Policies & Restrictions
No Refunds / No Date Transfers: All payments are final.
Space Limits: We are limited to 150 vendor booths and 10 food trucks.
One Vendor Per MLM Company: No exceptions.
No Booth Sharing: One business per booth space.
No Booth Resale: Booths cannot be resold, transferred, or given to another party under any circumstances.
If you are unable to attend, you must notify the event host immediately.
The host reserves the exclusive right to reassign the booth to a vendor on the official waitlist.
Unauthorized transfers or resales will result in immediate forfeiture of your booth and ban from all future events.
Approved Items Only: Vendors are permitted to display and sell only items approved during the application process.
Family-Friendly Event:
Strictly prohibited: Alcohol, vaping, illegal substances, foul language, or weapons.
Violations will result in immediate removal.
No Pets Allowed (service animals exempt per ADA guidelines).
Utilities: No electricity or Wi-Fi provided.
Vendor Equipment: Vendors are responsible for bringing their own tents, tables, chairs, displays, and coverings.
Clean-Up Requirement: Vendors must remove all trash and belongings from their space before leaving. Failure to comply may result in additional fees.
Early Teardown Policy (Legally Enforceable)
Vendors are required to remain fully set up and operational until 4:00 PM, the official end time of the event.
Early Teardown Fee: Any vendor who begins breaking down their booth before 4:00 PM will be charged a $250 early teardown fee.
Automatic Billing Authorization: By submitting an application and payment, you authorize the event organizer to charge the card on file for this fee if you violate this policy.
Future Event Eligibility: Vendors who incur this fee will be ineligible for participation in any future events until the balance is paid in full.
Rationale: Leaving early disrupts the flow of the event, discourages shoppers, negatively impacts sales for other vendors, and undermines marketing efforts.
Vendor Liability & Indemnification Waiver
By participating in Fall Festival 2025, the vendor (“Participant”) agrees to the following terms:
Assumption of Risk
Participant acknowledges and accepts full responsibility for any and all risks of injury, property damage, theft, or loss that may occur before, during, or after the event.
Parking Lot Takeover, Magnolia Town Center, Sanctuary Life Church, and all affiliates assume no responsibility for vendor property, merchandise, or personal items.
Release of Liability
Participant releases, waives, and forever discharges Parking Lot Takeover, its organizers, employees, contractors, volunteers, venue owners, sponsors, and affiliates from any claims, damages, or liabilities arising out of participation in the event, including but not limited to injuries, theft, fire, weather, accidents, or any act of God.
Indemnification
Participant agrees to defend, indemnify, and hold harmless Parking Lot Takeover, Magnolia Town Center, Sanctuary Life Church, and all affiliates from any claims, damages, expenses, or liabilities (including attorney’s fees) arising from:
Participant’s actions, products, or equipment
Injuries sustained in or around Participant’s booth
Any violation of this agreement or applicable laws and regulations
Insurance (Strongly Recommended)
Acknowledgment & Agreement
By submitting an application and/or payment, you:
Acknowledge that you have read, understood, and agree to abide by all event policies, rules, and conditions outlined above.
Understand that failure to comply with any policy may result in immediate removal from the event without refund.
Authorize Parking Lot Takeover, its affiliates, and designated representatives to charge any applicable fees (including the $250 early teardown fee) to the payment method on file.
Release and hold harmless Parking Lot Takeover, Magnolia Town Center, Sanctuary Life Church, and their representatives from any liability arising from participation in this event.
