Carolina Geek Fest 2024 takes place August 10th, 2024 from 10am-5pm at The Cole Auditorium in Hamlet NC. Thank you for being interested in setting up as an Exhibitor, Vendor, Independent Publisher, Developer, Crafts Person, Artist or Writer at Carolina Geek Fest. After filling out this form, you will receive an email regarding your approval status. This is an electronic agreement and by selecting the booths, you are validating and approving this agreement electronically.

About the event

Welcome to Carolina Geek Fest! We invite you and your family out on August 10th, to a fun day filled with entertainment, food, games and vendors. This event will be held at the Cole Auditorium at 1042 W Hamlet Ave Hamlet, NC 28345. Get ready for a Geek filled day with cosplay, panels, artist, comic book and anime vendors and voice actor guest!

PLEASE NOTE THE FOLLOWING TERMS YOU AGREE TO BY PURCHASING SPACE AT Carolina Geek Fest

Booths must remain intact and manned throughout the hours of the convention and may not be dismantled prior to the closing of the convention. Carolina Geek Fest will not be held responsible for any issues arising from an unstaffed booth during show hours. The loading dock will not be open for breakdown prior to the close of the exhibition room. If you break down your space prior to the end of the show you will be banned from setting up at future shows. Attendees have paid for the ability to shop with Vendors and Exhibitors and expect them to be set up during show hours. By breaking down early you are doing both the attendees and the show a disservice. The show's management takes this very seriously. It is unfair to attendees, the show, and other vendors to break down early. If you cannot stay until the end of the show, please do not set up.
Exhibitors must comply with all local, state, and federal laws, and will not hold management liable for any breaches, losses, or damage to themselves or their property. All exhibitors agree to hold blameless The Otaku Precinct LLC, Carolina Geek Fest, and all affiliated companies of The Otaku Precinct LLC staff members and workers against any loss, damage, theft, expenses, claims, or actions arising from any personal or property damage, loss or theft due to said exhibitors participation in any event bearing the name Carolina Geek Fest. Carolina Geek Fest agrees to pay for overnight security in the main exhibit hall. Exhibitor is responsible for their own security during show hours.
Exhibitor wristbands are non-transferable. They may not be sold or used as prizes or giveaways. Exhibitor personnel must wear official Show Exhibitor wristbands at all times during move-in, show days, and move-out. Please do not give Exhibitor wristband to anyone other than your full-time employees and remove all wristbands from the building when you leave.
Exhibitors are responsible for their booth staff. The exhibitor is responsible for all actions of his or her booth staff or anyone wearing their company exhibitor wristband. Exhibitor booth personnel found in violation of policies will be removed, having their wristband confiscated. Exhibitor staff misconduct can lead to the removal of the exhibitor from the exhibit floor without a refund. Exhibitors removed in this way will NOT be allowed to return to future shows with Carolina Geek Fest
All vendors/exhibitors/artists hereby acknowledge that Carolina Geek Fest is not responsible for and will NOT provide or maintain insurance coverage for vendors/exhibitors' persons or property, and it is the exhibiting party’s sole responsibility to obtain insurance covering loss.
Carolina Geek Fest in no way endorses any artists, vendors, exhibitor’s merchandise, exhibits, views, beliefs, or actions. All artists, vendors, and exhibitors are deemed to be their own business/entity and in no way reflect the views, beliefs, intentions, and/or direction of Carolina Geek Fest. Artists, vendors, and exhibitors do not represent Carolina Geek Fest in any way.
All merchandise bought or sold at Carolina Geek Fest is done strictly between artists/vendors/exhibitors and attendees/buyers, Carolina Geek Fest is not a party to or responsible in any way for any transactions made between said parties.
NO VAPE, TOBACCO, CBD, OR ANY TYPE OF SMOKING-RELATED SALES ARE ALLOWED. THIS IS AN ALL-AGES COMIC BOOK / ANIME CONVENTION AND WE DO NOT ENCOURAGE SMOKING OF ANY KIND. IF YOU SELL VAPE, TOBACCO, CBD, OR ANY TYPE OF SMOKING ITEMS AT THE EVENT, YOU WILL BE ASKED TO LEAVE, WITH NO REFUND GIVEN.
No Bootleg DVDs or CDs. Anyone selling unauthorized merchandise that infringes upon a studio's copyright or licensing agreements will be asked to leave the show. No refunds will be given if you break this rule and are asked to leave.
Adult materials must be either behind the table or, if displayed on a table or display rack bagged or covered so that minors may not open it. Any adult material containing nudity must be covered in accordance with local and state laws. Artists/Exhibitors agree not to sell any adult materials to minors. Violating this rule is cause for immediate dismissal from the show with no refund, and being banned from any future events hosted by the show's management.
Exhibitors may not display foul language or other offensive slogans, memes, innuendo, or materials in their space. Political Propaganda that others may find offensive is prohibited. No symbols or implied symbols of hate will be tolerated. Failure to comply is grounds for removal from the show without refund.
No Live Animals. Exhibitors may not engage in the sale of live animals at the event.
Nudity is NOT allowed in the convention center under any circumstances.
No Bingo, Lottery type gaming (or gambling of any sort) is allowed.
No Sales Onsite or Promotion for Online or Offsite Sales of any guns real or replica.
State tax is the responsibility of the artist/vendor to collect according to state laws.
No exhibit may be higher than 12’ without prior approval by Carolina Geek. All booth signage should be front-facing only. No exhibit may block or interfere with other exhibits or with the aisle space. Any damage caused to the building or its furnishings by the Artist/Exhibitor is the sole responsibility of the Artist/Exhibitor.
Abandoned Property: Any property not removed from the Convention Center that has not been claimed within forty-eight (48) hours following the end of the event will be considered abandoned by the Exhibitor.
Exhibitors hereby give permission to be photographed and recorded for any and all future Carolina Geek Fest use.
No Standard Exhibitor is allowed to sublease its space without prior approval from Carolina Geek Fest. Carolina Geek Fest has the right to refuse any sublease. No National Brands may engage in branding or lead generation activities under the proxy of a Standard Exhibitor. Standard wholesaling practices remain ok.
Exhibitors/Artists are not permitted to solicit or sell in any part of the convention besides directly in front of their immediate booth/table area.
Carolina Geek Fest reserves the right to change, amend, and add to the rules and regulations of the show at any time. In the event that new rules are added that prevent you from selling your core product, you will be notified and refunded in full.
Carolina Geek Fest reserves the right to immediately terminate any vendor that violates these terms and upon notice the vendor must immediately vacate the premises with all their property
CANCELLATION TERMS: Should you (the exhibitor) find that you are not able to attend Carolina Geek Fest and have already paid for your space, the policy is as follows: A refund will be given – minus a $75 cancellation fee per Exhibitor Booth prior to 6/1/24, and $50 per Artist Alley Table prior to 6/1/24. Between 6/2/24 and 7/1/24 a refund will be given minus a $125 cancellation fee per Exhibitor Booth and $75 per artist table. After 7/1/24 a refund will be given minus a $150 cancellation fee per Exhibitor Booth and $100 per Artist Alley Table. NO REFUNDS WILL BE GIVEN AFTER 7/20/24. Carolina Geek Fest is a rain or shine event. No refunds will be given to vendors due to the rain. Outside vendors are encouraged to bring a tent.

Main Dealer Room- Premeir Exhibitor Booth	$300.00	Non-refundable	Single booth space is approximately 10 feet wide and 10 feet deep. Comes with 1 table, 2 chairs and 2 exhibitor wristbands.
Dealer Room-Standard Booth	$250.00	Non-refundable	Single standard booth approximately 10ft X 9Ft. Comes with 1 table, 2 chairs and 2 exhibitor wristbands.
Dealer Room-Simple Standard Booth	$200.00	Non-refundable	Single booth approximately 10ft X 6ft. Comes with 1 table, 2 chairs and 2 exhibitor wristbands.
Hand made crafts	$150.00	Non-refundable	Single booth approximately 10ft X 6ft. Comes with 1 table, 2 chairs and 2 exhibitor wristbands. Priority for these booths will be given to anime/geek themed products. Other handmade craft vendors should apply for outside booth.
Inside Snack and Treats Vendor	$150.00	Non-refundable	Single booth approximately 10ft X 5 ft placed down main hallway. Comes with 1 table, 2 chairs and 2 exhibitor wristbands.
Outside Vendor spaces including Food Trucks	$125.00	Non-refundable	Single booths located outside. Booth space 10ft X 10ft. Vendor must bring tables, chairs, tents etc. Comes with 2 exhibitor wristbands.
Electricity	$25.00	Non-refundable	Inside exhibitors in need of electricity for their booths may purchase a standard 120V outlet. Outlets are limited so they will be distributed first come first serve.
Additional Exhibitor/Artist Wristband	$10.00	Non-refundable	All Vendor booths come with 2 wristbands. If additional wristbands are needed for staff they may be purchased here.
Artist	$60.00	Non-refundable	Single booth for artist only. Approximately 10x10 space that includes table, 2 chairs and 2 vendor wristbands.
Information booth	$50.00	Non-refundable	Information booths are located outside. Booth space is 10x10 and includes 2 wristbands. Vendors need to bring tables, chairs, tent etc.
