NVR86’d Exhibitor Terms & Conditions
Long Island Beer Fest: Haunted Block Party
Conditions: All matters not explicitly covered by these rules and regulations are subject to the joint discretion of NVR86'd INC. and the management of Nassau Veterans Memorial Coliseum. All decisions made by these parties will be final and binding on all exhibitors. It is the responsibility of each exhibiting company and its representatives to thoroughly review and adhere to these rules and regulations. Those who fail to observe these rules may be excluded from the festival. NVR86'd INC. reserves the right to modify or introduce additional rules at any time, and such amendments will be equally binding upon all parties. For the purposes of this document, the term "event" refers to all aspects of participation, including load-in periods, the event sessions on October 26th, 2024 from 12:00 PM - 4:00 PM and 5:00 PM - 9:00 PM, as well as load-out, unless explicitly stated otherwise.
Eligibility & Assignment of Space: NVR86'd INC. has the sole right to determine the eligibility of any company or product for inclusion in the festival. Space includes one standard exhibit booth (10'x10') with an 6-foot table with two chairs. NVR86'd INC. reserves the right to revise the floor plan or relocate any exhibit in the best interests of the festival. All booths must be set up by Saturday, October 26th by 11:30 AM.
Safety & Alcohol Compliance: The Haunted Block Party will offer alcohol sampling to attendees, and we are committed to ensuring responsible alcohol service. All attendees and staff members must be 21+ years of age. Attendees will receive 2 oz. sample pours, and no other glassware or containers are permitted to be filled with alcohol. Alcohol compliance officers will be on-site to ensure that all service and consumption meet legal requirements. Additionally, security personnel will be present to maintain a safe and orderly environment. All exhibitors must adhere to these safety protocols to ensure responsible alcohol service throughout the event.
Exhibitor Services: We recommend that exhibitors come fully prepared with all necessary equipment to independently manage their operations, including service and sales, without reliance on additional venue resources that have not been offered or specified. At present, electricity is not provided with the booths but may be arranged for an additional fee if requested in advance. While an open Wi-Fi network will be available for exhibitors, we strongly advise that all exhibitors utilize a payment system for merchandise sales that functions independently of Nassau Coliseum’s Wi-Fi to avoid potential disruptions beyond the control of NVR86'd INC.
Subleasing: Exhibitors may not sublet their exhibit space, nor any part thereof, nor exhibit, offer for sale, or advertise articles not manufactured or sold by the exhibiting company, except where such articles are necessary for proper demonstration or operation of the exhibitor’s display.
Cancellation or Change by Producer: In the event that the premises in which the festival is conducted should become unfit for occupancy or substantially interfered with by any cause not reasonably within the control of NVR86'd INC., the festival may be canceled or moved to another appropriate location, at the sole discretion of NVR86'd INC. NVR86'd INC. shall not be responsible for delays, damage, loss, increased costs, or other unfavorable conditions arising from causes beyond the control of NVR86'd INC.
Commitment by Exhibitors: We understand that the timeline for confirming participation in the Haunted Block Party is short, and we greatly appreciate your quick decisions and commitment. We kindly request that all exhibitors who confirm their participation follow through by attending the event as planned.
Limitation of Liability: The exhibitor agrees to make no claim for any reason against NVR86'd INC., its employees, agents, sponsors, or partners for loss, theft, or damage of goods; nor for injury or death of personnel; nor for failure to provide exhibit space. The exhibitor is responsible for ensuring their exhibition materials and products.
Insurance: Exhibitors must procure and maintain event vendor insurance including product liability coverage, and must name NVR86'd INC. as an additional insured. If you do not submit the correct required documents, you cannot set up at the event. There will be no refunds for paperwork not filled out in time so please make sure you are certain you can provide the documents one week before the event date. Installing, Exhibiting, Dismantling: Hours for installing, exhibiting, and dismantling will be specified by NVR86'd INC. Exhibitors may not break down displays prior to the official closing time. A quick organized load-out is appreciated. No load-outs are permitted before the end of the event. Load-in for the event is available on Friday, October 25th from 8:00 AM - 4:00 PM and on Saturday, October 26th from 7:00 AM - 11:00 AM.
Damage to Property: Exhibitors are liable for any damage caused by their personnel to building floors, walls, or other exhibitors' property. Any venue repair fees are the exhibitor's sole responsibility.
Booth Personnel: Each exhibitor must have at least one staff member on-site during the event to ensure smooth operations and attendee engagement. We recommend having two to handle peak hours and breaks. Exhibitors are responsible for staffing their space appropriately throughout the event. Staff must wear “exhibitor” badges provided by NVR86'd INC. at all times.
Compliance: Exhibitors must comply with all federal, state, and local laws and ordinances and ensure that their exhibit is in full compliance with the Americans with Disabilities Act (ADA).
Entire Agreement: This agreement sets forth the entire agreement between NVR86'd INC. and the exhibitor, superseding all other communications. Amendments may only be made by written agreement between both parties.
