About the application

On behalf of the Premier Events team and the Virginia Highland Civic Association, we want to thank you for your interest in being part of the 41st Annual VAHI Summerfest.

 

The event includes a Fine Art and Makers Market featuring 200+ vendors, live music, Kids Fest featuring water themed activities perfect to celebrate Summer fun, a Beverage Garden, a 5K Road Race, food, and more.

 

Summerfest is an annual fundraiser for the Virginia-Highland Civic Association, a non-profit organization committed to maintaining and improving the historic Virginia-Highland neighborhood. Fund raised help support the organizations wmission with projects for safety, park improvements, education, grants, planning, preservation, education, and more. 

 

Please note a very limited number of spaces are available for approved non-profit organizations. Summerfest is a political free zone. We cannot provide booth spaces to organizations that are promoting a political cause or are campaigning.

Sat: 11am - 11pm, Artist Market, Kids Fest and food court closes at 6 pm.

Sun: 11 am to 5 pm

More than 25,000 patrons are anticipated to attend the 2026 event, but the event cannot guarantee or warrant this attendance.

VAHI Summerfest is a RAIN OR SHINE event.

 

NON-PROFIT VENDING 

Vendors will be open to the general public Saturday, 11 am - 6 pm, and Sunday, 11 am to 5 pm. 

 

Booth space is free for non-profits approved by the event.  Non-Profit vending space is highly limited.

 

Summerfest is a political free zone. We cannot provide booth space to organizations that promote a political cause or campaign.

 

CANCELLATION POLICY: 

Vendor must notify PE in writing of their intent to cancel on or before May 1. Cancellation requests should be sent by email to laura@premiereventslive.com.

 

SALES 

Non-Profits must furnish list of any items or services to be sold and prices to be considered for participation in the 2026 event. Please include if you are asking for donations and any promotions you intend to activate regarding donation requests. Vendors are only allowed to sell items submitted on their application and approved by Premier Events. Any amendment to the approved items, including pricing, must be approved by Premier Events prior to the festival.

 

Non-profits shall be entitled to retain 100% of the proceeds from these transactions. Kids Fest Vendors must furnish their own cash bank and credit card processing if they wish to take credit cards and are responsible for paying all applicable sales taxes.

 

Nonprofits are prohibited from vending or giving away any food or beverages unless expressly agreed to by Premier Events. 

 

BOOTH AREA, TENTS, EQUIPMENT & PRESENTATION: 

PE reserves the right to refuse space if the the non-profit, or the booth area, is not consistent with the character of the event. All vendor booths must be designed, constructed, and operated in good taste, with the best interests of the Event and public safety in mind.

 

Promotions and activities cannot extend beyond their assigned footprint and must not obstruct other exhibits or walk paths.

 

Non-profits may not share or sublease any part of their space or participate in any third-party advertising, third-party promotions, or display third-party signage at their booths.

 

Vendors are required to provide their own tent, table, chairs and all equipment required for their booth space. These items can be rented through the event for an additional fee.

 

Tents must be made of flame-retardant material and have the flame-retardant certification sewn into the tent fabric, or the vendor must supply proof of flame retardant to fire marshals upon request.  Tents should be clean and in good repair, and all equipment and supplies should be neat and clean.

 

All signs and banners should be clean and not cracked or faded. Carnival tactics, the use of public address systems, or other similar activities by vendors shall not be allowed.

 

Non profits must furnish in-tent trash cans and must bag all trash and breakdown boxes for pickup by festival waste management team. Vendors must maintain their booth area and clean their space of all 

 

PE reserves the right to prohibit or restrict vendor locations that, because of noise, method of operation, materials, or any other reason, become objectionable. Carnival tactics, the use of public address systems, or other similar activities by the non-profits shall not be allowed.

 

Signage and decorations may not be nailed, taped, tacked, or otherwise fastened to park infrastructure, trees, or fixtures.

 

The use or distribution of any of the following items is prohibited: adhesive-backed decals, stickers, helium balloons, glitter, and confetti. Motorized vehicles of any type (forklifts, gas or electric carts, bicycles, scooters, or similar equipment) may not be used inside the event venue.

 

ELECTRICITY:

Electricty for your booth can be ordered for an additioal fee. Please see the application for details. Requests for power must be received by the deadline indicated

 

Vendors are not promitted to provide their own generators unless expressly agreed to in advnace by Premier Events.

 

LOAD IN / LOAD OUT 

Vendor load-in and set-up will take place early Saturday morning. Load out will take place on Sunday after 5:00 pm and all vendor equipment must be removed by 9pm.

 

Non profits will receive information regarding load-in and set-up 2 weeks prior to the festival. Vendors that fail to abide by the load-in schedule and deadline may risk forfeiture of the event space. In the event of late shows, the event will not be obligated to refund the event space fee.

 

EVENT MAPS/BOOTH LOCATION

Event maps will be provided upon load-in, where you will also find out your location. Location information will not be provided in advance as last-minute changes happen within days of the event. If you have a special request regarding your booth location, please list it on this form, and we will do our best to accommodate it. 

 

PE reserves the right to modify the layout of the event area if circumstances warrant, at its sole discretion.

 

INDEPENDENT CONTRACTORS

Approved non profits are independent contractors of the festival and have full supervision and control over their operations and employees. As independent contractors, non-profits are responsible for reporting retail sales and paying their own state and federal sales taxes.

 

LIABILITY

Non profit assumes entire responsibility and hereby agrees to protect, indemnify, defend the Vendor’s property, and it is the sole responsibility of the non profit to obtain such insurance, including, if desired, business interruption and property damage coverage ford save PE against any and all claims, losses and damages to persons or property and attorney’s fees arising out of or caused by the non profit installation, removal, maintenance, occupancy or use of booth space.

 

Non-profit acknowledges that PE and VAHI Summerfest do not maintain insurance coverage covering the non-profit's property, and it is the sole responsibility of the non-profit to obtain such insurance, including, if desired, business interruption and property damage coverage for losses by the non-profit. Responsibility for the security of a non-profit's area, products, and property rests solely with the non-profit organization.

 

INSURANCE:

Vendors will be required to supply proof of $1,000,000.00 liability insurance coverage. The City of Atlanta, Premier Events, LLC, Phoenix Concessions, LLC, Virginia - Highlands Civic Association, and their affiliates are to be listed as the certificate holder and additional insured.

 

HOLD HARMLESS AGREEMENT:

Through submission of application materials and signing this Agreement, Vendor agrees of hold the, Virginia - Highlands Civic Association, Virginia - Highlands Summerfest, its Board of Directors, staff, volunteers, Premier Events (aka Premier Events LLC, City Park Concessions, Phoenix Concessions, LLC) and the City of Atlanta harmless for any and all losses, expenses, demands and claims against the festival or Premier Events, sustained or alleged to have been in any way related to the 2026 Virginia - Highlands Summerfest. Vendor also agrees and acknowledges that the Virginia - Highland Civic Association, Virginia - Highlands Summerfest, its Board of Directors, staff, volunteers, Premier Events (aka Premier Events LLC, Phoenix Concessions, LLC) and the City of Atlanta are not responsible in any way for any personal injury, illness, property damage or loss of property that may occur during the 2026 Virginia - Highland Summerfest. 

 

Incorporation and Modification

This document includes all components of the agreement of the parties and is fully incorporated. Herety, equipment, and vehicles are properly insured for any and all losses. The Application materials provided by the vendor to Premier Events on behalf of the Virginia - Highland Summerfest shall be incorporated herein by reference. No other promises made prior to the execution of this agreement have been omitted from this document. The parties may mutually agree to modify this agreement; however, such modification shall only be binding upon the parties by a signed written agreement. No oral modification or agreement outside the scope of this agreement shall be binding upon either party.

 

The Vendor, its owners, employees or other agents shall not represent themselves as representatives of the VAHI Summerfest or Premier Events. Vendor shall not enter into any contract or other agreement which would cause the VAHI Summerfest or Premier Events to be liable in any way with any other party, including but not limited to, manufacturers, Vendors, or other suppliers, etc. Vendor shall hold the VAHI Summerfest and Premier Events harmless from any cost or liability it may incur with the production of merchandise.

 

WEATHER

Virginia - Highland Summerfest is a RAIN or SHINE event. Approved vendors agree to be present during festival hours despite weather conditions. It is the Event Management’s sole and absolute discretion to order an evacuation of the Event, or to take necessary steps to protect public health and property in the event of an act of God, hurricane, or the issuance of a severe weather warning for Atlanta or its environs by the National Weather Service.

 

Tents and banners should be properly weighted to withstand wind gusts and heavy rain.

 

The VAHI Summerfest and Premier Events make no representation or guarantees regarding actual festival attendance, nor do they make any representation of potential financial success or failure.

 

ACTS OF GOD:

Virginia Highland Civic Association and Premier Events and its affiliates shall have no liability whatsoever for damage, of any nature, to any person, matter, or thing resulting from storm wind or water, or other acts of God, or imminent threat thereof, nor from fire, strikes, or lockouts.

 

The Exhibitor agrees that in the event of acts of God, storms, floods, high winds, gales, or hurricanes, neither PE nor any of its employees or agents shall be responsible for loss, damage, third-party damages, claims, or loss to property, representations or guarantees regarding actual festival attendance, nor do they make any representations regardingpersons, or vessels. 

 

By applying to this event, you agree to the rules stated. If these guidelines are not upheld, your booth will be closed immediately, and your funds will not be refunded.

In the event changes need to be made, for any reason, we reserve the right to do so at any given time.

 

Virginia - Highland Summerfest is a RAIN OR SHINE event.

 

Your space is only confirmed once completed all paperwork is submitted, approved by Premier Events and payment in full is received.

 

By submitting this application, you are accepting all of the terms and conditions herein.

NON PROFIT ORGANIZATION - 10X10 Space $0.00 Space will only be provided to accepted non-profit organizations. Non-profit must furnish their own tent, tent weights, table, chairs, etc., etc., and all required equipment
10 x 10 Tent rental includes 2-8' tables and 2 chairs $150.00 Optional item if you want the Festival to provide your 10X10, tables, and chairs. Payment is due upon acceptance to the festival. Deadline for all rental requests is May 1, 2026
Power fee - per each 20 amp outlet $100.00 Non-refundable PAYMENT: This fee is based on approval ONLY. This is a flat fee paid in full in advance of the festival. You will be notified of when payment is due upon approval.
