The rental fee for exhibit/vendor booths for the dates of November 22-24, 2024 inclusive is $450 per inline booth and $500 per corner booth.
Each exhibit/vendor booth includes:
10 feet wide and 10 feet deep booth
2 VENDOR Badges per booth;
Complimentary items per booth includes:
• 2 (two) chairs;
• 1 (one) 6’ x 2.5’ table
If tables and chairs are not required (because VENDOR is providing own set-up, please let Vendors Hall manager know in advance so the booth(s) will be kept empty (see page 11).
Additional Vendor Admission is sold at $50 each.
Badges CANNOT be resold or used by anyone other than VENDOR and their staff.
NOTE: The space is limited to the booth which is defined via tape outline; NO overhanging displays into other VENDORS’ space, doorways, corridors, or otherwise will be allowed.
VENDORS’ will be provided with a map showing their booths and location prior to signing of the contract. Space cannot be re-arranged on the convention floor.
DUE TO FIRE REGULATIONS:
• There is to be NO exhibiting goods from the floor or under tables.
• Canopies or tents cannot be used for booths.
• No fire equipment or exits will be blocked.
• SPONSOR reserves the right to request to remove such obstructing items or items outside the boundary of the booth space.
NOTE: There will be NO additional tables or display furniture of any size available for rental at convention set-up. VENDORS must make all arrangements in advance.
ELECTRICITY: There is to be NO provision for electricity from AnimeNJ++.
VENDORS requiring electricity MUST contact the Hilton Hasbrouk Heights directly. AnimeNJ++ makes no guarantee of availability of electricity and is released from all responsibility and liability hence with.
Location
The AnimeNJ++ Vendor’s Hall will be located at the Hilton Hasbrouck Heights. As mentioned in the introductory paragraph, the SPONSOR reserves the right to make modifications and change exhibit/vendor space assignments, as may be necessary to adjust to the floor plan anytime. A map of the Vendors Hall with booth locations will be provided.
Please note that Vendor space is limited and will be sold on a first come, first paid basis.
Installation and Removal
VENDOR may begin installation on Thursday, November 13th, hours will be emailed. Installation is the sole responsibility of the VENDOR. All exhibits must be removed by 8 PM Sunday November 16th. Removal is the sole responsibility of the VENDOR.
Loading/unloading will be done through the drive-in door located in the Vendor’s Hall, and will be done entirely by the VENDOR.
Note: No one under 18 years of age is allowed on the convention floor during the set-up and take down, as the space is legally a construction site during these procedures.

• Set up time: Thursday November 13th, 2025: 8 PM-Midnight (earlier if feasible)
• Set up time: Friday, November 14th, 2025: 8AM – Noon.
• Open access to attendees: Friday November 14th, 2025: Noon – 7PM
• Set up time: Saturday, November 15th 2025: 9AM – 10AM.
• Open access to attendees: Saturday November 15th, 2025: 10AM – 7PM
• Set up time: Sunday, November 16th, 2025: 9 AM – 10 AM.
• Open access to attendees: Sunday November 16th, 2025: 10AM – 3PM
• SPONSOR reserves the right to change exhibit hours of AnimeNJ++ as necessary.
Vendor's Conduct
All VENDORS are required to act in professional manner and not denigrate or impede access to other VENDORS. Any complaints about such items should be promptly reported to the Vendor’s Hall Manager or members of the convention Public Safety staff.
Megaphones / Sound Systems: The use of megaphones or sound systems (playing music, making announcements, etc.) is not permitted in the Vendors Hall.
Postering/Graffiti: VENDORS cannot write on the walls, or use any fastener material which will leave a residual. VENDORS will be responsible for the cleaning costs of any graffiti or fasteners residue left in their area. A survey of the building will be done before move-in to determine if any prior-existing problems exist.
Shipping / Receiving: If you wish to ship or receive goods at the Hilton Hasbrouck Heights, please contact Hilton Hasbrouck Heights to arrange.
Food Sales
No FOOD of any kind can be sold in the Vendor’s Hall less with prior email confirmed permission from AnimeNJ++.
Taxes and Licenses
VENDOR shall be responsible for obtaining licenses, permits or approval required under law applicable to their activity at AnimeNJ++. VENDOR shall be responsible for paying all taxes, license fees, fines or any charges that shall come due to any governmental authority in connection with their activity at AnimeNJ++. VENDOR will be required to provide a vendor’s permit, temporary or otherwise upon request of SPONSOR.
Insurance
VENDOR understands that neither SPONSOR nor the Hilton Hasbrouck Heights will be maintaining insurance covering any VENDOR property and it is the sole responsibility for the VENDOR to obtain such insurance. AnimeNJ++ is NOT responsible for any stolen/lost or damaged item(s).
Liability
Anyone visiting or viewing or otherwise participating in the VENDOR’S exhibit is deemed to be the invitee or VENDOR rather than the invitee or licensee of the SPONSOR. SPONSOR shall not be liable for any injury whatsoever to the persons conducting or otherwise participating in the conduct of VENDOR'S exhibit or to invitees, licensees or guests of VENDOR. VENDOR assumes full liability for the actions of its agents, employees, or independent contractors, whether acting within or without the scope of their authority. SPONSOR is NOT responsible for any stolen, lost or damaged item(s).
Subletting and Sharing
The subletting or sharing of exhibit/vendor space at AnimeNJ++ is prohibited. AnimeNJ++ does not permit these arrangements. Please be aware that if the Vendor chooses to sublet the space rented to them despite this prohibition, their contract will be at risk of termination.
Security
VENDOR is solely and fully responsible for VENDOR’S exhibit material. Under no circumstance will SPONSOR be liable for loss or damage of merchandise, equipment or revenue. All property of VENDOR is understood to remain in VENDOR'S care, custody and control in transit to or from or within the confines of the exhibit premises. VENDOR is solely responsible for their merchandise and equipment during all open hours.
Adult Materials
VENDOR may NOT display material depicting nudity or sexual conduct unless it is covered or displayed in such a way that minors cannot view such explicit material. Adult material must not be accessible to minors in any way. No adult material may be sold, given, or distributed to any minor in the Vendor’s Hall. It is the VENDORS responsibility to check age ID before sales of adult material. Failure to comply may result in but is not limited to VENDOR'S expulsion from AnimeNJ++ with no refund of Vendors Hall rental fee, arrest, and/or criminal prosecution.
Adult Material IS ALLOWED to be sold in the 18+ Room. If you have more than 25% of your material being adult, you MUST BE in the 18+ Room. If you have any questions or concerns contact us.
Blades and Weapons
VENDOR may NOT sell or display weapons or props with a metal blade, including (but not limited to) swords, knives, daggers, etc., anywhere on the premises of the Hilton Hasbrouck Heights (to include all facilities and parking lots) without the EXPRESS PERMISSION of the SPONSOR.
Sales of such items are to be limited to those 18 years and over. It is the responsibility of the VENDOR to check age ID before any sales. Failure to comply may result in but is not limited to VENDOR'S expulsion from AnimeNJ++ with no refund of Vendors Hall rental fee, arrest, and/or criminal prosecution.
Bootleg Materials
Any items or merchandise for sale which are not legally authorized, implied or otherwise, to be sold are prohibited. Prohibited items include (but not exclusively): videos distributed by persons/organizations, music and or visual medium that is not manufactured by authorized rights holders, model kits with whom legal copyrights are not held, and items copied for resale without authorization or are not licensed in North America.
SPONSOR reserves the right to demand removal any such material from sale at the convention. Failure to comply may result in but is not limited to VENDOR’S expulsion from AnimeNJ++ with no refund of Vendors Hall rental fee.
● Such examples of bootlegged material include SonMay CD’s, EverAnime CD’s and similar Taiwan/Hong Kong based company DVD’s. Other examples (but not exclusive) are: Taiwanese Posters and wall scrolls, Chinese plushies.
● Products using artwork that the retailer has not received permission from the artist to use must be removed.
● Items without proper copyright © labels and tags.
● Essentially anything that is not stated as being made or licensed in North America, Europe or Japan is considered to be a bootlegged item and is NOT ALLOWED at AnimeNJ++.
If you are unsure of your item(s)- please contact us for assistance BEFORE the event
Please note: SPONSOR may inspect the EXHIBITS during set up and throughout the event for such material. Sponsor may or may not issue a verbal warning. The VENDOR may be expulsed from AnimeNJ++ WITHOUT any warning, verbal or otherwise, at the SPONSOR's sole discretion, with no liability to SPONSOR for rental fees, lost revenue, or any and all other incurrences.
Cosmetic Lens
Given possible health risks involved with selling. Cosmetic Contact Lenses CAN NOT be sold.
Vendor and Staff Concerns
The SPONSOR reserves the right to prohibit from attending and/or working at the convention any members of the VENDOR’S staff who have had concerns raised over their past or present conduct. The SPONSOR also reserves the right to request criminal record checks of VENDOR’S staff, or request to be provided with them should they already exist.
