About the event

Be a part of the firework festivities! The Town of Leesburg's Ida Lee Park host its annual fireworks show brining the largest firework show in the region. Choregraphed to patriotic music, this light show is not to be missed. Families and friends from the community gather to enjoy music from our band, and good eats from our food vendors.

About the application

The Town of Leesburg’s Independence Day Celebration returns and will take place on Thursday, July 4th at Ida Lee Park Festival Field.  This July 4th tradition draws crowds of 20,000 to take part in the celebration with concert, fireworks, and your good eats!

Terms & Conditions

Please Note:  Applications received after May 1, 2024  at 11:59 pm, will be considered late and go directly to the waitlist.  
 
Should one of these vendors be selected for the event they will be subject to a $25 late fee.  No fees will be charged unless the vendor is selected for the event.

TERMS & CONDITIONS
Independence Day Celebration
 
The Town of Leesburg Parks and Recreation Department is committed to presenting the highest quality vendors at our Independence Day Celebration.  Please be aware of the following standards, terms, and conditions.
 
This application is for Food Concessions; defined as products produced on site for consumption. Food products that are pre-packaged do not fall under Food Concessions and will not be accepted as such.

Acceptance Confirmation: 
-          You will receive confirmation no later than May 17th as to whether or not you have been chosen as a vendor.  Those not selected may be placed on the Waitlist and will receive a waitlist notification.
 
-          The Town of Leesburg Independence Day event is juried. Jurors will make their selections based on product diversity,  menu pricing, and booth display.
 
Application submission or vendor history does NOT guarantee acceptance. 
 
Menu: 
-          Only menu items listed and details submitted to be juried may be sold. Should you need to change your menu after you have been accepted, please email us for final confirmation/approval of the menu change. 
 
Application Status:
-          Your application will not be considered complete unless all relatable questions are answered, and photos are uploaded. Your credit card will not be charged until you have been accepted into the event. 
 
Waitlist:
-          Applications received after the deadline may be placed on the Waitlist. Deadline is May 1, 2024
 
Requirements:
-          You are required to provide an electronic signature upon completing the application and adhere to the Terms & Conditions and the Concessions Services Agreement.  You are required to meet all Loudoun County health and fire codes.
 
-          A Temporary Food Permit is required for food vendors. The permit must be displayed at the event. Food vendor application deadline to Loudoun County is 10 days prior to the event. 
 
-          We recommend submitting your application NO LATER THAN June 18
 
-          You can find the Application / Notice to Participate at https://www.loudoun.gov/DocumentCenter/View/125802/Temporary-Food-Vendor-Application-and-Information-Packet?bidId=. Contact Loudoun County Health Department with any questions.
 
-          All vendors are required to collect and pay Virginia State Sales Tax of 6% on all merchandise sold. Info at: www.tax.virginia.gov.
 
-          Food Trucks must meet all local, state and federal motor vehicle requirements.  Out of state cooking trucks and trailers must be permitted by Virginia State or Loudoun County fire marshal. 
 
-          All vendors are required to provide their own power and water. The will be no power or water provided.
 
-          All generators must be Whisper Generators.  Generator noise may not exceed 70 decibels. 
 
-          Vendors will be responsible for providing their own professional booth set-up to include tent, tables, power, etc.
 
-          Booth placement will be based on menu items and a balance of offerings though out the event.
 
-          All tents and canopies must have at least 40 lbs. of weight secured to each leg.
 
Refunds: 
No full refunds will be given after a vendor is accepted to the show:
o    14 or more days written notice - 50% refund
o    10 days written notice - 25%
o    Under 9 days notice - 0%
 
Parking: 
-          Vendors may park one vehicle behind their booth within the festival field. All other vehicles will need to park in the designated parking area in the festival parking. 
 
Proof of Insurance:
-           A Certificate of Insurance showing at least $1,000,000 in liability coverage that is valid through the date of the event is  required with the Certificate Holder specified as the Town of Leesburg, 25 W. Market Street, Leesburg, VA 20176.
 
-          Vendors may not discriminate against any customer or person on the basis of race, color, religion, national origin, sex, pregnancy, childbirth or related medical conditions, age, sexual orientation, gender identity, marital status, disability, or military status.

Prices

Food Vendor Booth Space - Town of Leesburg IDC $250 Non-refundable Food vendor price is the same regardless of setup type or size. All vendors accepted to the event will be assigned a spot on the grass within the festival field area of Ida Lee Park.
Late Fee - After May 1 $25 Non-refundable A late fee of $25 will be charged to all vendors accepted in the event whos application we receive after May. 1.
