This is an electronic agreement. By selecting your booth(s) and completing this application, you are electronically validating and approving this agreement.

Terms & Conditions – Culture Goes K-pop Expo

By submitting this application, you agree to the following:

1. Application Review – All applications are subject to review. Submission does not guarantee acceptance. You will be notified via Eventeny when your status changes (approved, waitlisted, or declined)

2. Payment & Fees – Booth fees must be paid in full by the deadlines listed in your approval email. Failure to complete payment may result in cancellation of your space and reassignment to another vendor.

3. Cancellations & Refunds –

   • Cancellations made 60 days or more before the event are eligible for a 100% refund.

   • Cancellations made within 45 days of the event are non-refundable.

   • If the event is canceled by the organizer for reasons outside of vendor control (venue closure, city restrictions, etc.), vendors will receive a full refund.

   • No credits or transfers will be issued for future events unless specifically stated by the organizers.

4. Setup & Teardown – Vendors must follow the event’s scheduled setup and teardown times. Early breakdowns or late arrivals without prior approval may affect participation in future Culture events.

5. Permits & Compliance – Vendors are responsible for securing all necessary business licenses, health permits (if applicable), and insurance. Food and beverage vendors must comply with all city, state, and venue regulations.

6. Logo & Media Use – By submitting your application and logo, you grant Culture Goes K-pop Expo permission to use your name, logo, and submitted images in promotional materials, event signage, social media posts, and press coverage.

7. Liability Waiver – Culture Goes K-pop Expo, its organizers, and the venue are not responsible for any loss, theft, damage, or injury during the event. Vendors and participants assume all risks associated with their participation.

8. Conduct & Community Standards – All participants are expected to foster a welcoming and respectful environment. Harassment, discrimination, or disruptive behavior will result in immediate removal without refund.

9. Waitlist Policy – If the event is full, approved applicants may be placed on a waitlist. Waitlist status does not guarantee entry, but if space opens up, we will contact you directly.

Food Vendor Note – Fire & Venue Restrictions

> Important Notice for Food Vendors:

Due to Sheraton Mesa Hotel’s fire code and ballroom safety regulations, hot foods and cooking equipment (including propane, open flame, or electric griddles) are not permitted inside the venue.

Only prepackaged, pre-sealed, or ready-to-eat items that do not require onsite heating or cooking are allowed for this event.

Examples of permitted items include:

Prepackaged snacks (chips, candies, baked goods)

Bottled or canned beverages

Packaged desserts and sweets

Non-heated items prepared offsite

Vendors who arrive with prohibited equipment (propane, fryers, griddles, or warming trays) may not be allowed to set up, per Sheraton Mesa Hotel and City of Mesa fire safety guidelines.
