Important Note!
Please complete the correct PRICE selection per your offered goods. We will verify the status of your application (RETAIL, FOOD, In-state, Out of State, International) prior to approval, please ensure you are selecting the correct price level for payment. Submission of the Vendor Application is not a confirmation of your participation in the event. Only upon APPROVAL, will you receive confirmation information and additional registered vendor instructions.
APPROVAL is confirmed after the review of your products, and the method of payment on file is charged. (Your payment method will be processed upon approval.) Please note, updates and details about vendor load in, site visits, and additional impertinent information for your success with us will be sent out closer to the event start date. A team member is always available for your questions prior to the event, but finalized details will be shared with all approved vendors within the appropriate time schedule. We look forward to having you all with us as vendors as we our city and usher in the next phase of Atlanta!
**Terms and Conditions**:
All authorized vendors must adhere to all laws and ordinances applicable. Atlanta Music Arts and Culture Foundation operates in good faith in organization, promotion, and execution of our events.
Tap-To-Pay Safe Sales Program: I’M SO ATL Arts and Culture Festival will be a cashless festival meaning that all payments on festival grounds will be electronic payments through our approved point-of-sales system Rebelity Software. All vendors will be required to utilize Rebelity Software on site at all times to process sales. All vendors will be provided two handheld Rebelity Software P.O.S. devices free of charge for each vendor permit reserved. Attendees will be instructed via online and on site marketing to safely load funds to a Rebelity account or purchase electronic Rebel Bucks to pay at all point-of-sale locations on festival grounds. Rebel Bucks are electronic tickets that can be redeemed at any vendor for goods and services. When redeemed at a vendor point-of-sale, the vendor will receive the actual funds via Stripe processing directly to their account.
This will ensure Safe Tap for our attendees while preventing the carrying of cash and guarantee transactions for our vendors. A Rebelity Software representative will hold several online tutorials prior to the festival that will be free to attend for all vendors.
ALCOHOL / THC: Vendors may NOT sell or distribute ANY alcoholic or THC infused beverages.
BEVERAGES: VENDORS WILL BE ALLOWED TO SELL ONLY BEVERAGES FROM THE APPROVED BEVERAGE LIST PROVIDED BY THE FESTIVAL. The approved beverage list will be provided a few weeks before the festival. NO beverages outside of the approved list provided will be permissible. The first violation of this policy will result in forced shut down of business for the violating vendor for the remainder of the festival day.
Second violation will result in forced shutdown for the remainder of the festival, forfeit of all vendor registration fees and permanent ban from future events.
Vendors will have the option to purchase their retail beverages at the festival’s wholesale / bulk price by purchasing directly from the festival's concession team.
Homemade / Custom NON-ALCOHOLIC BEVERAGES: Food Vendors (only) will have the opportunity to purchase a Custom Non-Alcoholic Beverage Permit from the festival which will allow them to prepare and serve vendor prepared non-alcoholic beverages such as lemonade or custom punches. This permit allows for two (2) flavors of a custom non-alcoholic beverage. The flavor choice will be at the discretion of the vendor.
NO ALCOHOLIC BEVERAGES or ANY FOOD ITEM NOT ACCEPTABLE FOR ATTENDEES UNDER 21 YEARS OF AGE!
The first violation will result in forced shutdown for the remainder of the festival, forfeit of all vendor registration fees and permanent ban from future events and possible civil / criminal legal action.
MERCHANDISE LIABILITY: All vendors assume all liability for their permitted booth and/ or property, merchandise, etc. All vendors are required to provide proof of special event vendor insurance with Atlanta Music Arts and Culture Foundation listed as additional insured. IMPORTANT NOTE: Security and APD at the event site, they are unable to be in all areas at once. To reduce the risk of theft and lost revenue, please secure your booth each evening.
PAYMENTS:There will be NO REFUNDS of the vendor/ sponsor fees, so be sure you are available to attend. NO REFUNDS will be honored due to scheduling conflict, illness, or any additional personal reasons. This is a rain or shine event, within reason. If inclement weather disrupts the event or creates any hazards on the festival grounds, we reserve the right to pause, postpone or cancel the event day individually or the festival as a whole. The festival will determine if a partial, prorated or portion of the vending fees are to be refunded. Please understand that is not a guarantee of refund whereas we have a strict no refund policy but, we will take extenuating circumstances into consideration.
Weather: Although we will make every effort to hold all festival days in full, inclement weather is always a possibility. We suggest all vendors carry special event weather cancellation insurance. Vendors assume all liability of their products and services and can/ will NOT hold Atlanta Music Arts and Culture Foundation liable for any damage or destruction to their property while at any Atlanta Music Arts and Culture Foundation or affiliated event. Vendors and sponsors shall not find Atlanta Music Arts and Culture Foundation. liable for any sales affected by weather, terrorist attack or disruption, act of God, unreasonably low attendance or any other cause resulting in lower than expected return on investment for the sponsor, vendor, etc. Atlanta Music Arts and Culture Foundation as well as the City of Atlanta Mayor’s Office, Atlanta Fire and Rescue, and Atlanta Police Department has the right and responsibility to pause and /or stop the event if unsafe conditions should arise. These instances will be considered Official Safety Acts and will not result in refunds of any kind.
PERMITS/VENDING VALIDITY: Each vendor will receive an electronic (and physical) copy of their permit as well as instructions for load in/ out for the day of the event. Each vendor is responsible for setting up, and maintaining their respective tent, booth, table(s) etc. as well as set up and break-down of their permitted area as well as disposal of trash in designated gathering points.
All vendors are required to provide an A,B,C,D, E Type Fire Extinguisher for their activation.
POWER WILL NOT BE PROVIDED. If your booth/tent/food truck requires a generator you must bring a generator ( under 6,000 watts) to provide power to your activation. If bringing a generator, you will need a Vendor Generator Permit which must be purchased from the festival. You will be required to provide an A,B,C,D, E Type Fire Extinguisher for the generator that must stay attached to the generator. The generator must be no less than 15 feet from yours or others tent or activation as well as meet other requirements including inspection of your generator prior to operation. Each event day, Atlanta Fire and Rescue Department Inspector will inspect all vendor booths / tents / food trucks prior to the event opening. Any infractions found must be resolved to the satisfaction of the AFRD Inspector BEFORE that vending booth/tent/food truck will be allowed to operate.
Sanitation:
You must bring EVERYTHING you need to set up successfully for the weekend. Access to water will not be provided. Each vendor is expected to be responsible for proper placement of trash, used grease, graywater, etc. or any other byproduct of their operation in proper receptacles to be removed upon close of operations each day.
All food vendors are required to purchase a $50 sanitation permit reserved for restoration of activation areas.
All Food Vendors are required to tarp the cooking/serving portion of their activation footprint to prevent spills of any kind from damaging the event grounds and nature preserve.
All vendors will receive load-in instructions prior to the event that will further outline sanitation, safety and emergency response details.
Any violation of environmental health or safety will be considered a violation of the terms of the festival and can result in criminal and/or civil liability for the vendor.
HARASSMENT: All Atlanta Music Arts and Culture Foundation events are SAFE spaces and harassment of ANY form will not be tolerated and considered a HIGHEST order violation. Harassment of vendors, event staff & talent, attendees or any persons on festival grounds of any kind is prohibited and will be addressed by event staff and /or law enforcement.
FOOD SAFETY: All FOOD vendors are required to follow the Fulton County EHS food safety standards and may be asked to complete the Fulton County EHS Food Vendor Temporary Event Application and menu for the event, then submit them to Festival and Logistics , LLC for consideration.
ALL APPROVED FOOD vendors must provide a complete menu for the event no less than seven days prior to the event. If you do not have a food operating license/ permit, Serv-Safe, etc, Fulton county. State of Ga, City of Atlanta food prep/serve permit, you may be required to take a one-day food safety class for Food Health and Safety administered by the Fulton County Environmental Health and Safety Dept. at the vendor’s expense. Cancellation of vendor agreement without refund, shut down on site.
Prohibition from doing business for the remainder of the event.
Required to load out at pre-approved load out time at event day conclusion, not before.
Civil and criminal action against violators including City of Atlanta fines and criminal imprisonment.
