The sponsorship fee for the Sign Sponsorship tier is based on the number of signs selected, with availability limited to twenty (20) total sponsorship placements. Payment is due in full upon execution of the sponsorship agreement. Sponsorship slots will not be reserved until payment has been received. BayCon 42 reserves the right to release unpaid or overdue sponsorships without notice.
Sponsorship Benefits: Sign Sponsors will receive exclusive logo placement on the top four inches of selected event signs used for attendee navigation throughout the BayCon 42 venue. These signs will be positioned in high-traffic areas such as panel hallways, ballrooms, registration queues, and marketplace access points. Each sign placement provides prolonged and repeated exposure over the course of the event. BayCon 42 will determine final sign locations based on programming needs, venue requirements, and signage design. Sponsors may express preference for specific areas, but placement is not guaranteed.
Branding Assets and Artwork: Sponsors are responsible for providing their logo and any required branding elements in the format, size, and resolution specified by BayCon 42. All artwork must be submitted by the deadline provided upon agreement. The sponsor confirms that all submitted materials are either owned or properly licensed, and grants BayCon 42 a non-exclusive, royalty-free license to use the assets for event signage and related promotions.
Exclusivity and Availability: Sign Sponsorships are non-exclusive; multiple sponsors may be featured on different signs. Each sign is limited to one sponsor logo at the top position. Availability is capped at twenty (20) total signs for sponsorship. Final artwork and positioning must meet BayCon 42’s quality and layout guidelines.
Cancellation and Refunds: All sponsorship sales are final. Once payment has been received and the agreement confirmed, cancellations by the sponsor are non-refundable. If BayCon 42 is unable to produce or display signage due to unforeseen circumstances, the sponsor will receive a prorated refund or a credit toward future sponsorship opportunities at BayCon’s discretion.
Liability and Indemnification: BayCon 42 shall not be held liable for any indirect or incidental damages arising from the sponsor’s participation in the Sign Sponsorship tier. The sponsor agrees to indemnify and hold harmless BayCon 42, its affiliates, and their officers, staff, and contractors from any claims or damages arising out of the use or display of the sponsor’s materials.
Force Majeure: BayCon 42 shall not be responsible for delays or failure to deliver sponsorship benefits due to causes beyond its reasonable control, including but not limited to natural disasters, venue restrictions, or government regulations.
Amendments: These terms may only be amended in writing and must be signed by both the sponsor and an authorized representative of BayCon 42.
Governing Law: This agreement shall be governed by the laws of the State of California. Any legal disputes shall be resolved within the appropriate jurisdiction.
By entering into the Sign Sponsorship agreement, the sponsor acknowledges that they have read, understood, and accepted these terms and conditions.
