2024 One Stop Shop Event Terms
LOCATION: The Shirt Factory, 71 Lawrence St | 21 Cooper St, Glens Falls, NY 12801
FIRST WEEKEND DATE/HOURS: Saturday, February 3 11am – 5pm
SECOND WEEKEND DATE/HOURS: Saturday, February 10, 11am – 5pm
VENDOR SETUP: Each Day 8:30am – 10:30am
TAKE DOWN HOURS: Not before 5pm Each Day
FEATURED PRODUCTS: Work is handmade and/or designed by artisan and/or features locally sourced materials. No resellers or overseas manufacturers. No animals/livestock are permitted. No open flames. All products must relate to Valentines/Palentines/Galentines Day or some other variation thereof
APPROVAL PROCESS: When we receive all parts of your application (completed application, emailed JPG photos of products, proposed booth layout, and product pricing), we will review and decide whether you are accepted to the show. We may follow up with some questions if need be. You can expect to hear back about your application via email within two weeks or by January 25th, whichever comes first. Please let us know if it has been longer than that.
If you are accepted, you will receive further information about that show, along with a link to register and pay for your vendor space.
If you are approved, you will only be allowed to bring/offer for sale those items listed on your application. Variations of scent/flavor in the same product will count as a single product (ie. different flavors of cheesecake or candle scents. A large part of the approval and placement process is focused on avoiding direct competition between vendors and between vendors and year-round shops. Items not disclosed and approved prior to the event will not be eligible for sale at the event. Vendors found with unapproved items may be asked to remove the item and may forfeit their right to participate in future shows at the property.
PAYMENT: You have one week after your acceptance to pay for your space unless you are a late applicant, in which case you will have three days. Full payment is required to secure a vendor space. All vendors will receive an electronic invoice, which will include a nominal processing fee.
Vendors wishing to pay by check or cash may mail or drop off their payment at 71 Lawrence Street, Ste 106, Glens Falls, NY 12801. If paying by cash, please pay in person to receive a written receipt. Cash or check payments will be the invoiced fee, less the processing fee.
ELIGIBILITY: Work must be original and made by hand or with appropriate tool and/or, by you, designed and supervised in your studio. The following are not acceptable: commercial patterns or kits with changes of less than 25% by artist, ceramic molds, imports and machine made goods.
The artist or craftsperson who designs the work and is a principal of the business must be present to show their work.
Value added food producers are welcome to apply.
Unless specified otherwise in writing, one vendor/artist/studio per vendor space. No vendor may sublet, share, or divide their space unless it is discussed during the application process and the vendor has received written permission to do so from the event coordinator.
APPLICATION: Dated upon receipt. Vendor space assignment will be based upon payment receipt date and previous participation. Coordinators reserve the right to redesign the vendor layout and/or relocate any vendor.
CANCELLATION: Refunds less $25 will only be considered if submitted in writing before 5pm on Thursday January 25, 2024
VENDOR SET-UP: Nothing is to be placed in the aisles/stair wells or affixed to walls. All merchandise, displays, chairs,etc. must fit within the designated vendor space. Vendors must provide their own tables and chairs. While setting up, no vendor may block a hall or stair well or in anyway impede the flow of traffic. Vendor space sizes may vary slightly by floor. Generally, spaces are in the hall and measure 8 feet x 30 inches. Contact show coordinator for more information.
SPACE AVAILABILITY: At 10:00am of each event, “No Show” vendor spaces will become available to other vendors. No refunds will be provided to vendors who are not here before 9am on their designated set up date.
VENDOR SET-UP REMOVAL: Vendors shall not, without written consent of coordinator, dismantle or move exhibits before the official closing of the event. Future exhibitor privileges will be forfeited.
PERMITS: Vendors are required to obtain and display a valid New York State Tax ID during the open house and are responsible for collecting and reporting all applicable taxes. Any other permits required for the conduct of the vendors business must be displayed for the duration of the event. FOOD SERVICE: If you are preparing food on-site or serving non-prepackaged food on site, you will need the proper food permit through the NYS Department of Health.If you are required to have a permit from the Department of Health, please provide copies of the permit no later than one full week before the event. The local Department of Health checks our events for compliance, we try to present them with copies of permits prior to the event to avoid any issues. If you have any questions or need copies of temporary permit applications, please e-mail management@shirtfactorygf.com.All food vendors must also register with the City of Glens Falls. You will need to fill out a form for the city, but you do not owe any fees for events at the Shirt Factory. Please complete as soon as possible.You will also need to provide a certificate of insurance with Lawrence & Cooper Inc named as Additional Insured.
PARKING: Use the Loading Dock Parking Lot by 71 Lawrence Street for loading and unloading your vehicle. By 10:30am of each event date all vendor vehicles and those of any employees or assistants must be moved to the designated parking area. You will be notified prior to the event date of the designated parking area, and an event coordinator will be available during the event set-up to direct you to the designated parking area.
SECURITY: The venue and show coordinators assume no liability for loss or damage by any cause.
CUSTOMER SERVICE: Exhibitors will conduct themselves in a professional manner at all times, in or out of their booth space.
Continual complaints from buyers, other vendors, and/or venue businesses will result in denial of participation for future shows.
Vendors will be present at their booth for the majority of time and will observe set show hours.
Vendors will be responsible for any assistants or employees helping with their vendor space during the event, this includes but is not limited to, their compliance with the event terms and their interactions with customers, other vendors, and venue businesses.
VIOLATIONS: Exhibitors found in violation of any of the “Event Terms” will be excluded and have their exhibits removed from current and/or future shows at the discretion of coordinator.
LIABILITY: Show venue, coordinators The Shirt Factory, and Lawrence and Cooper Inc. their employees, members, and representatives are not liable for theft, injury, damage, or acts of nature.
