The sponsorship fee for the Ultimate Answer Sponsor tier is $5000. Payment is due upon execution of the sponsorship agreement. Payment must be received by BayCon 42 by the specified deadline to secure the tier. Failure to remit payment by the deadline may result in cancellation of the sponsorship slot without refund of any partial amounts paid.
Sponsorship Benefits
The Ultimate Answer Sponsor will receive the following benefits: prime signage placement in key convention areas (signage and materials to be provided by the sponsor); prominent logo placement on step-and-repeat banners at both the Main Stage and the Chaos Stage; top-tier logo visibility on the BayCon 42 website, digital marketing channels, and in the official printed program; sole co-branding of every non-VIP attendee lanyard; access to exclusive sponsor receptions and networking events; allocation of four VIP badges and eight full weekend badges; and opportunities for customized brand integration, such as sponsored programming or on-site product demonstrations.
BayCon 42 reserves the right to modify the delivery of these benefits if required due to operational or logistical constraints. Sponsors will be notified of any necessary changes.
Branding Assets and Artwork
The sponsor is responsible for providing all required artwork and branding materials in the specified digital format by the deadline set by BayCon 42. All artwork must meet the technical and quality specifications provided by BayCon. The sponsor affirms that all submitted materials are either owned by or properly licensed to them, and grants BayCon a non-exclusive, royalty-free license to use these assets during the event and for promotional purposes related to BayCon 42.
Exclusivity and Usage Rights
The Ultimate Answer Sponsor tier is exclusive. BayCon 42 will not offer comparable sponsorship benefits within the same event category or space to any other sponsor.
The sponsor retains all intellectual property rights to their submitted materials. BayCon 42 may use images, video, or other media in which the sponsor’s branding appears for promotional use across print and digital channels.
Cancellation and Refunds
Once the sponsorship agreement is signed and payment is received, cancellations by the sponsor are non-refundable. If BayCon 42 cancels the event for any reason not related to a breach of these terms, the sponsor will receive a full refund. If a force majeure event, such as a natural disaster or government restriction, prevents the event from taking place, the sponsor will be entitled to a prorated refund or a credit toward a future event, at BayCon’s discretion.
Liability and Indemnification
The sponsor agrees that BayCon 42 shall not be held liable for any indirect, incidental, or consequential damages resulting from participation in the event. The sponsor agrees to indemnify and hold harmless BayCon 42, its affiliates, and their officers and staff from any claims, damages, or costs resulting from the sponsor’s participation, materials, or actions during the event.
Force Majeure
BayCon 42 shall not be held responsible for any failure to fulfill obligations under these terms due to events beyond its control, including but not limited to acts of nature, war, or government regulation.
Amendments
These terms and conditions may only be amended through a written agreement signed by authorized representatives of both the sponsor and BayCon 42.
Governing Law
This agreement shall be governed by and interpreted according to the laws of the State of California. Any disputes shall be resolved in the appropriate legal jurisdiction.
