NC Hellbender Festival – Food Truck Vendor Terms and Conditions
By submitting this application, you agree to the following terms and conditions set by Downtown Spruce Pine, a 501(c)(3) nonprofit and the official organizer of the NC Hellbender Festival:
1. Eligibility and Selection
All food vendors must operate a licensed and insured mobile food unit.
Selection is based on food quality, presentation, and variety. Preference is given to local and regional vendors.
Only items listed in your application and approved by festival organizers may be sold at the event.
2. Permits and Insurance
Vendors are required to hold valid permits from the Mitchell County Health Department and comply with all applicable local and state health and safety codes.
Proof of liability insurance and food service permits must be provided upon acceptance.
Vendors are responsible for sales tax collection and compliance with all local business laws.
3. Setup and Operation
Detailed arrival and setup instructions will be provided after acceptance. Trucks must be in place and ready to serve by the designated start time.
Vendors may not begin breakdown before the end of the event.
Electricity will not be provided. All food trucks must be self-contained and bring their own quiet generator, if needed.
Cooking with open flame must comply with local fire codes and may be subject to inspection.
4. Environmental Standards
The NC Hellbender Festival is committed to reducing waste.
Vendors are responsible for keeping their area clean and removing all trash, grease, and gray water after the event. No onsite disposal is available.
5. Fees and Cancellations
Space is confirmed upon acceptance and payment of the booth fee.
All fees are non-refundable, unless the event is canceled by organizers.
Vendors who cancel without notice or fail to appear may be excluded from future events.
6. Conduct and Compliance
Vendors must maintain a friendly, professional atmosphere at all times.
No amplified music or sound from individual booths is allowed.
All operations must remain within the assigned footprint of your vending space.
7. Liability
Downtown Spruce Pine, the Town of Spruce Pine, and the NC Hellbender Festival are not responsible for any loss, damage, or injury resulting from your participation.
By participating, you agree to hold harmless the organizers and affiliates from any claims arising out of your operations at the event.
8. Agreement
By submitting your application and payment, you confirm that you have read, understand, and agree to the terms and conditions outlined above.
