Event Terms & Conditions – VendorsBy applying to and participating in East Coast Marketplace – Central Park at Doral Farmers Market (“Event”), you agree to the following terms and conditions:1. Event Dates & HoursThe market operates on Sundays from 10:00 AM to 5:00 PM, beginning October 11, 2026, rain or shine, unless otherwise communicated in writing by the organizer. Vendors must be fully set up and ready to operate by opening time and remain set up until closing, unless specifically authorized by the organizer.2. Vendor Categories & ProductsVendors must accurately select the category that best describes their products (hot food, prepared foods, beverages, art/handmade, clothing/accessories, wellness, pet products, etc.) and may only sell items approved in their application.Any changes or additions to product lines must be requested in advance and approved by the organizer.The sale, display, or distribution of counterfeit merchandise, unauthorized replicas, or trademark/copyright-infringing goods is strictly prohibited. Violators may be immediately removed from the Event without refund and permanently banned from participating in future East Coast Marketplace events.3. Licenses, Permits & ComplianceAll vendors operate as independent contractors and are solely responsible for collecting and remitting all applicable Florida state and local sales taxes.All food and beverage vendors are responsible for holding and maintaining all required licenses, permits, and inspections, including:A valid Florida DBPR food permit, when applicable;Any required Food Handler certifications for staff handling food; andAny applicable City of Doral, Miami-Dade County, or other governmental requirements.Vendors must upload the required documentation through the application when requested.Vendors agree to comply with all applicable federal, state, county, and local health, safety, licensing, and business regulations at all times.4. Insurance – Certificate of Insurance (COI)All vendors are required to carry general liability insurance with minimum limits of $1,000,000 per occurrence and $2,000,000 general aggregate, unless otherwise approved in writing by the organizer or required by the venue.Vendors must provide a Certificate of Insurance (COI) naming East Coast Marketplace LLC and any additional insured parties required by the venue or applicable agreement.Vendors participate at their own risk and are responsible for submitting accurate and current insurance documentation.5. Setup, Breakdown & AttendanceVendors must arrive on time for setup, follow all load-in instructions, and complete setup within the time window provided by the organizer.No early breakdown is allowed without prior approval.Breakdown and cleanup must be completed within the designated timeframe after 5:00 PM.Vendors are responsible for keeping their area clean throughout the Event, removing all trash, and returning the space to its original condition.Failure to remove all trash from the vendor's assigned space may result in a $100 cleaning fee charged to the card on file.6. Tents, Equipment & SafetyVendors are responsible for providing their own 10x10 tent, tables, displays, and required equipment, unless otherwise stated.All tents must be properly weighted and secured for wind safety at all times, with a minimum of 20 lbs of weight per tent leg, or any greater requirement imposed by the venue or applicable regulations.Any electrical needs must be requested in advance and approved by the organizer.Vendors agree to operate safely, keep walkways clear, and immediately report any hazards, injuries, property damage, or incidents to the organizer.7. Health & Safety GuidelinesVendors must follow all applicable health and safety regulations, including state, county, city, and venue rules governing food handling, storage, preparation, and service.Food vendors must maintain safe food temperatures, use appropriate food coverings and protection, maintain clean work surfaces and equipment, and follow all applicable food-safety requirements.All vendors must keep their booth area free of hazards, including loose cords, unstable displays, blocked walkways, and other unsafe conditions.Any equipment producing heat or flame must be properly supervised and operated in compliance with applicable fire, safety, and venue regulations.Vendors must comply with on-site instructions from the organizer, venue staff, or public safety officials regarding weather, crowd control, emergency procedures, and other operational matters.8. Fees, Payments & RefundsAll vendor registrations, date selections, and booth reservations must be managed exclusively through the Eventeny platform.Vendors must maintain a valid credit card on file within the application.Weekly Auto-Billing: For each reserved Sunday market, the Eventeny system will automatically process and charge the booth fee using the card on file every Tuesday prior to the event.Cancellations & Refunds: To cancel without being charged, vendors must officially cancel their reservation through Eventeny before Tuesday. Once the card on file is charged on Tuesday, all fees are strictly non-refundable and non-transferable.No refunds or credits will be granted for vendor cancellations after payment, no-shows, late arrivals, early departures, or failure to participate.Force Majeure: If an Event is entirely canceled by the organizer due to severe weather or circumstances beyond the organizer's reasonable control, a credit may be issued toward a future market date at the organizer's discretion.9. Weather & Event ChangesThis is primarily a rain-or-shine event.The organizer reserves the right to modify event hours, postpone, relocate, or cancel a market date in the event of severe weather, unsafe conditions, venue restrictions, governmental requirements, or circumstances beyond the organizer's reasonable control.The organizer will communicate material updates as soon as reasonably possible.Any credits, adjustments, or other accommodations resulting from weather, venue restrictions, or cancellation are at the sole discretion of the organizer.10. Conduct & BrandingVendors agree to maintain a professional, respectful, and family-friendly environment.Harassment, discrimination, aggressive sales tactics, excessively loud music, disruptive behavior, or any conduct deemed inappropriate by the organizer may result in immediate removal from the Event and/or exclusion from future events.Vendors agree to use the Event's name, logos, and branding only as permitted and may not misrepresent their relationship with East Coast Marketplace LLC, the venue, or any event partner.11. Liability & IndemnificationVendors participate in the Event at their own risk.To the fullest extent permitted by applicable law, the organizer, property owners, venue partners, sponsors, and their respective officers, employees, agents, and representatives are not responsible for loss, theft, damage, or injury to persons or property arising from a vendor's participation in the Event, except to the extent caused by their gross negligence or willful misconduct where such limitation is not permitted by law.Vendors agree to release, indemnify, defend, and hold harmless the organizer and applicable related parties from claims, damages, liabilities, costs, and expenses arising out of or related to the vendor's participation, products, employees, representatives, equipment, or conduct.12. Marketing & MediaBy participating in the Event, vendors grant East Coast Marketplace LLC permission to photograph, film, record, and otherwise capture their booth, products, logo, staff, and participation during the Event.Vendors authorize the organizer to use such photographs, video, recordings, and related content for promotional, advertising, social media, website, and other marketing purposes without additional compensation.13. Assignment & Space ManagementBooth locations are assigned at the sole discretion of the organizer and may be adjusted as necessary for event operations, crowd flow, safety, weather, venue requirements, or other logistical considerations.Vendors may not sublease, share, assign, or transfer their booth space to another vendor without prior written approval from the organizer.14. Acceptance & EnforcementSubmission of an application does not guarantee acceptance.The organizer reserves the right to approve or deny any application, limit vendor categories, control product mix, and remove vendors who fail to comply with these Terms & Conditions or applicable Event, venue, health, safety, or governmental requirements.Failure to follow these guidelines may result in immediate removal from the Event, forfeiture of fees, and/or exclusion from future East Coast Marketplace events.By submitting this application and/or paying Event fees, you acknowledge that you have read, understand, and agree to these Terms & Conditions for the Central Park at Doral Farmers Market.
