This tier offers meaningful visibility across event spaces; thoughtful placement on stage; and integration into the digital and printed fabric of BayCon 42—all without waiting 7.5 million years for results. Only three sponsorships available; think wisely… then act quickly. Strategic Signage Inclusion: Your logo will appear on secondary signage throughout the venue; consistent visibility where attendees least expect it, but most need it. Stage Banner Presence: You’ll receive featured placement on the step-and-repeat for one of BayCon’s main stages (Main or Chaos); or shared placement across both for maximum reach. Multichannel Recognition: Be included in our website’s sponsor section, event marketing materials, and the official printed program guide—covering both the casual scroller and the analog purist. Networking Access: Rub elbows, exchange theories, or simply enjoy the buffet at a sponsor-only gathering with guests and fellow supporters. Badge Package: Includes Two (2) VIP Badges and Four (4) Full Weekend Badges; perfect for your team or companions who want to explore the con in style. Deep Thought Sponsor Tier – Terms & Conditions The sponsorship fee for the Deep Thought Sponsor tier is $2500. Payment is due upon execution of the sponsorship agreement. Full payment must be received by BayCon 42 by the designated deadline in order to secure the sponsorship slot. Failure to remit payment by the deadline may result in cancellation of the sponsorship without refund of any partial amounts paid. Sponsorship Benefits The Deep Thought Sponsor will receive the following benefits: logo placement on secondary event signage in visible but non-primary locations; featured logo placement on the step-and-repeat banner of one BayCon 42 stage (Main or Chaos), or shared placement across both stages; listing on the BayCon 42 website, printed program booklet, and promotional materials; invitation to an exclusive sponsor reception to meet special guests, fellow sponsors, and key staff; allocation of two VIP badges and four full weekend badges; and the possibility of a co-branded activation or on-stage mention, depending on scheduling availability and event guidelines. BayCon 42 reserves the right to make reasonable adjustments to the delivery of these benefits in the event of logistical or operational limitations. Any changes will be communicated in advance to the sponsor. Branding Assets and Artwork The sponsor is responsible for providing all artwork and branding materials in the required digital format by the deadline specified by BayCon 42. Submitted files must meet the technical and quality requirements issued by the event team. The sponsor confirms that all submitted materials are either owned or properly licensed, and grants BayCon 42 a non-exclusive, royalty-free license to use these assets for the duration of the event and for related promotional use. Exclusivity and Limited Availability The Deep Thought Sponsor tier is limited to three sponsors. Once filled, BayCon 42 will not extend identical benefits to any additional sponsors within the same category. The sponsor retains all intellectual property rights to submitted materials. BayCon 42 reserves the right to use media, photography, or recordings that feature sponsor branding for post-event promotional purposes. Cancellation and Refunds Once the sponsorship agreement is signed and payment is received, cancellations initiated by the sponsor are non-refundable. If BayCon 42 cancels the event for reasons not related to a breach of these terms, the sponsor will receive a full refund of the sponsorship fee. In the event of a force majeure event, such as a natural disaster or government regulation that prevents the event from occurring, the sponsor will be eligible for a prorated refund or credit toward a future BayCon event, at BayCon’s discretion. Liability and Indemnification The sponsor agrees that BayCon 42 shall not be held liable for any indirect, incidental, or consequential damages resulting from the sponsorship. The sponsor shall indemnify and hold harmless BayCon 42, its affiliates, officers, and staff from any claims, damages, or expenses that arise from the sponsor’s materials or participation. Force Majeure BayCon 42 shall not be responsible for delays or failure to perform its obligations under this agreement due to causes beyond its reasonable control, including but not limited to natural disasters, war, or regulatory actions. Amendments These terms may only be amended in writing, signed by authorized representatives of both the sponsor and BayCon 42. Governing Law This agreement shall be governed by and interpreted under the laws of the State of California. All disputes shall be resolved within the appropriate jurisdiction. By confirming participation in the Deep Thought Sponsor tier, the sponsor acknowledges that they have read, understood, and accepted these terms and conditions.
