1. Application and Payment

Application Review:
Submission of an exhibitor application does not guarantee acceptance. All applications are reviewed to ensure a balanced and appropriate exhibitor mix. Approved exhibitors will receive an invoice upon acceptance.

Payment Terms:
Full payment is required within 15 days of invoice issuance to confirm your space. Failure to remit payment within this timeframe may result in forfeiture of your space and require reapplication.

 
2. Cancellation and Refund Policy

Cancellation by Exhibitor:
• Cancellations made 90+ days prior to the event are eligible for a 50% refund
• Cancellations made 45–89 days prior to the event are eligible for a 25% refund
• No refunds will be issued within 45 days of the event or for no-shows

Event Cancellation or Postponement:
In the event C4 must be cancelled or postponed due to circumstances beyond organizer control (including but not limited to natural disasters, venue issues, or government restrictions), exhibitors will receive either a full credit toward a future C4 event or a refund, at the discretion of event organizers.

 
3. Booth Specifications and Assignments

Included Amenities:

Indoor exhibitor spaces include:
• One (1) 8-foot table
• Two (2) chairs

Electrical access may be limited and is not guaranteed unless specifically arranged in advance.

Booth Placement:
Exhibitor placement is determined by event organizers to ensure optimal flow and attendee experience. While placement requests will be considered, they cannot be guaranteed.

 
4. Exhibitor Responsibilities

Setup & Teardown:
Exhibitors must be fully set up by the designated opening time on Day 1 and must remain open and operational during all posted show hours. Early teardown or abandonment of space may impact eligibility for future events.

Permitted Merchandise:
C4 is a collector-focused event. Exhibitors may sell items such as:
• Trading cards, sports cards, and TCG products
• Sealed product, singles, slabs, and accessories
• Video games, collectibles, and related merchandise

The sale of stolen, counterfeit, bootleg, or unauthorized merchandise is strictly prohibited. AI-generated art or products are restricted.

Code of Conduct & Compliance:
Exhibitors must comply with all event policies, venue rules, and local/state laws. Prohibited items include functional weapons, illegal materials, and unauthorized retail activity outside assigned spaces.

 
5. Liability and Insurance Liability:

C4 – Carson City Card Convention, its organizers, staff, and venue are not responsible for loss, theft, damage, or injury incurred by exhibitors, their staff, or property.

Insurance:
Exhibitors are strongly encouraged to carry their own liability and property insurance for the duration of the event.

 
6. Nevada Tax Compliance

Sales Tax:
Exhibitors must provide a valid Nevada Sales & Use Tax Permit (Seller’s Permit) or indicate exemption status where applicable. Exhibitors are solely responsible for collecting and remitting all required sales taxes to the State of Nevada.

 
7. Promotional Participation

Marketing Support:
Exhibitors are encouraged to promote their participation in C4 via social media and other channels. Upon payment confirmation, exhibitors should announce their attendance and tag official C4 social accounts when possible. Promotional assets may be provided prior to the event.

 
8. Amendments
C4 reserves the right to amend these Terms & Conditions as necessary. Exhibitors will be notified of any material changes prior to the event.

By submitting an application and completing payment, you acknowledge that you have read, understand, and agree to abide by these Terms & Conditions for C4 – Carson City Card Convention.
