BST 2026 Vendor Contract

Contract: This form acts as a written contract between BST Gaming Con and the applicant.
Changes to Agreement: BST Gaming Con reserves the right to make changes to this agreement if necessary.
Vendors: Once contract has been approved and payment received, BST Gaming agrees to provide vendor with a 6' table for all booths (Inline, Wall, & Corner) unless otherwise noted.

Attending Requirements: You are not required to set up on Friday if you do not want to.  We will allow other vendors to use your spot for Friday, and we will make sure you have your spot for Saturday.  There is no discount for single day set ups.  We are trying 2 days for the convention goer, and the caliber of guests we are getting.  We didn't want to do Sunday either because Sunday in the Tri-Cities typically are reserved for church etc.

Hours will be Friday November 20th, 2026 1pm - 7pm normal hours (12:30 PM VIP Entry Friday) and Saturday November 21st, 2026 11am - 6pm (10am VIP Entry Saturday) Breakdown is no earlier than 6 PM on Saturday November 21st, 2026). Vendors agree to vacate the convention premises on Saturday November 8th, 2025 by 11:59pm.  Load in begins 6am both Friday & Saturday.  We ask you to be set up by 12pm Friday, and 10am Saturday.

Promotion: BST Gaming Con will actively promote the event but does not guarantee a specific attendance count. We had over 900 people through the door last year. 

  
Contract Applications: We reserve the right to deny vendors to ensure booths are primarily Video Games And / Or TCG products.  We ask your booth is primarily one of the areas of interest.  We may accept you if you have something that fits our show such as retro toys etc.
Saving Spaces: Booth spaces will not be saved until vendor has paid in full. 
Refunds: We do not offer refunds.

Weather: This is a rain or shine event (event is indoors).

Copyrighted Material and AI: BST Gaming Con does not allow bootleg products or AI-generated art. All reproduction products must be clearly marked. BST Gaming Con reserves the right to determine what is an acceptable product.

Offensive Material: BST Gaming Con is a family-friendly event and reserves the right to judge and potentially eject vendors for displaying inappropriate or offensive materials.

Prohibited Activities:  Alcohol & Food will be sold in the hallway between the two event rooms. That being said Activities like smoking (Tobacco, Weed, or Excessive Vaping), selling unpackaged food, and / or excessive drunkenness are not allowed in the exhibit hall.    Alcohol will be served by Holiday Inn.  However, we still aim for this to be an enjoyable event for all.

Compliance with Laws: Vendors must follow all local, state, and federal laws, especially concerning sales and taxes.

Behavior: Vendors must follow general convention attendee rules.  It helps everyone if you act like an adult.
Setup and Decoration: Vendors must ensure all materials and decorations adhere to venue policies.

Security: BST Gaming Con will provide after-hours security. BST Gaming Con is not responsible for any loss or damage to vendor materials, goods, samples, or other property that may occur.  

Insurance: It is the responsibility of the vendors to have their insurance coverage.

Liabilities: Vendors will hold BST Gaming Con and the convention location harmless for any personal injury or damage to goods that may occur.

Abandonment: If a vendor has not checked in One Hour (12PM Friday / 9AM Saturday) prior to the time doors open for attendees, their booth will be considered abandoned for the day and will be sold to another vendor.

Venue Damages: Vendors are not to deface any venue materials permanently.

Adult Material: Sales or distribution of adult-themed material are strictly prohibited, and BST Game Con has the authority to remove any displays that are inappropriate.

Weapons: The sale or display of weapons and other questionable materials is forbidden.
 

Violation: Violators of the terms & conditions of this agreement will be asked to cease operating their booth and forfeit fee payment. Participation in future events run by BST Gaming Con may also be denied.
