St. Matthews Freedom Fest – Vendor Terms & Conditions Event Date: July 3rd, 2026 Time: 4:00 PM – 9:00 PM Location: Westport Road (Behind Drake’s) By submitting an application, vendors agree to the following terms and conditions: 1. Vendor Eligibility This event is open to approved craft vendors, snack vendors, and drink vendors only. No food trucks or outside food vendors will be permitted. 2. Booth Space & Fees Each vendor space is approximately 10' x 10'. Booth fee is $100 per space. Payment must be received to secure your spot. Space is limited to 80 vendors and will be assigned on a first-come, first-served basis upon approval and payment. 3. Setup & Breakdown Vendors must arrive and be fully set up prior to the event start time at 4:00 PM. Breakdown may begin no earlier than 9:00 PM unless otherwise approved by event organizers. Vendors are responsible for their own tents, tables, chairs, and setup equipment. 4. Event Operations Vendors must remain open and staffed for the full duration of the event. This is a family-friendly event; all products and displays must be appropriate for all ages. Vendors are responsible for keeping their area clean and free of trash during and after the event. 5. Permits & Compliance Vendors are responsible for obtaining any necessary permits, licenses, or insurance required by local or state authorities. Vendors must comply with all applicable health and safety regulations. 6. Food & Beverage Policy Only pre-approved snack and drink vendors are allowed. No outside food vendors or food trucks will be permitted due to the participation of local St. Matthews restaurants. 7. Weather Policy This is a rain-or-shine event. Vendors should be prepared for all weather conditions. No refunds will be issued due to weather-related circumstances. 8. Cancellations & Refunds Vendor fees are non-refundable unless the event is canceled by the event organizer. If the event is canceled, vendors will be notified regarding any potential refunds or credits. 9. Liability Event organizers are not responsible for any loss, damage, or theft of vendor property. Vendors participate at their own risk and are encouraged to carry appropriate insurance. 10. Right to Refuse Event organizers reserve the right to accept or deny any vendor application and to remove any vendor not complying with event rules.
