Vendor Application Oakdale Autumn Gathering 2025

This is the Vendor Application for Oakdale Autumn Gathering 2025. It is free to apply, but vendor fees will still be required before we can accept you. After we have reviewed your application, and email will be sent to you with payment instructions. This email will be from SQUARE. If you would like to use a different payment methods please send a message after you have submitted your application. Once you have been accepted to pay, we ask you submit payment within 24 hours. Our vendor spots are run on a first-come, first-served basis and your spot is only secure when payment has been received.

 EVENT DETAILS

 BOOTH SPACE

• Standard booth size is 12'x12' unless otherwise arranged.
  

• Vendors must provide their own tent, tables, and equipment.

• Vendor Setup starts at 10 AM. Setup must be complete by 1:00 PM.

Vendor Arrival, Setup and Breakdown 

• Vendors assigned to the pavement area can drive up to their vendor spot, unload and immediately move your car to the designated vendor parking area. 

• Vendors assigned to the lawn area, can unload in the church parking lot on the corner of H Street and Sierra. There will be volunteers driving our four golf carts to drive you and your belongings to your vendor spot. 

• Volunteers are only there to drive you and your belongings. They will not be able to lift, carry or help you set up. After dropping you and your belongings off the volunteers will need to get back so they can help the next vendors. 

• Vehicles must be out of the vendor area no later than 12:30 p.m. Please unload quickly and park your car before setting up your booth. We have many vendors to set up in the area and your patience will be needed.

• For Vendors Closing at 7:30 PM (Non-Food Vendors Only): There is a limited amount of golf carts and volunteers that may assist to help transport items to the designated vendor loading area. 

• This is a limited service, offered on a first-come, first-served basis, and we ask for your patience and cooperation

For Vendors Closing at 9:00 PM (Food Vendors & Extended-Hour Non-Food Vendors):

• Vendors located in the paved area must fully break down their booths BEFORE retrieving their vehicles.

• Do not bring your vehicle into the vendor area until after 9:30 PM.

• This helps ensure pedestrian safety and a smooth flow of traffic.

• General Guidelines for All Vendors:

• Breakdown must be efficient and complete, with the goal of being packed up and fully exited from the vendor area by 10:30 PM.

• Please be respectful of event staff, fellow vendors, and park rules during this process.

• Leave your space clean and free of trash or debris.

• More detailed information about vendor loading and unloading areas and vendor parking will be provided closer to the event.

 RULES & REGULATIONS

• All vendors must comply with local, state, and federal laws.
  

• Vendors are responsible for cleaning their space and removing all trash.
  

• We ask all non-food vendors to donate one item for our charity raffle. This year, we are supporting Care2u Dental Services.
  

• No early departures unless previously approved.

• No amplified music, political signage, offensive signage, or disruptive behavior.

• This is a family-friendly event.
  

FOR FOOD BOOTH VENDORS 

• All food booth vendors must comply with applicable federal, state, and local laws, ordinances, and regulations and obtain all necessary licenses, permits, and registrations.

• All food booth vendors must have a Temporary Food Facility Application for Permit filled out, signed and turned in to me by September 16th.  

• Must send in TFF Permit on Eventeny

INSURANCE & LIABILITY

• All vendors are required to provide proof of liability insurance.

• Vendor agrees to hold harmless Oakdale Autumn Gathering, the City of Oakdale, Oakdale Party Rentals, Brody Lev, Jonas Graham, Gary Lev and all associated staff, volunteers, and sponsors from any liability, loss, or injury resulting from participation in the event.

CANCELLATION POLICY

• No refunds will be issued after September 17th. There will be a 15% cancellation fee applied to your refund.
  

• The Organizer reserves the right to cancel vendor participation at any time due to rule violations, safety concerns, or unforeseen situations.
