WAIFUCON™, the Premier 18+ Anime Hotel Convention in Birmingham, Alabama, is Bringing the Gift of Waifu to the South.

The following is our application to be considered as an exhibitor for WAIFUCON, Friday, October 22nd - 25th, 2026.

For our exhibitors and artisans looking for a more curated convention experience, we encourage you to look into our WAIFUCON™ Sponsorship Packages. 

1.Booths must remain intact and manned throughout the hours of the convention and may not be dismantled prior to the closing of the convention without authorization from Convention Operations. WAIFUCON™ will not be held responsible for any issues arising from an unmanned booth during show hours.
2.All sales are final and no refunds will be processed. By purchasing a table or booth at this event, you acknowledge this no refund policy.
3.Exhibitors must comply with all local, state, and federal laws, and will not hold management liable for any breaches, losses, injury, or damage to themselves or their property. All exhibitors agree to hold blameless WAIFUCON™ and all WAIFUCON™ staff members and workers against any loss, damage, theft, expenses, claims, or actions arising from any personal or property damage, loss, or theft due to said exhibitors participation in WAIFUCON™. Exhibitors should take reasonable measures to cover their items before they leave their booths at night. Exhibitors are responsible for their own security during show hours.‍ All Vendors will have to sign a Waiver of Liability Form to be kept on file at the Hilton Birmingham Downtown at UAB property.
4.WAIFUCON™ will NOT provide or maintain insurance coverage for exhibitor’s persons or property, and it is their sole responsibility to obtain insurance covering the loss.
5.Rules for DISPLAYS and SIGNAGE

Use of wall or ceiling hangings is PROHIBITED.

Any Damage cased by unauthorized handing/ or placing of displays and signs will be the responsible of the exhibitor.
6.WAIFUCON™ does not endorse any exhibitor’s merchandise, exhibits, views, beliefs, or actions. All merchandise bought or sold at WAIFUCON™ is done strictly between exhibitors and attendees. WAIFUCON™ is NOT a party to, or responsible in any way for any transactions made between said parties.
7.No Vaping Pen, Vape, Tobacco, or Alcohol is allowed on the Premises unless purchased through the Hilton Birmingham Downtown at UAB.
8.No Bootleg Toys, DVDs or CDs. Representatives from various studios will be at the convention. No refunds will be given if you break this rule and are asked to leave.‍
9.No outside Food/Snacks Vendors are allowed in the convention area. NO Exceptions. If you are caught selling food and/or snacks of any kind at your booth you will be asked to breakdown and removed from the convention. 
10.Keep your exhibition space CLEAN, and pick up any trash during and after the event. Vendors who do not keep their spaces clean, and ensure a clean space after breakdown, will not be welcomed back for Waifucon. 
11.No exhibit may block or interfere with other exhibits or aisle space. Any damage caused to the building or its furnishings by the Exhibitor is the sole responsibility of the Artist/Exhibitor.
12.Adult Material and art are permitted in Exhibition Hall of WAIFUCON™. Vendor recognizes that ultimate approval of any and all displays or merchandise is subject to WAIFUCON™ discretion, and any decisions so rendered are binding and final.
13.No underage characters art or merchandise allowed - violators subject to immediate removal from the venue without refund and blacklisted from future events of WAIFUCON™.
14.No sales on-site or promotion for online or off-site sales of any guns real or replica.
15.State tax is the responsibility of the artist/exhibitor to collect according to state laws.

Load-In and load-out

All Vendors must load and unload all items through Hilton Birmingham Downtown at UAB's back-dock area. 

All Vendors must check-in before unloading their vehicles. 

Further instructions will be sent out closer to load in. 

Shipping packages to Hilton Birmingham Downtown at UAB

Due to limited storage space, the Venue will not accept any packages more than 3 days prior to the event (Set-up date: Thursday October 22nd, 2026)
