle lifestyle, biker culture, and automotive-related products
• Gear, tools, outdoor, and preparedness products
• Tattoo and body art services

 
We Prioritize Vendors Who Bring:
• Strong branding and visual presentation
• Unique and high-quality products
• A clear identity and purpose
• Positive energy and engagement

 
Retail vendors may not sell food or beverages without prior approval and proper permits. Unauthorized food sales are not permitted.

 
This event supports mental health awareness and community connection. Vendors must respect and align with the overall environment and mission.

 
Please complete all sections thoroughly. Incomplete or low-effort applications may not be approved.

Pricing:

• Single Booth (10x10): $75 
• Double Booth (10x20): $125

This includes a $25 contribution that directly supports raffle baskets and fundraising efforts benefiting Love Surrounds You® initiatives.

Payment is completed after selecting your booth to secure your space.

Vendor Terms & Conditions – Retail & Merch Vendors

By submitting this application, you agree to the following:

 
1. Application & Approval
Submission of this application does not guarantee acceptance. Vendors are reviewed and approved at the sole discretion of event organizers to ensure a balanced and high-quality event.

 
2. Payments
All booth fees are non-refundable once a booth is selected and payment is completed. Payment is required to secure your vendor space.

 
3. Booth Selection & Setup
• Booth selection occurs after approval
• Approved vendors will log back in to select their booth from the event map
• Booths are first come, first served after approval
• Standard booth size is 10x10 unless otherwise approved
• Vendors must provide their own tent, tables, chairs, and display materials
• Booths must be fully set up by designated setup time and remain open for the duration of the event
• Early breakdown is not permitted

 
4. Products & Conduct
All items sold must match what was described in your application.
The event reserves the right to remove any vendor selling unapproved or inappropriate items.

Vendors must conduct themselves in a professional, respectful manner. This event supports mental health awareness and community connection, and behavior must reflect that environment.

 
5. Exclusivity & Duplication
We aim to limit duplicate vendors. Approval does not guarantee exclusivity unless otherwise stated.

 
6. Liability & Responsibility
Vendors are responsible for their own property, setup, and operations.
Love Surrounds You® and event partners are not liable for loss, theft, damage, or injury.

 
7. Weather Policy
This is a rain-or-shine event. No refunds will be issued due to weather.

 
8. Permits & Compliance
Vendors are responsible for complying with all local laws, permits, and licensing requirements.

 
9. Electricity
Electricity is limited and must be requested in advance. Approval is not guaranteed.

 
10. Media Release
By participating, you grant permission for photos and videos of your booth, products, and likeness to be used for promotional purposes.

 
11. Right to Refuse or Remove
Event organizers reserve the right to refuse or remove any vendor at any time if they do not comply with these terms or align with the mission and environment of the event.
