Terms & Conditions
Activation Approval:
Sponsor must submit a detailed proposal for their curated experiential activation at least 45 days prior to the event for review and approval by the event organizer. All concepts must align with the family-friendly nature of the festival.
Branding Rights:
Sponsor is entitled to naming rights of the curated activation space (e.g., “[Brand Name] Flavor Lab”), subject to final approval. All promotional materials must feature the agreed-upon branded name.
Activation Space:
Sponsor will be provided with a 20x20 footprint or an approved equivalent based on activation concept. Any requests for additional space, power, or water must be made in writing and may incur additional costs.
Set-Up & Tear-Down:
Load-in and setup must be completed during the designated hours provided by the event team. Sponsor is responsible for the setup, breakdown, and staffing of their activation area.
Signage & Decor:
All sponsor signage must be pre-approved and comply with safety, fire, and visual standards. No signage may obstruct neighboring activations or venue pathways.
Sampling & Product Distribution:
Sponsors may distribute food, beverage, or branded merchandise within their activation, but must adhere to all health, safety, and permit requirements. Any food or beverage sampling must be pre-approved by the health department and organizer.
Insurance Requirement:
Sponsor must provide proof of general liability insurance with coverage of at least $1,000,000, naming Clarke Smart Solutions LLC as an additional insured party. Certificate must be submitted at least 30 days before the event.
Conduct & Content:
All elements of the sponsor’s activation must reflect positively on the festival and must not include explicit, political, religious, or otherwise controversial content.
Cancellations & Refunds:
This is a rain-or-shine event. Sponsorship fees are non-refundable unless the event is canceled by the organizer. If the event is rescheduled, the sponsorship will be transferred to the new date.
Exclusivity:
This sponsorship level does not include category exclusivity. Exclusivity can be negotiated for an additional fee and must be outlined in a separate written agreement.
