Food Vendors

Welcome to the Clear Pro & DBR Trunk or Treat Car Meet event. This is a family-friendly evening focused on community, candy, cars, and fun for all ages.

Event Hours: 3:30 PM – 6:00 PM

Setup Deadline: All vendors must be fully set up by 2:45 PM

Estimated Attendance: Approximately 150-200 children

This is a Trunk or Treat first and foremost. Food vendors are invited to participate on a very limited basis to complement the event, not serve as the main attraction.

To maintain balance and a family-friendly environment, only a small number of pre-approved food vendors will be accepted.

Approved food items should be simple and easy to serve, such as tacos, hot dogs, pretzels, popcorn, or baked goods. All food must be prepackaged or prepared in compliance with local health and safety regulations.

No full-service food trucks or large-scale catering setups will be accepted.

All applications will be reviewed for fit and compliance. Approval is based on space, category balance, and event needs. By applying, you agree to follow all event guidelines and terms outlined in the participation rules.

General Information

• Participation is FREE. There is no cost for businesses to join this event.

 • Space is limited to 6 approved participants.

 • Event hours: 3:30 PM – 6:00 PM

 • Setup must be complete by 2:45 PM. Late arrivals may not be permitted.

 • Please plan for approximately 150-200 children.

 • Participation is by approval only to ensure the event remains family-focused and balanced between community fun and local business involvement.

Candy & Treats

 • Each participant is responsible for providing their own candy, giveaways, or small treats.

 • Please plan for approximately 150-200 children.

 • All items must be individually wrapped and safe for kids.

Family-Friendly Environment

 • All decorations, costumes, and materials must be appropriate for children and families.

 • No excessive gore, political, or offensive displays are permitted.

 • Help us maintain a positive, community-centered environment that focuses on Halloween fun for kids.

Food Vendors

 • Limited food participation is allowed — this is a Trunk or Treat first and foremost.

 • Only up to 6 pre-approved food vendors will be accepted to provide light refreshments or snacks.

 • Food items must be prepackaged or prepared in compliance with local health and safety regulations.

 • All food vendors must have prior approval before attending or selling items.

Setup & Cleanup

 • Vehicles must be parked and fully decorated by 2:45 PM.

 • Participants must remain for the entire event (4–6 PM) unless dismissed by event staff.

 • All participants are responsible for cleaning their space before leaving.

Vehicle & Safety Rules

 • Vehicles must remain parked and turned off for the entire event.

 • No moving vehicles are permitted in the event area once setup is complete.

 • Decorations and displays must be secure and safe for children.

Business Promotion

 • Businesses may hand out flyers, coupons, or small promotional items with candy.

 • No active sales, demonstrations, or large displays are permitted without prior approval.

 • Food vendors are the only participants permitted to sell items on-site.

Liability & Disclaimer

 • By registering, participants agree to release Clear Pro & DBR  from liability for any injury, loss, or damage incurred during the event.

 • Participants are responsible for their own vehicle, decorations, and giveaways.

Event Changes

 • Clear Pro & DBR reserves the right to cancel, postpone, or modify the event due to weather, safety, or unforeseen circumstances.

 • This event will proceed rain or shine, unless safety is compromised.

Code of Conduct

 • Organizers reserve the right to decline or remove any participant not complying with these rules or event standards.
