Join the bustling marketplace of the Spokane Renaissance Faire, where artisans, makers, and merchants gather to bring history and fantasy to life.

 

Our goal is to curate a vibrant and immersive marketplace filled with skilled artisans, handcrafted goods, historically inspired wares, and imaginative fantasy creations.

 

We are seeking vendors who offer high-quality handmade items, artisan crafts, and themed goods that enhance the Renaissance Faire experience.


Merchants: To be considered for participation in SRF, please submit the following:
● A description and photo of your booth and products.
● Pictures and descriptions of the items you intend to sell. (If you have a business
website or social media page, you may provide a link for inclusion on social media.)

 

Applications are reviewed based on craftsmanship, originality, booth presentation, thematic fit, and overall balance within the marketplace.

Submitting an application does not guarantee acceptance. Space is limited and categories may be capped to maintain variety.


If a tiebreaker is necessary, acceptance will be determined based on:
● The date we receive the full application package.
● The authenticity of the products and the overall presentation of your booth.
● Past participation history, including late cancellations or no-shows within the last
three years.

Terms & Conditions

Vendor Terms & Conditions 2026


By submitting a vendor application, accepting placement, or participating in the Spokane Renaissance Faire in any vendor capacity, the applicant vendor agrees to comply with the following Terms & Conditions. These terms govern vendor participation, booth operation, conduct, safety, event compliance, and related operational expectations for the Faire.


These Terms & Conditions are intended to protect the safety, integrity, operation, and guest experience of the event while establishing clear expectations for all participating vendors.


 Application, Review, and Acceptance

Submission of a vendor application does not guarantee acceptance into the Spokane Renaissance Faire. All applications are reviewed at the discretion of event management, and vendor selection is based on factors including, but not limited to, product quality, thematic fit, booth presentation, professionalism, marketplace balance, event needs, and available space.


The Faire reserves the right to accept or decline any application for any lawful reason consistent with event standards, operational needs, safety considerations, and marketplace curation goals. The Faire also reserves the right to limit the number of vendors offering similar or substantially similar products in order to preserve quality, variety, and overall marketplace balance.


Acceptance is granted only to the applicant and business approved through the application process. Acceptance may not be transferred, reassigned, sublicensed, or shared without the prior written approval of event management.


 Approved Merchandise and Scope of Sale

Vendors may sell only those items that were disclosed in their application and approved through the event review process. The Spokane Renaissance Faire reserves the right to restrict, deny, or require removal of merchandise that was not disclosed, was not approved, is materially inconsistent with the vendor’s approved category, is inappropriate for a family-friendly event, or otherwise conflicts with event policies, guest experience standards, or marketplace balance.


The Spokane Entertainers Guild further reserves the right to require a vendor to remove individual items, product lines, displays, signage, or promotional materials that are deemed inappropriate, unsafe, misleading, offensive, or substantially inconsistent with the approved nature of the booth.

Approval of a vendor application does not grant unrestricted authority to expand merchandise offerings beyond what was represented and accepted.

 

 Vendor Conduct and Professionalism

Vendors, booth staff, employees, assistants, volunteers, family members, and any other individuals operating within or on behalf of a vendor booth are expected to conduct themselves in a respectful, professional, and cooperative manner at all times.


Professional conduct includes appropriate behavior toward guests, staff, volunteers, performers, participants, sponsors, fellow vendors, and venue personnel. Harassment, intimidation, threatening conduct, aggressive confrontation, abusive language, disorderly conduct, disruptive intoxication, or behavior that interferes with the operation, safety, or enjoyment of the event may result in corrective action, removal of an individual, closure of a booth, or removal of the vendor from the event.


Participation in the Faire is a privilege, not a right, and vendors are expected to uphold the standards of a family-friendly public event environment.


 Participant Eligibility and Safety Restrictions

The Spokane Renaissance Faire is a family-oriented event and prioritizes the safety and wellbeing of guests, staff, volunteers, vendors, and participants. Vendors are responsible for ensuring that all persons present in or operating from their booth are appropriate for participation in a public event setting. Individuals who pose a safety risk, legal risk, or material threat to others are not permitted to participate in the event as vendors, booth workers, assistants, representatives, or affiliated personnel. Event management reserves the right to deny or revoke participation where credible safety concerns exist.


This may include, but is not limited to, individuals who engage in threatening behavior, harassment, stalking, violence, unauthorized weapon possession, dangerous conduct, or other behavior that reasonably calls into question the safety of their presence onsite. Vendors represent by participation that persons working within their booth are in compliance with these expectations.


The Faire reserves the right to require the removal of any individual whose presence is determined by event leadership to be unsafe, inappropriate, or materially disruptive to the event environment.


 Booth Space, Placement, and Use of Assigned Area

Booth placement is determined solely by event management. Vendors may not relocate, exchange, expand, subdivide, or share their assigned booth space without prior approval. Space assignments are based on event layout, operational needs, safety considerations, traffic flow, and marketplace planning, and placement decisions are final unless adjusted by event management.

 

All displays, tables, shelving, merchandise, signage, storage, and operational materials must remain within the vendor’s assigned footprint. Vendors may not obstruct walkways, neighboring booths, emergency access areas, fire lanes, utility access, or other operational corridors.

Any use of space outside the assigned footprint without approval may be subject to immediate correction.


 Booth Appearance and Event Theme

The Spokane Renaissance Faire seeks to maintain an immersive, welcoming, and visually cohesive event environment. Vendors are expected to make a reasonable good-faith effort to ensure that their booth presentation complements the Renaissance, medieval, fantasy, old-world, or similarly themed atmosphere of the Faire.


Booths need not be elaborate, but they should be intentional, clean, and visually appropriate. Excessively modern, commercial, unfinished, or visually disruptive booth elements may be restricted or subject to correction where they materially detract from the guest experience or event ambiance.


The Faire reserves the right to establish and enforce standards relating to booth appearance, presentation, and visual compatibility with the event. For a more detailed and comprehensive explanation of the expectations associated with booth appearance, please refer to the “Vendor Booth Setup and Appearance Standards” document provided by Vendor Management, on behalf of the Spokane Entertainers Guild.


 Setup, Load-In, and Arrival Requirements

Vendors must arrive, unload, and complete booth setup during the designated load-in times communicated by event management. Vendors are responsible for arriving with sufficient time, labor, equipment, and preparation to complete setup safely and on time.


Late arrival may affect a vendor’s ability to access the marketplace by vehicle and may require unloading from alternate locations or the use of manual transport methods in order to preserve guest safety and event operations. Event management reserves the right to deny vehicle entry into active event areas once public operations, pedestrian movement, or site restrictions make such access unsafe or impractical.


The vendor is responsible for ensuring that booth setup is completed prior to opening and in compliance with all event requirements. For a more detailed and comprehensive explanation of the expectations associated with Setup, Load-In, and Arrival Requirements, please refer to the “Vendor Load-In & Setup Quick Guide” document provided by Vendor Management, on behalf of the Spokane Entertainers Guild.

 

 Market Hours and Required Booth Operation

Vendors are expected to remain open, staffed, and operational during all posted market hours applicable to their participation. Consistent booth operation is essential to the guest experience, marketplace quality, and fairness to all participating vendors.


Late opening, early closure, temporary abandonment of the booth, or breakdown during operating hours is not permitted without prior approval or direction from event staff. Vendors are expected to maintain active and professional participation for the duration of the event hours for which they are registered.


Failure to maintain required hours may be considered in future application review and participation decisions.


 Closing Procedures

All vendors are expected to begin closing only at the official posted market closing time. Within fifteen minutes of closing, vendors must conclude all customer transactions, close lines, clear patrons from the immediate booth area, and cease active sales operations.


Vendors must not initiate new customer transactions after the posted (15-minute window) closing time. It is the vendor’s responsibility to manage customer flow and lines appropriately so that all active transactions are completed within the designated closing window.


These procedures exist to support guest flow, site clearing, security operations, event transitions, and orderly end-of-day operations. If a Knight Market or other evening market segment is offered, the same closing expectations apply to the end of those posted operating hours.


 Knightfall Night Market Participation

If the Spokane Renaissance Faire offers a Knight Market or other extended-hours marketplace opportunity, participation shall be governed by the event’s posted requirements for that program. Vendors who elect and are approved to participate in such programming must remain open and staffed for the full applicable hours and must comply with all related operational and closing procedures.


Additional fees, requirements, placement considerations, lighting expectations, or participation limitations may apply depending on the structure of the event and the vendor’s approved registration.


  Vendor Load-Out and Teardown

For safety and operational control, vendors may not begin dismantling their booth, packing merchandise, collapsing displays, or bringing vehicles into the marketplace while guests remain present unless specifically authorized by event staff.


Teardown and load-out may begin only after the marketplace has been cleared of patrons and event staff have authorized vendor breakdown and vehicle movement. Vendors must follow all instructions provided by event staff regarding teardown sequence, vehicle access, exit routes, and load-out timing.

Unauthorized early teardown or premature vehicle entry into active event areas is a serious operational issue and may affect future participation eligibility.


 Attendance, Cancellation, and No-Show Policy

Accepted vendors are expected to participate for the full duration of the event unless other arrangements are approved in advance by event management.


Vendors who are unable to attend must notify the Faire as soon as reasonably possible. Any refund eligibility shall be governed by the applicable vendor payment and refund policy in effect for the event.


A vendor who fails to arrive during the designated load-in period and does not provide notice may be treated as a no-show. In such cases, event management reserves the right to reassign the space, deny refunds, decline future applications, or take other administrative action as appropriate.


Repeated late cancellations, no-shows, or attendance failures within a multi-year period may be considered during future vendor review.


 Booth Safety, Children, and Animals

Vendors are responsible for maintaining a safe booth environment at all times. All tents, canopies, shelving, displays, equipment, and booth materials must be properly secured, suitable for outdoor conditions, and arranged in a manner that does not create hazards for guests, neighboring vendors, or event staff.


Walkways, booth entrances, and emergency access areas must remain clear. Sharp objects, tools, fragile items, heavy objects, and any potentially hazardous materials must be displayed and handled responsibly. Event staff may require immediate correction of booth safety issues.


Children accompanying a vendor must be supervised at all times. Vendors are fully responsible for the safety, behavior, and control of minors within their booth area. The Faire is not responsible for supervising vendor children or ensuring their safety within an operating booth environment.

 

Animals brought by vendors must be lawful, well-behaved, under control, and must not create sanitation, safety, or disruption concerns. Event management reserves the right to require the removal of any animal that is aggressive, disruptive, unsafe, or otherwise inconsistent with event operations. Lawfully protected service animals assisting individuals with disabilities remain permitted in accordance with applicable law.


 Vehicle Removal, Parking Restrictions, and Onsite Vehicles

All vendor vehicles, vendor-affiliated vehicles, volunteer vehicles, participant vehicles, and any other non-authorized personal vehicles used for load-in, unloading, setup, support, or transport must be fully removed from the interior Faire grounds prior to the official opening of the event each day.

No personal vehicle may remain inside the active event grounds, vendor market lanes, guest-facing areas, pedestrian zones, internal access roads, or other non-designated parking areas during Faire operating hours unless expressly authorized by event management for a specific operational necessity.


Once unloading is complete, all such vehicles must be promptly relocated to the designated vendor parking or other approved off-grounds participant parking areas. This requirement applies regardless of convenience, proximity to the booth, weather, loading difficulty, or the absence of a direct reminder from event staff. It is the responsibility of each vendor and participant to plan arrival, unloading, and setup accordingly.


Vehicles may not be left behind booths, beside structures, near entrances, along internal roads, adjacent to operational lanes, or in any area not specifically designated for permitted event parking. Unauthorized vehicle presence within the event footprint after opening undermines guest safety, compromises the immersive environment, interferes with operations, and may obstruct emergency access or event logistics.


Any non-authorized vehicle left inside the Faire grounds after official opening, or remaining onsite during active public operations without express authorization, shall be subject to a $100 vehicle violation fee per vehicle, per occurrence. This fee may be assessed to the responsible vendor or affiliated participant at the discretion of event management.


In addition to any fee, the Faire reserves the right to require immediate relocation of the vehicle and to consider repeated violations in future participation decisions.


 Safety Regulations and Restricted Equipment

Vendors must comply with all safety requirements established by event management, the venue, fire code authorities, public health authorities where applicable, and any other governing operational or legal standards relevant to event participation.

 

Generators, cooking devices, heating equipment, fuel-based equipment, electrical systems beyond standard low-risk use, and any other potentially hazardous or regulated equipment must be disclosed in advance and may require approval prior to use onsite.


Weapons, prop weapons, edged items, or similar merchandise offered for sale must comply with all applicable event safety rules and may be subject to inspection, peace-bonding, display restrictions, or sale restrictions at the discretion of event management.


Open flames and fires of any kind are prohibited, this includes firepits, campfires, or anything of that nature that is considered uncontrollable.


 Licensing, Permits, and Tax Responsibility

Vendors are solely responsible for obtaining and maintaining any business licenses, tax registrations, permits, certifications, product compliance requirements, or other legal authorizations required for their business operations, merchandise, services, or event participation under applicable local, state, and federal law.


Vendors are also solely responsible for collecting, reporting, and remitting any sales tax or other taxes required in connection with their participation. The Spokane Renaissance Faire does not assume responsibility for vendor tax reporting, licensure, or regulatory compliance.


 Policy Enforcement and Corrective Action

Event staff and authorized leadership may address policy violations through verbal reminders, formal warnings, required corrective actions, temporary suspension of sales, restricted operations, removal of individuals, closure of a booth, or removal from the event, depending on the nature and severity of the issue.


Vendors are expected to comply promptly and professionally with directions issued by event staff regarding safety, operations, event logistics, booth presentation, parking, merchandise, conduct, and policy compliance.


Repeated violations, refusal to comply, dishonest representations, unsafe conduct, harassment, illegal activity, or other serious disruptions may result in immediate corrective action up to and including removal from the event without refund. The Faire reserves the right to take immediate action where safety, legality, or event integrity requires it.

 

 Liability and Assumption of Risk

Vendors are responsible for their own property, merchandise, displays, equipment, furnishings, staff, and booth operations. Participation in an outdoor public event involves inherent risks, including but not limited to weather, ground conditions, theft, accidental damage, public interaction, and operational disruption.


To the fullest extent permitted by law, the Spokane Renaissance Faire, its organizers, board members, staff, volunteers, venue partners, affiliates, and representatives shall not be liable for loss, theft, damage, injury, or other claim arising from vendor participation except to the extent such liability cannot lawfully be disclaimed.


Vendors participate at their own risk and are encouraged to maintain their own insurance appropriate to their business and event activity.


 Weather Policy

The Spokane Renaissance Faire is an outdoor event and is generally intended to operate rain or shine. Vendors are expected to be prepared for outdoor weather conditions appropriate to the season, venue, and operating environment.


Unless event management determines that severe weather, unsafe site conditions, or other emergency circumstances require closure, delay, cancellation, or operational modification, vendors remain responsible for fulfilling their participation obligations under normal outdoor event conditions.


 Media Release & Vendor Agreement

By participating in the Spokane Renaissance Faire, vendors grant permission for the event and its authorized representatives to photograph, film, or otherwise record their booth, merchandise, signage, staff, and public-facing activities for promotional, archival, marketing, documentary, or related event purposes without additional compensation.


By submitting a vendor application, accepting participation, remitting payment, or otherwise participating as a vendor in the Spokane Renaissance Faire, the vendor affirms that they have read, understood, and agreed to these Terms & Conditions, and that all information provided to the Faire in connection with their application and participation is accurate and complete.
