Coffee and Chocolate Festival Vendor Terms and Conditions Event Dates: March 7 and 8 Location: Calvert City Civic Center, Calvert City, Kentucky By registering as a vendor for the Coffee and Chocolate Festival, you agree to the following terms and conditions: 1. Event Overview The Coffee and Chocolate Festival is a public event hosted at the Calvert City Civic Center. Vendors are expected to operate in a professional manner and contribute to a positive experience for attendees. 2. Vendor Eligibility All products must align with the theme of the event or be approved in advance by event organizers. No controversial items may be sold. The event reserves the right to decline vendors whose products or services are not deemed appropriate for the festival. 3. Registration and Fees Vendor registration is not complete until payment is received and confirmation is issued by the event organizer. Refunds may be issued on a case by case basis but will not be granted after February 20. All fees are nonrefundable unless the event is canceled by the organizer. While placement requests may be considered, they are not guaranteed. Vendors must operate only within their assigned space. 5. Setup and Breakdown Vendors will be provided specific setup and breakdown times prior to the event. Early teardown is not permitted without approval. Vendors must remove all items and leave their space clean at the conclusion of the event. 6. Health, Safety and Permits Vendors are responsible for obtaining and displaying all required licenses, permits and health department approvals. Vendors must comply with all local, state and federal regulations. Each booth serving food or beverages is required to provide a sample to guests during the event. 7. Electricity and Equipment Limited electrical access may be available and must be requested in advance. Vendors are responsible for supplying their own extension cords, equipment and display materials. 8. Liability and Insurance Vendors participate at their own risk. The City of Calvert City, Calvert City Civic Center and event organizers are not responsible for loss, theft or damage to vendor property, or for injury to vendors, staff or attendees. 9. Cancellations and Changes The event organizer reserves the right to make changes to the event schedule, layout or policies as needed. In the event of cancellation due to circumstances beyond control, vendors will be notified as soon as possible. 10. Conduct Vendors are expected to conduct themselves in a courteous and professional manner. Failure to comply with event rules may result in removal from the event without refund. 11. Agreement Submission of a vendor application and payment constitutes agreement to these terms and conditions.
