Amelia Wedding Crawl – Sponsorship Opportunities
Put your brand in front of engaged couples and their families at the moment they're making their biggest wedding decisions. On Sunday, February 21, 2027, the Amelia Wedding Crawl brings couples on a curated afternoon tour of downtown Amelia Island's most beautiful wedding venues, complete with live styled setups, local vendors, and complimentary bites and drinks. As a sponsor, you'll connect with a highly engaged audience of couples and parents planning weddings on the island, while supporting a community event that celebrates local businesses. Every sponsor's logo, social media handles, website, and email will be displayed and shared across Your Community Event's platforms, along with on-site recognition and opportunities to be featured in our VIP goody bags.
To give each sponsor the attention they deserve, we're accepting only three sponsors per tier. Spots are filled on a first-come, first-served basis, and if your preferred tier is full, we'll reach out to suggest the next available option.
Social Tier – $3,500 (limited to 3 sponsors)
We'll pair your brand with one of our featured venue stops, giving you a dedicated space to showcase your products, host giveaways, share demos, and connect with guests however you'd like.
Community Tier – $3,500 (limited to 3 sponsors)
Put your products directly in attendees' hands through tastings, samples, or take-home gifts throughout the crawl, building brand recognition in a natural, welcoming way.
Giveaway Tier – $3,500 (limited to 3 sponsors)
Team up with us on a joint social media giveaway across our accounts and yours, where followers like, share, and comment for a chance to win a prize you provide.

Terms & Conditions
Sponsor Application Terms & Conditions
By submitting a sponsor application, you agree to these Terms & Conditions for any event produced by Your Community Event LLC. Sponsors make our festivals, markets, and community events possible, and these terms set clear expectations so the partnership works well for everyone.
1. Agreement and Definitions
These terms form a binding agreement between the sponsor and Your Community Event LLC. They apply to every event the sponsor is accepted into, including community festivals, farmers markets, culinary and hospitality events, and the Amelia Wedding Crawl.
"Organizer," "we," "us" means Your Community Event LLC, its staff, volunteers, and authorized representatives.
"Sponsor," "you" means the business, organization, or individual named on the application, plus its employees and representatives at the event.
"Event" means the specific event(s) listed on your application, including setup and teardown periods.
"Sponsorship Package" means the sponsorship level and benefits selected on your application or listed in your confirmation.
"Sponsor Marks" means your business name, logo, trademarks, and branding.
"Fees" means the sponsorship amount and any add-on charges listed on the application or invoice.
Event-specific details (dates, sponsorship levels, benefits, pricing, and deadlines) are listed in each event's sponsorship packet. If those details conflict with these terms, the event-specific details control for that event.
2. Application and Acceptance
Submitting an application does not guarantee a sponsorship. All applications are reviewed by the Organizer.
We select sponsors based on fit with the event's audience, values, and community focus. We may limit the number of sponsors in any industry or category.
Category exclusivity is provided only if it is written into your Sponsorship Package.
A sponsorship is confirmed only by written confirmation (email) from the Organizer and receipt of payment as required in Section 4.
The Organizer may accept or decline any application at its sole discretion, without explanation.
Sponsoring one event does not guarantee a sponsorship or the same benefits at future events.
3. Sponsorship Benefits
Sponsors receive the benefits listed in their Sponsorship Package, which may include logo placement, social media mentions, signage, booth space, event tickets, speaking or announcement opportunities, and naming rights.
Logo placement on printed materials depends on receiving your artwork by the deadline in Section 5. Materials already printed or published when your sponsorship is confirmed will not be reprinted.
The Organizer controls the design, size, and placement of all event materials, signage, and digital content.
Benefits are tied to the event listed and cannot be transferred to another business or event without written approval.
If the Organizer is unable to deliver a listed benefit, it will provide a benefit of comparable value. This replacement is the sponsor's sole remedy for a missed benefit.
The Organizer does not guarantee any specific attendance, sales, leads, or media coverage.
4. Fees and Payment
Sponsorship fees are due in full by [deadline] unless a payment plan is approved in writing.
If a payment plan is approved, a deposit of [__]% is due at confirmation, with the balance due by [deadline].
Benefits will not begin until payment (or the approved deposit) is received. Sponsorships not paid by the deadline may be released.
Returned payments or chargebacks may incur a $[amount] fee.
In-kind sponsorships (goods or services in place of cash) must be approved in writing, with the agreed value and delivery date documented in the Sponsorship Package.
5. Cancellations and Refunds
If you cancel:
90 or more days before the event: refund of fees paid minus a $1,000 processing fee, and minus the value of any benefits already delivered.
Fewer than 90 days before the event: no refund.
All cancellations must be sent in writing to info@yourcommunity-events.com.
If we cancel: If the Organizer cancels the event for reasons within its control, sponsors will receive a refund of fees paid, minus the value of any benefits already delivered (such as pre-event marketing). If the event is cancelled, postponed, shortened, or relocated for reasons outside the Organizer's control (see Section 10), refunds are not guaranteed. The Organizer may, at its discretion, offer a credit toward a future event.
6. Logos, Trademarks, and Marketing
Sponsors must provide high-resolution logos (vector or PNG preferred), brand guidelines, and approved business descriptions up to 30 days after the contract is signed.
Sponsors grant the Organizer a non-exclusive, royalty-free license to use the Sponsor Marks to promote the event in print, digital, social media, signage, and press materials during the sponsorship term and for event recaps afterward.
Sponsors confirm they own or have the right to use all Sponsor Marks and materials they provide.
Sponsors may use the event name and Your Community Event LLC logo only to promote their sponsorship of the event, and only in a form approved by the Organizer. Sponsors may not imply that the Organizer endorses their products or services.
Either party may request removal of its marks from future materials after the sponsorship ends. Materials already printed or published do not need to be recalled.
The Organizer may photograph or record the event, including sponsor booths, signage, and representatives, and may use those images to promote current and future events.
7. On-Site Activation
This section applies to sponsors with a booth, display, sampling, or other on-site presence.
Booth or activation locations are assigned by the Organizer. Requests are considered but not guaranteed.
Sponsors must check in and be set up by the time stated in the sponsor packet, stay within their assigned space, and keep walkways and emergency lanes clear.
Activations must be staffed for the full event hours unless the Organizer approves otherwise.
Amplified sound, generators, open flames, drones, giveaways of food or beverages, and alcohol require prior written approval.
Sponsors must leave their space clean and remove all materials by the teardown deadline. A cleanup fee may be charged if a space is left dirty or damaged.
Sponsors may distribute materials or collect contact information only within their own space, and must follow applicable privacy laws when collecting guest data.
8. Conduct and Compliance
Sponsors and their representatives must treat guests, vendors, volunteers, and staff with courtesy and respect. Harassment, aggressive sales tactics, or disruptive behavior will not be tolerated.
Sponsors must hold all licenses and permits required for their on-site activities, including any food handling or sampling permits.
Sponsors must follow all instructions from the Organizer, venue staff, fire officials, and law enforcement.
Sponsor materials and activities must be appropriate for a family-friendly community event. The Organizer may remove any material it deems unsuitable.
9. Insurance, Liability, and Indemnification
Sponsors with an on-site activation must carry general liability insurance of at least $[1,000,000] per occurrence, naming Your Community Event LLC (and the venue, if required) as additional insured. A certificate of insurance is due by [deadline].
Sponsors are solely responsible for their own property, equipment, and materials. The Organizer is not responsible for loss, theft, or damage of any kind.
Sponsors agree to indemnify, defend, and hold harmless Your Community Event LLC, its owners, staff, volunteers, other sponsors, and venue partners from any claims, losses, or expenses arising from the sponsor's participation, activation, products, or Sponsor Marks, except where caused by the Organizer's gross negligence.
The Organizer's total liability to a sponsor will not exceed the sponsorship fees paid by that sponsor for the event.
10. Events Outside Our Control
Events take place rain or shine. The Organizer may delay, shorten, relocate, or cancel an event due to severe weather, natural disasters, government orders, venue issues, public health concerns, or other circumstances beyond its control. In these cases, refunds are not guaranteed (see Section 5), and the Organizer is not liable for benefits that could not be delivered.
11. Termination
The Organizer may end a sponsorship and remove a sponsor's marks and activation, without refund, if the sponsor violates these terms, fails to pay, engages in conduct that harms the event or the Organizer's reputation, or becomes the subject of public controversy that conflicts with the event's community values.
12. General Provisions
These terms are governed by the laws of the State of Florida. Any dispute will be handled in the county where the event takes place.
The Organizer may update these terms. The version in effect when you apply applies to that event.
If any part of these terms is found unenforceable, the rest remains in effect.
These terms, together with your application and Sponsorship Package, are the complete agreement between the sponsor and the Organizer. Any changes must be in writing and approved by both parties.
