TRUCK OR TREAT SPONSORSHIP TERMS & CONDITIONS
Applies to all sponsorship categories: King of the Pumpkin Patch, Wicked Web, Vampire Vibe, and Ghoul Goals
1. General Terms
Sponsorship benefits are granted only upon receipt of a fully executed sponsorship agreement and full payment.
Sponsorship commitments are non-refundable, except in the event of full event cancellation (excluding force majeure circumstances).
Sponsors must comply with all venue rules and municipal regulations for participation.
All activations must be family-friendly and Halloween-themed or compatible.
2. Category-Specific Terms
? King of the Pumpkin Patch (Title Sponsor)
Only one Title Sponsor will be accepted.
Sponsor receives exclusive naming rights; usage of “Presented by [Sponsor Name]” must be consistent in all public-facing event materials.
Sponsor must provide final artwork/logos at least 30 days before the event.
Branded entrance and prime booth placement are subject to event layout and safety review.
? Wicked Web Sponsor
Activations (e.g., bobbing for apples, roller rink, contest hosting) are granted on a first-confirmed, first-choice basis.
Sponsor may provide branded materials for activation areas, pending organizer approval.
Booth placement is prioritized but not guaranteed in a fixed location without prior agreement.
? Vampire Vibe Sponsor
Activation opportunities will be coordinated directly with the event team to ensure alignment with the overall theme and event flow.
Sponsors must provide materials for any co-sponsored activities (e.g., signage, decorations, giveaways).
On-stage mentions, if part of the package, are scheduled during designated programming times.
? Ghoul Goals Sponsor
Shared vendor space is limited to a table and two chairs. No additional displays or structures are allowed without prior approval.
Sponsors may distribute branded giveaways or candy but must notify the event team of any food-based items to ensure allergy compliance.
Placement within the shared area is determined by the event team.
3. Marketing & Promotion
Sponsors grant permission for the event organizers to use their logos and branding in marketing materials.
All sponsor-provided materials (banners, signs, promotional items) must be approved by the Truck or Treat event team in advance.
The event reserves the right to refuse materials deemed inappropriate or off-brand.
4. Setup & Breakdown
Sponsors must adhere to all setup and teardown times communicated by the event coordinator.
No early pack-up is allowed without prior approval.
Sponsors are responsible for maintaining the cleanliness of their area during and after the event.
5. Liability & Insurance
Sponsors agree to hold harmless the event organizers, venue, staff, and partners against any liability, loss, or damage resulting from participation.
Sponsors may be required to provide proof of liability insurance depending on activation type and scale.
6. Force Majeure
The event shall not be held liable for delays, cancellation, or changes due to weather, acts of God, or other unforeseen circumstances beyond its control.
By confirming sponsorship, you acknowledge that you have read, understood, and agreed to abide by these terms and conditions.
