About the application

On Behalf of the City of Springfield, we would like to extend an invitation for you to join us at our 2026 Springfield Fall Festival. Our one-day festival is packed with excellent foods, first class entertainment, and a unique variety of vendors that will attract visitors to our festival from all over the Southeast. 

 

The festival features free live concerts, children’s area, Arts and craft vendors and a fantastic food selection. We would love you to be a part of this festival and we cannot wait for this family-friendly fun-packed weekend! 

About the event

The annual Springfield Fall Festival held in downtown Springfield on the second Saturday of November. We pride ourselves on providing excellent food vendors, first class live entertainment, activities for the whole family, and a unique variety of vendors that will attract visitors to our festival from all over the Southeast.

Food Vendor Rules and Guidelines

 

Food Vendors Set up/Take Down: Food vendors should set up their booths Saturday morning between 6:30am and 9:30am. Food Vendors with large trailers or Food Trucks are encouraged setup Friday afternoon/evening if desired. Note that the roadway will be open to traffic and the Festival Committee is not responsible for any Food Trucks or Trailers that are left over night. Food Vendors will not be able to remove their booths until after the festival ends at 10:00pm on Saturday Night.

 

Food Truck Power Hook ups: Power will be available to all those registered as food vendors. Use of onboard generators during the festival is highly discouraged. While we will have generators onsite, we will time to run our power cables and set up our connections during set up on Saturday Morning. Power may not be available for use until 9:00am - please be prepared to use onboard generators, if necessary, during setup. All vendors will be allotted one 30amp outlet. We understand that some power requirements may be unique and we will do our best to accommodate everyone. Please check with the festival committee prior to the event date to ensure your power needs can be met. A limited number of adapters and converters will be available but are not guaranteed. Anyone that uses a Festival Adapter and fails to return it after the festival will be charged for the value of the adapter. 

 

Food/Drink Restrictions: No alcohol sales by vendors will be allowed. Food Vendors must limit their menu selections for this festival – there will be a maximum of 4 main entrée items per vendor (this limit does not apply to or include side items and/or drinks). Vendors who sell food items being prepared onsite must be registered as Food Vendors. All food vendors will be required to possess a valid food service permit prior to selling food at the festival. Please reach out to Effingham County Department of Public Health if you have any concerns regarding your ability to receive a food service permit.

 

Application Acceptance: Food Vendors will be accepted according to various factors including, but not limited to, variety of offering, date of application submission, new or returning vendor and at the sole discretion of the Springfield Fall Festival Committee. Prior participation does not guarantee entrance into the festival.

 

THE CITY OF SPRINGFIELD AND THE FALL FESTIVAL ARE NOT RESPONSIBLE FOR ANY LOSS OR DAMAGE TO VENDOR’S VEHICLES OR PROPERTY DURING THE SET-UP TIMES OR DURING THE FESTIVAL.

 

Vendor Take Down Food Vendors will not be allowed to exit festival area until after 10:00pm on Saturday night. There will be large crowds in the stage and food area and vehicles will not be allowed in or out of the festival area until after 10:00pm. 

 

Security: Uniformed security will be on patrol beginning at 6:00am on Saturday until close of the festival.   

 

Booth Items: The festival committee does not provide tents, tables, or chairs to vendors. All tents, tables and additional equipment needed must fit within the purchased space. Tents, tables, trailer tongues, door swings and serving areas should all fit withing the purchases space. No exceptions will be made. If you plan to use a generator, you must note this on your application so we can place you accordingly. Generator placement and annoyance will be determined by the festival committee; please be prepared for generators to be up to 100’ from your booth. Booth tents must be tied down and secured at all times. The Fall Festival Committee reserves the right to ask vendors to remove their tents and/or generators if either are determined to be causing a nuisance, unsafe or in danger of causing harm. 

 

Booth Locations: Booth locations will be determined by the festival committee. Booth assignments will be available at vendor check-in.  Requests may be considered, but special treatment is not guaranteed. Note that the location of the stage and food court may not be the same as previous years.

Food or beverage cart/tent space under 15 feet $200.00 Non-refundable Food or Beverage Cart/Tent space : 10 feet wide and up to 15 feet long. The entire footprint of your food preparation and serving area must fit within the space selected.
Food Truck/Trailer Space up to 20 foot $250.00 Non-refundable Food Truck/Trailer space : 10 feet wide and up to 20 feet long. The entire footprint of your food preparation and serving area must fit within the space selected.
Food Truck/Trailer Space up to 30 feet $325.00 Non-refundable Food Truck/Trailer space : 10 feet wide and up to 30 feet long. The entire footprint of your food preparation and serving area must fit within the space selected.
Food Truck/Trailer Space up to 35 feet $375.00 Non-refundable Food Truck/Trailer space : 10 feet wide and up to 35 feet long. The entire footprint of your food preparation and serving area must fit within the space selected.
