Specter Sponsor Tier – Terms & Conditions
Sponsorship Fee & Payment: The sponsorship fee for the Specter Sponsor tier is $2500. Payment is due upon execution of the sponsorship agreement. Full payment must be received by BayCon 2025 by the designated deadline to secure the sponsorship slot. Failure to remit payment by the deadline may result in cancellation of the sponsorship without refund of any partial amounts paid.
Sponsorship Benefits:
The Specter Sponsor will receive the following benefits: Event Signage Presence: Your logo will be featured on dedicated secondary placement event signage. Stage Visibility: Prominent logo placement on the step-and-repeat banner for one stage (Main or Chaos) or a shared placement across both, ensuring exposure in key event photos and videos. Digital & Print Integration: Inclusion on the BayCon website’s sponsor page, in event marketing materials, and in the official program booklet. Networking Opportunity: Invitation to an exclusive sponsor reception to connect with industry leaders and influential community members. Badges: Two (2) VIP badges and four (4) full weekend badges. Limited Custom Engagement: Eligibility for a co-branded activation or panel mention, subject to scheduling and event guidelines. BayCon 2025 reserves the right to adjust the delivery of these benefits if necessary due to logistical or operational constraints, with prior notification to the sponsor.
Branding Assets & Artwork: The sponsor is responsible for providing all required artwork and branding materials in the specified digital format by the deadline set by BayCon 2025. All submitted artwork must adhere to the technical and quality guidelines provided by BayCon. The sponsor warrants that all materials provided are either owned by or properly licensed to the sponsor, granting BayCon a non-exclusive, royalty-free license to use these assets for the duration of the event and its associated promotions.
Exclusivity & Limited Availability: The Specter Sponsor tier is exclusive and limited to a maximum of three sponsors. BayCon 2025 will not offer identical sponsorship benefits within the same tier to additional sponsors once the quota is filled. The sponsor retains all intellectual property rights to their provided materials, while granting BayCon permission to use images and video recordings featuring the sponsor’s branding for promotional purposes.
Cancellation & Refunds: Once the sponsorship agreement is executed and the fee is received, cancellations by the sponsor are non-refundable.
If BayCon 2025 cancels the event for reasons other than a breach of these terms, a full refund of the sponsorship fee will be issued. In the event of a force majeure occurrence (e.g., natural disasters, government restrictions), the sponsor will be entitled to a prorated refund or credit toward a future event at BayCon’s discretion.
Liability & Indemnification: The sponsor agrees that BayCon 2025 shall not be liable for any indirect, incidental, or consequential damages arising out of or related to the sponsorship. The sponsor shall indemnify and hold harmless BayCon 2025, its affiliates, and their respective officers and employees from any claims, damages, or expenses resulting from the sponsor’s provided materials or participation in the event.
Force Majeure: BayCon 2025 shall not be held liable for any failure to perform its obligations under these terms if such failure is due to circumstances beyond its reasonable control, including, but not limited to, acts of nature, war, or government regulation.
Amendments: These terms and conditions may only be amended by a written agreement signed by authorized representatives of both the sponsor and BayCon 2025.
Governing Law: This agreement shall be governed by and construed in accordance with the laws of the state of California, in which BayCon 2025 is hosted. Any disputes shall be resolved in the appropriate jurisdiction.
By entering into the Specter Sponsor tier agreement, the sponsor acknowledges that they have read, understood, and agreed to these terms and conditions.
