NerdVana Expo 2025 – Terms and Conditions for Event Attendees By registering for and attending NerdVana Expo 2025 (the “Event”), you (“Attendee”) agree to comply with the following terms and conditions: 1. Admittance • Your registration grants you access to the Event on the date(s) specified on your ticket—either April 12, 2025, April 13, 2025, or both—at the Sheraton Imperial Hotel in Durham, NC. • All associated costs, including travel and accommodation, are your responsibility. 2. Conduct • Attendees must behave respectfully towards others. • Harassment, discrimination, or disruptive behavior will not be tolerated and may result in removal from the Event without refund. 3. Photography and Recording • By attending, you consent to being photographed or recorded. • The Event organizers may use these materials for promotional purposes without compensation. 4. Liability • The Event organizers are not liable for personal injury, property damage, or loss arising from your participation. • Attendance is at your own risk. 5. Refunds and Cancellations • All ticket sales are final. • No refunds will be issued unless the Event is canceled by the organizers. 6. Privacy • Personal information collected during registration will be handled in accordance with our privacy policy. 7. Amendments • The Event organizers reserve the right to modify these terms and conditions at any time. • Changes will be communicated to registered attendees via email or the Event website. 8. Cosplay Guidelines • Cosplay is welcomed and encouraged at NerdVana Expo 2025. • As this is a family-friendly event, we ask that all costumes be appropriate for all ages. • Costumes should provide adequate coverage; a good guideline is to ensure outfits cover at least as much as a modest swimsuit. • Attire that is overly revealing, contains offensive language or images, or is deemed inappropriate by event staff will not be permitted. • Attendees may be asked to modify their costumes or change if they do not comply with these guidelines. 9. Weapons and Props Policy • Prohibited Items: - Real weapons, including firearms, bladed weapons, and any functional weaponry, are strictly prohibited on the premises. - Props resembling real weapons must be clearly identifiable as non-functional and made from safe materials such as foam or plastic. • Prop Inspection: - All props and costume accessories will be inspected upon entry. - Approved items will be peace-bonded—a visible marker indicating they have been checked and deemed safe. • Behavior with Props: - Props must be handled responsibly to avoid causing harm or discomfort to others. - Swinging, brandishing, or using props in a threatening manner is strictly prohibited. • Non-Compliance: - Attendees found in possession of prohibited items or misusing props will be asked to remove the item from the premises. - Failure to comply may result in ejection from the event without a refund. By attending NerdVana Expo 2025, you acknowledge that you have read, understood, and agreed to these terms and conditions.
