1. Eligibility: Sponsors must align with the mission and values of HIV Alliance, including support for LGBTQ2SIA+ equality and inclusion.
2. Payment Terms: Sponsorship fees must be paid in full by May 16, 2025 to be included in print marketing. Failure to pay may result in cancellation of sponsorship benefits.
3. Use of Branding: Sponsors are permitted to use the HIV Alliance logo for approved promotional purposes. All materials must be pre-approved by event organizers.
4. Event Participation: Sponsors are encouraged to actively engage in the event through booths, banners, or other agreed-upon contributions as specified in their sponsorship package.
5. Cancellations: Sponsors must notify organizers in writing if they need to cancel their sponsorship. Refunds may be issued at the discretion of the event committee and are subject to a cancellation fee.
6. Conduct: Sponsors and their representatives must uphold a respectful and inclusive environment at all times. Any behavior deemed inappropriate may result in removal from the event without refund.
7. Liability: HIV Alliance and its organizers are not responsible for any loss, damage, or injury incurred during the event.
8. Changes to the Event: HIV Alliance reserves the right to modify the event schedule, venue, or format. Sponsors will be notified of any significant changes.
9. Exclusive Rights: Certain sponsorship tiers may include exclusivity clauses. Please refer to your package details for specific terms.
10. Agreement Acceptance: By submitting this sponsorship application, the sponsor agrees to these terms and conditions and acknowledges that failure to comply may result in termination of sponsorship benefits.
