Sponsorship Terms & Conditions
Applies to all sponsor categories for Truck or Treat 2025
1. General Terms
Sponsorship benefits begin upon receipt of signed agreement and full payment.
All sponsors must provide high-resolution logos and branding assets within 5 business days of agreement to ensure inclusion in promotional materials.
Sponsors are responsible for setup, maintenance, and teardown of any booths or activations unless otherwise specified in writing.
The event is rain or shine. No refunds will be issued due to weather-related cancellations unless otherwise stated.
The event reserves the right to modify event layout, programming, or schedule as needed.
2. Payment Terms
Payment is due in full within 10 days of signing the sponsorship agreement, or the sponsorship offer may be forfeited.
Accepted payment methods include check, credit card, or ACH transfer.
Late payments may result in reduced promotional benefits or cancellation of the sponsorship.
3. Activation Guidelines
All sponsor activations must be approved by event organizers prior to execution.
Activations must be family-friendly and align with the Halloween theme.
Sponsors must supply any branded equipment or materials related to their activation unless arranged otherwise.
Event organizers will coordinate a final walk-through for setup approval 24 hours prior to the event.
4. Booth Space & Brand Visibility
Booth assignments are at the discretion of the event organizers but will be honored based on sponsor tier and order of payment.
Sponsors are responsible for staffing their space during all event hours.
Branding and signage must remain within the allocated booth space unless authorized otherwise.
5. Liability & Insurance
All sponsors must comply with venue safety regulations and hold harmless Truck or Treat, its organizers, venue partners, and affiliates for any loss, damage, injury, or claim arising from participation.
Title Sponsors and activations involving physical interaction (e.g., laser tag, skating) may be required to provide a Certificate of Insurance (COI) naming the event and venue as additionally insured.
6. Exclusivity
Category exclusivity is only granted to Title Sponsors unless explicitly stated in writing.
Competing brands may be present unless a separate exclusivity agreement is signed and paid for.
7. Termination
Organizers reserve the right to revoke sponsorship benefits without refund if a sponsor violates any event guidelines or engages in conduct deemed inappropriate, offensive, or unsafe.
