ELIGIBILITY
Participation is open to all artists, makers, producers, and resellers age 18 or older.
All applicants are subject to approval by the Festival Committee. The Committee reserves the right to accept or deny any applicant and to approve or reject specific products, artwork, or designs.
Producers may sell their own farm or kitchen goods, including (but not limited to): fruits, vegetables, eggs, flowers, plants, cheese, cider, jams, jellies, relishes, honey, home-canned goods, and baked goods.
Health Department regulations apply. It is the vendor's responsibility to know and comply with all health and safety rules. Contact the Health Department for required inspections and approvals. No on-site cooking is allowed without prior written approval from the Festival Committee.
Vendors are responsible for complying with all local, state, and federal regulations relating to the production, handling, preparation, labeling, and safety of their products.
All exhibitors are solely responsible for their products. Calera Main Street, the City of Calera, and the Festival Committee are not liable for any products sold or exhibited. Vendors must carry their own product and liability insurance.
WEATHER POLICY
The Festival operates rain or shine. Be prepared for the elements.
Cancellation will only occur in the case of severe weather. If the Festival is cancelled due to dangerous conditions, vendors may request a refund. Updates will be shared on the Festival’s official Facebook page: https://www.facebook.com/CaleraMainStreet2019
SET-UP
Set-up hours: 2:00 PM – 4:30 PM
Vendors must be fully set up and ready by 5:00 PM.
Check in with the Event Coordinator or volunteer upon arrival for booth location.
Vendors may unload at their space, then immediately move vehicles to vendor parking before completing setup.
Note: Festival layout may change. Always review the map and instructions emailed the week of the event.
DISPLAY GUIDELINES
Displays should be clean, creative, and visually appealing.
Keep walkways clear—avoid trip hazards.
Battery-powered lights are highly recommended—lighting is limited after dark.
PRE-FESTIVAL INFORMATION
An informational packet with a festival map, set-up and breakdown instructions, and other event details will be emailed by the Wednesday before the Calera Stampede Rodeo.
SALES & TAXES
Vendors are responsible for collecting and reporting their own sales tax.
A business license is not required for this event. Vendor fees support Calera Main Street, a registered non-profit organization, and cover administrative, promotional, and operational costs.
EXHIBITOR RULES & REGULATIONS
The vendor or a designated representative must be present during festival hours.
Only products or artwork approved by the Committee may be sold.
Early teardown or departure is not allowed. Violators will not be invited back unless proof of emergency is provided.
The sale of live animals is strictly prohibited.
Generators may only be used with prior approval and the vendor assumes full liability.
Unapproved solicitation for political, commercial, or charitable purposes is not permitted.
All vendors must be 18+. Children may assist but must be supervised by an adult.
Possession or use of alcohol, drugs, or gambling on festival grounds is prohibited.
Deceptive, fraudulent, or collusive practices are grounds for immediate removal.
Profanity, aggressive behavior, or disrespectful conduct will not be tolerated.
Vendors must help maintain a positive, community-minded atmosphere.
Vendors are responsible for cleaning their booth space—leave no trace.
Violations of any rules will result in removal without refund.
GENERAL RELEASE
By participating, the vendor releases and discharges Calera Main Street, the City of Calera, Calera Courtyard property owners, and all employees, agents, and volunteers from all claims related to loss, damage, or injury occurring during the event.
Calera Main Street is not responsible for:
Vendor negligence
Force majeure events (including but not limited to weather, emergencies, or public health events like COVID)
Costs or damages from rescheduling or cancellations
By participating, vendors grant Calera Main Street permission to use submitted photos, logos, and likenesses in promotional materials.
The Festival Committee reserves the right to make final decisions and adjustments to all terms, conditions, and rules.
AGREEMENT CONFIRMATION
By submitting an application, the exhibitor confirms they have read, understand, and agree to all terms, conditions, guidelines, rules, and general release outlined above.
