Eldritch Sponsor Tier – Terms & Conditions
Sponsorship Fee & Payment
The sponsorship fee for the Eldritch Sponsor tier is $5000. Payment is due upon execution of the sponsorship agreement. Payment must be received by BayCon 2025 by the specified deadline to secure the tier. Failure to remit payment by the deadline may result in cancellation of the sponsorship slot without refund of any partial amounts paid.
Sponsorship Benefits
The Eldritch Sponsor will receive the following benefits: Supreme Signage Dominance - Prime sign locations throughout the convention (signage and materials to be supplied by Sponsor). Exclusive Stage Integration: Prominent logo placement on step-and-repeat banners on both the Main Stage and the Chaos Stage. Premium Digital & Print Presence: Top-tier logo placement on BayCon 2025 website, digital marketing channels, and in the official event program booklet. Attendee Lanyard Co-Branding: Your logo will be the only co-brand on every non-VIP attendee lanyard. VIP Networking Opportunities: Access to exclusive sponsor receptions and networking sessions. Badges: You are entitled to four (4) VIP badges and eight (8) full weekend badges. Customized Engagement: Opportunities for tailored brand integration, such as sponsored panels or on-site product demonstrations.
BayCon 2025 reserves the right to adjust the delivery of these benefits if required by logistical or operational constraints, with prior notification to the sponsor.
Branding Assets & Artwork
The sponsor is responsible for providing all required artwork and branding materials in the specified digital format by the deadline set by BayCon 2025. All submitted artwork must adhere to the technical and quality guidelines provided by BayCon. The sponsor warrants that all materials provided are owned by or licensed to the sponsor, and that BayCon is granted a non-exclusive, royalty-free license to use these assets for the duration of the event and its associated promotions.
Exclusivity & Usage Rights: The Eldritch Sponsor tier is exclusive. BayCon 2025 will not offer similar sponsorship benefits within the same event area to any other sponsor.
The sponsor retains all intellectual property rights to their submitted materials. BayCon 2025 may use images, video recordings, and other media where the sponsor’s branding appears for promotional purposes across various channels.
Cancellation & Refunds
Once the sponsorship agreement is executed and the fee is received, cancellations by the sponsor are non-refundable. If BayCon 2025 cancels the event for any reason other than a breach of these terms, a full refund of the sponsorship fee will be issued. In the event of a force majeure event (e.g., natural disasters, government restrictions, etc.) that prevents BayCon 2025 from hosting the event, the sponsor will be entitled to a prorated refund or credit toward a future event, at BayCon’s discretion.
Liability & Indemnification: The sponsor agrees that BayCon 2025 shall not be liable for any indirect, incidental, or consequential damages arising out of or related to the sponsorship. The sponsor shall indemnify and hold harmless BayCon 2025, its affiliates, and their respective officers and employees from any claims, damages, or expenses resulting from the sponsor’s use of provided materials or its participation in the event.
Force Majeure: BayCon 2025 shall not be held liable for any failure to perform its obligations under these terms if such failure is due to circumstances beyond its reasonable control, including but not limited to acts of nature, war, or government regulation.
Amendments: These terms and conditions may be amended only by a written agreement signed by authorized representatives of both the sponsor and BayCon 2025.
Governing Law: This agreement shall be governed by and construed in accordance with the laws of the State of California in which BayCon 2025 is hosted. Any disputes shall be resolved in the appropriate jurisdiction.
