Sponsor Terms & Conditions
By submitting an application and/or purchasing a sponsorship space at Merchantile Market, you (“Sponsor”) acknowledge that you have read, understood, and agree to the following Terms & Conditions:
Payment & Confirmation
- All sponsor fees are non-refundable, non-transferable, and not eligible for future market credits unless otherwise stated.
- Approval does not guarantee a space. Sponsor spaces are only confirmed once full payment has been received.
- New Payment Process: During the application process, sponsors will select their payment window. When approved, booth fees will be automatically processed within the payment timeframe selected during the application process.
- If the event is postponed or canceled by organizers, sponsors may attend the rescheduled date or receive a credit toward a future market. No refunds will be issued.
Weather Policy
- Merchantile Market operates rain or shine. This specific market is at a outdoor venue. In the event the market is canceled or postponed by organizers, sponsors may either attend the rescheduled date or receive a credit toward a future market. Refunds will not be issued.
- All sponsors are required to comply with the Weather & Canopy Policy. Weather-related updates and instructions will be communicated via email, and vendors are responsible for reviewing and following all guidance provided.
Market Agreement
- All sponsors are required to review and submit a signed copy of the Vendor Agreement, which governs booth setup, conduct, and market policies. A separate email will be sent with the agreement after your space is confirmed.
Booth Assignment & Setup
- Sponsors are responsible for providing their own setup, including canopies, weights, tables, chairs, and any additional booth equipment.
- All sponsors in a 10 x 10 space must have a fire-resistant canopy in white, cream, or an approved branded design.
- All canopies must display a fire-resistance label or certificate and may be inspected on-site by the fire department. Non-compliant canopies will be removed from the event.
- Canopy weights are mandatory and must be a minimum of 40 lbs per leg. Stakes are not permitted.
- Final booth assignments will be determined by the Organizer based on operational requirements and the overall needs of the event.
- All displays, signage, and merchandise must remain fully within the assigned booth space. Items extending beyond booth boundaries must be corrected immediately upon request.
- Spaces may be located on grass, gravel, or pavement and may have a slight incline.
- Sponsors will be assigned a specific arrival window, and detailed load-in instructions will be provided prior to the event.
Electricity
- Electricity is available for sponsors as an optional add-on for $50. If you require power at your booth, please indicate this on your application.
Communication
- All communication regarding the vendor review and approval process, event updates, and event-related inquiries will be conducted through Eventeny. Vendors are responsible for regularly monitoring their Eventeny messages throughout the application process and leading up to the event. To ensure timely responses and accurate recordkeeping, vendors should submit event-related questions and communication through Eventeny rather than email whenever possible.
