TERMS AND CONDITIONS
EACH EXHIBITOR is required to keep at least one attendant in their booth from 11:30 am. until 9:00 pm.
NOISE: Exhibits which include the operation of musical instruments, radios, sound motion picture equipment, public address systems or any noise-making or loud machines must be operated so that resulting noise will not interrupt or disturb adjacent exhibitors and their patrons
OPERATING RESTRICTIONS: The serving or distribution of alcoholic beverages by vendors in any part of the Festival area is forbidden. Fliers are not permitted outside marked area of booth space.
LIABILITY AND INSURANCE: Every reasonable precaution will be taken by the festival to protect property during set-up, festival period and removal. However, neither the festival committee, service contractors, any officers and/ or staff members are responsible for the safety of property or exhibitors from theft or damage by fire, accident, vandalism or other cause. Guards employed by the festival are on duty during festival hours only; however, management cannot be held responsible for exhibitor’s property. The exhibitor shall assume all responsibility for compliance with local, city, state and federal safety, fire, health and other ordinances and laws regarding installation of and operation of equipment, displays and exhibit materials.
BOOTH SECURITY DEPOSIT: All vendors shall submit a $250 check upon check-in as a security deposit. After dismantling, your booth space must be left in the same condition you found it. Your deposit will be returned only after your space has been inspected and approved. If your booth space is not completely cleaned and cleared of all debris, you will lose your deposit.
SUBLETTING OF SPACE: The exhibitor agrees not to assign, sublet, or apportion space or any part thereof allotted to them. No exhibitor will be permitted to sell/display their products/services outside the confines of assigned booth in the festival area.
BOOTH SET-UP AND DISMANTLING: Set up and dismantling of exhibits may begin and must be completed are as follows:
· SET-UP: ALL FOOD COOKERS AND MEAL VENDORS MUST SET UP FRIDAY AFTERNOON BETWEEN 5-8 PM Other Vendors may begin setting up at 5:00 pm, Friday, September 19th, 2025 and must be ready for occupancy no later than 10:00 am Saturday, September 20, 2025. Incomplete set up by the time stated will result in loss of $250 deposit.
· DISMANTLING: Dismantling may begin immediately after festival closing at 9:00 pm, Saturday, September 20th. Clearance of all materials must be completed no later than 7:00 am Sunday, September 22nd. All vendors MUST have their booth space inspected to receive their security deposit back. The festival reserves the right, with no liability whatsoever for damage, spoilage, or loss – to dismantle, dispose of, store and clear from the premises any display materials, goods, property or merchandise of an exhibitor who has failed to comply. THIS WILL BE STRICTLY ENFORCED.
· GATE INFORMATION: Gate set up will be at 10:00 AM. You will need to have all vehicles out of the festival area by that time. After the completion of the festival, there will be no vehicles allowed into the festival until approval has been given by one of the festival producers, this is to protect the safety of our patrons. Once the roadways are clear of festival patrons, vehicles will then be allowed into the festival boundary. Breaking this rule will result in the forfeiture of the $250 security deposit, and THIS WILL BE STRICTLY ENFORCED.
WATER: Water is available at the festival, but only in a few spaces. Please bring your own water buckets if you require water. The festival will not provide hoses to any vendor.
ELECTRICAL: The festival will provide only ONE FEMALE plug. The committee will provide all vendors with access to 110 volt-20 amp service at no charge. Vendor should provide their own grounded male plug. Vendors will also be responsible for any extension cords needed up to 100 feet.
220 VOLTS – 50 AMP SERVICE: Vendors requiring 220 volt- 50 amp service must have a 3-prong MALE plug for their wiring. THIS MUST BE REQUESTED WITH THIS APPLICATION.
FOOD SERVICE VENDOR REQUIRMENTS, UNLESS APPROVED IN WRITING BY THE FESTIVAL COMMITTEE:
o Every food vendor shall honor all Que-Pons vouchers, including drinks to the Blue Ridge Blues and BBQ festival, these will be used as advertising and any other promotional ways seen fit by the festival committee. At the end of the night, the festival committee will pay $15 for each Que-Pon that is turned into Headquarters.
