Terms and Conditions for Food Vendors at Geeks and Ghouls 2025
1. Agreement Overview
These terms and conditions govern the relationship between The Geek Out, hereafter referred to as "TGO" and food vendors participating in The Geek Out events, hereafter referred to as "Food Vendors."
2. Participation Requirements
Vendors must submit a completed application and all required documentation by October 1, 2025, to be considered for participation.
Approval of applications is at the sole discretion of TGO. TGO reserves the right to reject or remove any Vendor whose products, services, or conduct are deemed inappropriate or contrary to the spirit of the event.
3. Licensing and Permits
Food Vendors are responsible for obtaining their own food handlers permit to be in health and safety compliance.
Vendors must ensure their operations comply with local health and food safety regulations.
4. Deadlines and Payments
All fees, deposits, and payments must be submitted through the www.eventeny.com/company/thegeekout242 to secure booth space by 1st October, 2025 or a $25 late fee will be applied. TGO will make ample effort to warn food vendors of payment deadlines but it's ultimately the vendor's responsibility to ensure their space is secure.
Furthermore, failure to meet payment deadlines may result in forfeiture of booth space, cancellation without refund, or additional late fees.
Please note that the fee to participate increases every year by $25 annually.
5. Booth Setup and Presentation
Food Vendors are responsible for providing their own equipment necessary for food preparation. Power is limited to 2 machines (1500 watts each) maximum unless providing your own power via generator.
Food Vendors must maintain a clean and professional booth area throughout the event.
Food Vendors are required to have fire extinguishers and other necessary safety equipment.
There is to be no cooking indoors. Food supplied indoors must be in chaffing dishes.
6. Food Safety and Handling
All food must be prepared, stored, and served in compliance with local health and safety regulations.
Food Vendors must ensure that food is properly labeled, including allergen information, if applicable. Communicate with attendees if food contains nuts, seafood, or have been in contact with such products.
Any violations of food safety protocols may result in immediate removal from the event premises without warning.
7. Conduct and Behavior
Vendors must conduct themselves professionally and courteously at all times.
Harassment, discrimination, or any form of inappropriate behavior towards attendees, staff, or other participants will not be tolerated and may result in expulsion without refund.
8. Liability and Insurance
TGO is not liable for any loss, injury, or damage to property or merchandise belonging to Food Vendors. TGO suggests Food Vendors obtain liability insurance to cover any potential risks, including but not limited to foodborne illness, fire, or equipment damage.
9. Compliance with Laws and Regulations
Food Vendors must comply with all applicable laws and regulations related to food sales and service.

10. Termination of Agreement
The Geek Out (TGO) will make every reasonable effort to notify Food Vendors of any violations before considering termination. If issues remain unresolved after said warnings, TGO reserves the right to terminate this agreement and remove the Food Vendor from the event for non-compliance with these terms and conditions. Any breach of food safety protocols will result in immediate termination without prior warning.
In the case of termination, no refunds or compensation will be issued.
11. Governing Law and Jurisdiction
These terms and conditions are governed by the laws of The Bahamas. Any disputes arising from this agreement shall be subject to the exclusive jurisdiction of the courts in The Bahamas.
12. Acknowledgment
By participating in The Geek Out: Geeks and Ghouls, Vendors confirm they have read, understood, and agree to these terms and conditions.
