Vendor Terms & Conditions: Rain or Shine This is an outdoor evening event and will take place rain or shine unless otherwise determined by event organizers. Vendor Setup Vendor fee covers space only. Vendors must provide their own tents, weights, tables, chairs, lighting, and extension cords as needed. All vendors must check in with event staff prior to setup. Electricity & Power Electricity is not provided for vendor booths. If electricity is required for your setup, vendors must supply their own quiet, event-appropriate generator and any necessary extension cords. Generators must be safely placed and operated in accordance with safety guidelines. Non-Refundable Fees All vendor fees are non-refundable under any circumstance. Payment & Approval • Applications are juried and reviewed individually • Space is reserved only after approval and payment • Submission of an application does not guarantee acceptance • The Refuge Center reserves the right to decline participation Safety Requirements • Tent weights are required for all canopy tents • Vendors must maintain a safe and secure booth space • Electrical cords must be safely secured • Vendors must follow any on-site safety instructions Prohibited Items & Weapons Policy For the safety of all attendees, vendors, and staff, the following items are strictly prohibited at Glow Walk for Life: • Firearms • Knives or weapons of any kind (except standard small craft tools used appropriately within a booth) • Explosives or fireworks • Illegal drugs or drug paraphernalia • Any item deemed unsafe by event staff Smoking and vaping policies will follow venue guidelines. The Refuge Center reserves the right to require removal of any prohibited or unsafe item at its discretion. Family-Friendly & Mission Alignment Policy Glow Walk for Life is committed to providing a welcoming, respectful, and family-appropriate environment for guests of all ages. All vendors, products, displays, and interactions must align with the family-friendly nature and mission of the event. The following are not permitted: • Promotion of drugs, drug use, or related paraphernalia • Alcohol sales or promotion • Violence or graphic imagery • Sexually explicit or suggestive content • Explicit language or offensive material • Adult-themed products or services • Occult items or themes • Tarot cards, psychic services, mediumship, astrology services, spiritual readings, or related practices • Political campaign materials • Messaging that conflicts with the mission and values of The Refuge Center Vendors are responsible for ensuring that booth décor, signage, apparel, product labeling, and customer interaction remain appropriate for children and families. The Refuge Center reserves the right to deny or remove any vendor whose products, messaging, or conduct are deemed inconsistent with event standards. Removal for policy violations will not result in a refund. Beverage Policy Drink vendors have already been secured. Food vendors may only sell bottled water as a beverage option. No other drinks are permitted. Setup & Breakdown • Vendors must arrive during their assigned setup window • Booths must be fully set up prior to event start • Early breakdown is not permitted without staff approval Sales & Compliance • Vendors must comply with all local, state, and federal laws • Vendors are responsible for collecting and reporting sales tax • Food vendors must meet applicable health department requirements Conduct Policy Vendors and their staff must maintain professional and respectful behavior at all times. Access may be revoked for anyone who: • Is visibly intoxicated • Demonstrates disruptive or aggressive behavior • Refuses to follow staff directions • Has been previously banned from organizer events Removal will not result in a refund. Liability Vendors assume full responsibility for their products, equipment, staff, and display areas. The Refuge Center and event partners are not responsible for theft, damage, injury, or vehicle incidents. Force Majeure If the event is canceled or modified due to circumstances beyond the organizers’ control, vendor fees remain non-refundable. If rescheduled, space may be transferred at organizer discretion. Media Release By participating, vendors grant permission for event organizers to photograph or video their booth and participation for promotional use without compensation.
