Please carefully review the following rules and guidelines for participation at DASHAIN TIHAR FEST (DTFest) 2023 as a vendor:
Product Requirement: To participate as a vendor at the festival, you must be presenting and/or selling a product. Service providers, such as Law Firms, Accountants, Travel Agencies, etc., can only reserve a spot through sponsorship.
Rental of Equipment: The Festival Committee will provide rental tents, tables, and chairs for vendors. Space Options: Vendors can rent a table or a 10' X 10' space, which includes two tables and two chairs.
Spot Selection: Vendors will be asked to choose their spot on a first-come, first-served basis.
Signage and Displays: Vendors are responsible for their signage and displays.
Table Coverings: All tables must be covered, and vendors are responsible for providing their table coverings. Please ensure the table covering is white.
Electrical Outlets: There will be no electrical outlets available at the festival.
Sales Tax Responsibility: Vendors are responsible for paying VA Sales Tax on items sold. DTFest2023 will provide vendor names and Tax Identification Numbers to the Local Government in advance.
Restricted T-Shirt Sales: Vendors are not allowed to sell T-shirts with Nepalese themes, as DTFest2023 reserves the right to sell Nepalese theme T-shirts.
Permits and Focus: The Festival will handle the necessary permits, making it easier for vendors. You can just book your spot and focus on your products. Only food vendors will be required to get their licenses. The Festival will be registered with the Prince William Health Department, and the individual Food Vendors must apply for their permits.
Festival Day Guidelines:Loading/Set-up: Please arrive at the festival site between 9:00 AM and 10:00 AM. Vendors coming after 10:00 AM will forfeit their space.All tables must be set up by 11:30 AM as the festival starts at noon.Festival Site Access: A 'permit' will be provided to access the festival site. To guarantee access, please place the permit on your car's dashboard.Unloading must be completed by 10:30 AM.Designated Spot: Each reserved table(s) will have a tag designating the spot. Changing the reserved spot is not allowed. Vendors may bring their own signage and tabletop displays or racks. It is mandatory to get your own WHITE table cover.Dismantling: The company providing the tents and tables will dismantle them around 10:00 PM.
