Westside Holiday Market – Vendor Application Description

We are excited to welcome vendors to the Westside Holiday Market, a special indoor/outdoor community eventcelebrating the season with local shopping, entertainment, and holiday fun!

This application is for a MOBILE Vendor space. Eligible vendors may include (but are not limited to):

• Food Trucks

• Mobile Boutiques

• Coffee / Beverages

• Popcorn etc.

Vendor Tradition & Requirement

Since our very first Holiday Market, it has been a fun tradition that all vendors participate in our Holiday Swag Bags. Each accepted vendor is required to donate 20 tangible items that reflect your business.

• These items may not be coupons or paper advertisements alone.

• Examples include: a sample product, a small handmade item, branded merchandise, or a creative piece that showcases your business.

This tradition is one of the most loved parts of our market, and it helps highlight your business to attendees in a memorable way.

⚠️ Please note: If you are accepted as a vendor but choose not to participate in this required swag bag contribution, your vendor space will be forfeited and reassigned.

Westside Holiday Market – Vendor Terms & Conditions

The Westside Holiday Market is a juried event designed to celebrate local makers, artists, small businesses, and food vendors. To ensure a smooth and successful experience for all involved, vendors must agree to the following terms and conditions.

1. Booth Reservation & Payment

• Vendor spaces are assigned on a first-come, first-served basis once applications are approved and payment is received.

• All vendor fees are non-refundable unless the event is canceled by Westside Market.

• Vendors must remain for the full duration of the market and may not tear down early.

2. Booth Space & Setup

• Each vendor must provide their own tent, tables, chairs, and displays.

• Tents must be properly weighted. No staking into the ground is permitted unless otherwise noted.

• Mobile vendors, including food trucks or motorized mobile boutiques, are required to follow Cincinnati mobile guidelines and licenses. 

3. Swag Bag Requirement

• Participation in the Westside Holiday Market requires each accepted vendor to contribute 20 tangible items that reflect your business (not coupons). Examples: mini products, handmade ornaments, samples, branded merchandise, packaged treats, etc.

• These items will be included in our Holiday Swag Bags and promoted on Westside Market social media to highlight your business. Creativity is encouraged!

• Delivery Dates: All swag bag items must be delivered between November 3rd–7th to New Body Aesthetics (4004 Harrison Ave, Cincinnati, OH 45211).

  • Vendors must check in with the front desk when dropping off items.

  • If mailing items, vendors must notify us via email when shipped. Mailed items must arrive by November 7th.

• ⚠️ No items will be accepted after November 7th. Vendors who fail to meet this requirement will be removed from the market, and their space will be reassigned with no refund.

4. Permits, Licensing & Insurance

• Vendors are responsible for complying with all city, county, and state regulations, including sales tax permits, food permits, and health department approvals if applicable.

• Vendors are encouraged to carry liability insurance. The Westside Market and New Body Aesthetics are not responsible for theft, loss, damage, or injury.

5. Weather & Event Policy

• This is a rain-or-shine event. No refunds will be given due to weather.

• In the case of severe weather, vendors must follow instructions from market staff for safety.

6. Conduct & Promotion

• Vendors must conduct themselves professionally and respectfully toward guests, fellow vendors, and staff.

• Vendors agree to allow photos/videos of their booth, products, and swag bag items to be used by the Westside Market for promotional purposes.
