By submitting this application and participating as a vendor/exhibitor at the Charm City Wellness Expo, you agree to the following terms and conditions:

1. Acceptance & Payment

Vendor space is limited and subject to approval. Baltimore City Recreation & Parks reserves the right to decline any application.
Payment is due upon acceptance. If payment is not received by the deadline, the space may be forfeited.
2. Setup & Breakdown

Setup time begins at 9:00 AM. All vendors must be fully set up by 11:30 AM.
Vendors must not dismantle displays or leave the premises before 4:00 PM, unless directed by staff.
All vendor materials must be removed by 5:00 PM on the day of the event.

3. Space & Equipment

Vendor spaces include (1) table and (2) chairs unless otherwise arranged. Any additional setup must be pre-approved.
Exhibitors are responsible for bringing their own table coverings, signage, promotional materials, and extension cords (if electricity was requested and approved).
Electricity is limited and must be requested in advance. Vendors must provide their own power strips and cord covers.

4. Permits & Licensing

All vendors must comply with local, state, and federal regulations.
Food and beverage vendors must have a valid Temporary Food Permit from the Baltimore City Health Department and provide proof of insurance.

5. Liability & Insurance

Baltimore City Recreation & Parks, its staff, volunteers, and affiliates are not responsible for any damage, loss, or theft of vendor property.
Vendors agree to indemnify and hold harmless the City of Baltimore and Baltimore City Recreation & Parks from any claims, losses, damages, or injuries arising from participation in the event.
Proof of general liability insurance may be required. If required, it must list "Baltimore City and Baltimore City Recreation & Parks" as an additional insured.

6. Behavior & Compliance

Vendors must remain professional and courteous at all times.
Amplified sound (music, speakers) is not permitted without prior approval.
Vendors are expected to keep their area clean and free of debris.
Any vendor found in violation of these terms may be asked to leave the event.

7. Cancellation Policy

Cancellations must be submitted in writing no later than August 1, 2026 to be eligible for a refund (minus a $25 administrative fee).
No refunds will be issued for cancellations after this date or for no-shows.

8. Inclement Weather

This is an indoor/outdoor event and will take place rain or shine.
In the unlikely event of a citywide emergency or closure, vendors will be notified and offered an alternate date or refund.
By submitting your application, you acknowledge that you have read, understood, and agree to abide by the terms and conditions outlined above.
