Silver Pride 2026 Vendor Agreement
Project Pride SRQ, Inc.
By submitting a vendor application for Silver Pride 2026, you agree to the following terms and conditions established by Project Pride SRQ, Inc. (“PPSRQ”).
1. Agreement to Event Rules
Vendors agree to follow all event rules, policies, instructions, and directions issued by PPSRQ, event staff, volunteers, venue representatives, and authorized agents. Failure to comply may result in removal from the event without refund.
Vendors are also responsible for complying with all applicable federal, state, and local laws, regulations, and ordinances.
2. Event Date, Time, and Location
Silver Pride 2026 will take place on Saturday, June 6, 2026 from 12:00 PM to 4:00 PM at Senior Friendship Center, 1888 Brother Geenen Way, Sarasota, FL 34236.
3. Vendor Check-In, Set-Up, and Tear-Down
Vendor arrival may begin no earlier than 9:00 AM, and all vendors must check in no later than 10:30 AM. Booth setup must be fully completed by 11:30 AM. If a vendor has not checked in and claimed its assigned space by 10:30 AM, PPSRQ reserves the right to reassign that space without refund. If you expect to arrive later than the required check-in time, you must notify PPSRQ in advance and make arrangements accordingly.
Tear-down may not begin before the event ends at 4:00 PM unless expressly authorized by PPSRQ. All vendors must fully clear their space, including trash and personal items, by 5:30 PM.
4. Vendor Space and Setup
Each vendor registration includes one 10’ x 10’ vendor space, including a table and 2 chairs unless otherwise noted. Vendor spaces do not include linens, tents, electricity, or display materials unless expressly stated in writing by Project Pride SRQ. Vendors are responsible for providing all equipment and materials needed for setup, including signage, table coverings, extension cords, dollies, carts, displays, and any other booth supplies. All vendor materials and displays must remain within the assigned space and be maintained in a neat, safe, and professional manner. Boxes, packaging, and excess materials must be stored out of public view. Any outdoor tent or canopy must be properly weighted at all four corners. Vendors assume full responsibility for any injury, loss, or damage arising from their tent, canopy, equipment, display, or setup.
5. Booth Sharing and Subletting
Vendors may not assign, share, sublet, or otherwise transfer their booth space to another business, organization, or individual without prior written approval from PPSRQ.
6. Damage to Venue or Property
Vendors are responsible for any damage caused by their staff, volunteers, representatives, vehicles, equipment, displays, or materials during participation in Silver Pride 2026. Any vendor who causes damage to the venue, grounds, or surrounding property may be held financially responsible for repair or replacement costs. If PPSRQ incurs costs related to such damage, the vendor agrees to reimburse PPSRQ within thirty (30) days of written notice.
7. Sound and Generator Policy
Amplified sound, microphones, speakers, or excessive noise from vendor booths are not permitted unless specifically approved in writing by PPSRQ. Only quiet generators are permitted in approved outdoor spaces and only with prior authorization. If a generator is deemed disruptive, unsafe, or inappropriate for the event environment, its use must stop immediately upon request.
8. Prohibited Items and Materials
Vendors may not display, distribute, or sell any illegal, counterfeit, contraband, or otherwise prohibited items. Because Silver Pride is a public, community-centered event, vendors may not display materials that PPSRQ determines to be obscene, discriminatory, unsafe, or otherwise inappropriate for attendees of all ages. PPSRQ reserves the right to make final decisions regarding prohibited items or displays.
9. Food and Beverage Restrictions
Only vendors specifically approved by PPSRQ may sell, serve, or distribute food or beverages.
No other vendor may offer food or beverages for sale or giveaway without prior written authorization from PPSRQ.
10. Use of Event and Organization Branding
Vendors may not use, reproduce, sell, or distribute items featuring the names Project Pride SRQ, PPSRQ, or Silver Pride, or any related logos or branding, without prior written permission from PPSRQ.
This includes merchandise, signage, promotional materials, and products using similar event branding or wording that could reasonably cause confusion.
11. Taxes, Licenses, and Compliance
Vendors are solely responsible for any business licenses, permits, tax registrations, sales tax collection, and other legal requirements associated with their participation. PPSRQ is not responsible for obtaining or verifying vendor business permits, licenses, or tax obligations.
12. No Representation of PPSRQ
Vendors may not represent themselves as agents, employees, partners, or official representatives of PPSRQ or Silver Pride unless expressly authorized in writing.
13. Insurance
Vendors are responsible for maintaining any insurance appropriate to their operations. Proof of insurance is required to submit an application unless otherwise requested. Failure to provide requested proof of insurance may result in cancellation of participation without refund.
14. Rain or Shine / Force Majeure
Silver Pride 2026 is a rain or shine event.
PPSRQ is not responsible for cancellations, delays, interruptions, or changes caused by weather, acts of God, public emergencies, government action, terrorism, utility failure, or other circumstances beyond its reasonable control.
No refunds will be issued for such circumstances unless determined otherwise by PPSRQ in its sole discretion.
15. Hold Harmless
Vendors agree to indemnify, defend, and hold harmless PPSRQ, its officers, directors, employees, volunteers, agents, and event partners, including Senior Friendship Center, from and against any claims, losses, damages, liabilities, costs, or expenses arising from the vendor’s participation in the event, except to the extent caused by PPSRQ’s gross negligence or willful misconduct.
16. Right to Refuse or Remove
PPSRQ reserves the right to refuse or remove any vendor, booth display, item, or activity that is unsafe, noncompliant, disruptive, or inconsistent with the mission and standards of the event.
17. Acceptance of Terms
By applying to participate as a vendor at Silver Pride 2026, you acknowledge that you have read and agree to these terms and conditions.
