Join MOSAIC at Chatham Park for a fun, kid-and-pet-friendly Trunk-or-Treat event! This participation application is open for those interested in setting up a trunk or table and engaging with the community during the Moonlight Movie Series.
Event Date: October 30, 2026
Trunk-or-Treat: 6:00 PM – 7:00 PM
Hocus Pocus 2: 7:00 PM – 9:00 PM
Location: 367 Freedom Parkway, Pittsboro, NC 27312
Trunk-or-Treat Participant Arrival: Vendors must arrive by 5:15 PM for setup.
Vehicle Participation: Participants bringing a vehicle must commit to staying for the entire event, which runs from 6:00 PM to 9:00 PM for Trunk-or-Treat and the screening of Hocus Pocus 2. Additionally, entry into the Trunk-or-Treat staging area requires a valid, free Moonlight Movie vehicle ticket. To get your event ticket, visit https://www.eventeny.com/events/ticket/?id=21524.
style="text-decoration:underline;">Table Participation: If you are hosting a table for Trunk-or-Treat without a vehicle because you need to leave prior to the 7:00 pm movie showing of Hocus Pocus 2, you do not need a Moonlight Movie vehicle ticket. To protect walking families and keep moving cars away from the event space, please park in the open lot at 367 Freedom Pkwy and walk your table, decorations, and candy directly next door to Lot O. Bringing a wagon or caddy is highly recommended to make transporting your items quick and easy.
Electricity: Please note that there is no power outlets and cords provided on-site.

All distributed items must be commercially pre-packaged and individually wrapped. Non-candy alternatives (stickers, small toys, glow sticks, dog/cat treats) are strongly encouraged for inclusivity!

Welcome to the 2026 Moonlight Movie Series Trunk-or-Treat + Hocus Pocus 2! We are thrilled to have you join us as a Trunk-or-Treat participant this year. To ensure a safe, organized, and successful experience for all participants and attendees, please carefully review the guidelines, policies, and operational details outlined below.
Application, Registration & Selection
Application Deadline: All Trunk-or-Treat participants must complete and submit their official application form by October 18, 2026.
Vehicle Participation: Participants bringing a vehicle must commit to staying for the entire event, which runs from 6:00 PM to 9:00 PM for Trunk-or-Treat and the screening of Hocus Pocus 2. Table Participation:If you are hosting a table for Trunk-or-Treat without a vehicle because you need to leave prior to the 7:00 pm movie showing of Hocus Pocus 2, you do not need a Moonlight Movie vehicle ticket. Approval & Communications: Applicants will receive notification of their application status and any future communication from event organizers through Eventeny, which will also be shared via the email address on file.
Event Setup, Operations & Vehicle Guidelines
Event Set-Up Instructions & Details: Complete load-in instructions, parking assignments, site maps, and event day contacts will be emailed to all approved participants by Friday, October 23, 2026.
Arrival & Setup: Vehicle & table staging begins at 4:00 PM. All vehicles & tables must be fully decorated and ready by 5:50 PM. For safety reasons, late arrivals after 5:50 PM will not be permitted to drive into the Trunk-or-Treat & Hocus Pocus 2, Lot O area once foot traffic begins.
Tear-Down & Departure: Vehicle decoration removal and table breakdown are strictly prohibited prior to 7:00 PM. For the safety of all event attendees and families, all parked vehicles within the Trunk-or-Treat and Hocus Pocus 2 screening area (Lot O) must remain stationary for the entire duration of the event. Participants with table-only setups are not permitted to drive a vehicle into the screening area (Lot O) to load their items; instead, all materials must be manually carried over to the designated vehicle parking area at 367 Freedom Pkwy.
Decorations & Themes: Displays should be family-friendly, engaging, and appropriate for all ages (please refrain from excessively gruesome or graphic horror themes). Decorations must be safely secured to your vehicle to withstand wind or weather.
Treat Distribution Requirements: Vendors are expected to provide enough treats for an estimated 200–400 children.

Health, Safety & Food Regulations
Cleanliness & Sanitation: Vendors are responsible for maintaining a clean, hazard-free area around their vehicle throughout the event. All trash, packaging, and personal belongings must be packed out or disposed of in designated trash receptacles upon departures.
Homemade Goods & Food Policy: Participants may not serve or distribute homemade food, baked goods, or unsealed treats to event attendees under any circumstances.
Health Department Compliance: Any vendor offering open food or hot beverages must possess and display proper permits and receive explicit written approval from MOSAIC Events LLC and the Chatham County Public Health Department prior to the event.
Code of Conduct & Event Standards
Professionalism: All vendors, representatives, and volunteers must conduct themselves courteously, professionally, and in a family-friendly manner at all times.
Staff Authority: To ensure a smooth event flow, vendors must follow all instructions given by MOSAIC events staff, security personnel, and local law enforcement officers. Non-compliance may result in immediate removal from the event venue.
Liability, Insurance & Indemnification
Indemnification: By participating in the 2026 Moonlight Movie Series Trunk-or-Treat, participants agree to defend, indemnify, and hold harmless MOSAIC Events LLC, the MOSAIC Master Owners Association, their event staff, sponsors, investors, and property owners from any claims, damages, losses, injuries, or liabilities arising from or related to participation in the event. MOSAIC Events LLC and event organizers are not responsible for lost, stolen, or damaged personal property, vehicles, or decorations during load-in, event operations, or load-out.
Weather Policy
Inclement Weather Plan: On the day of the event, between 10 am - 2 pm, we will review the weather forecast (Funflicks utilizes www.weather.com to review an hour-by-hour forecast based on our local zip code, 27312) and coordinate with Funflicks to make a decision to confirm, postpone or cancel the event. To postpone/cancel the event, the forecast must show a 40% or higher chance of rain or winds of 15+ mph for the period starting two hours before, during, and two hours after the scheduled event. If the chance of rain is less than 40%, the event organizer and Funflicks will mutually discuss whether to proceed or postpone the event.
Notification Window: In the event of severe weather, updates regarding postponement or cancellation will be sent via email and Eventeny by 2 pm on the day of the event at the latest. If you do not hear from the event organizer with a weather update by 2 pm, the event is still scheduled as planned.
Electricity & Sound Restrictions
Electricity Availability: Power outlets and cords will not be provided by the venue. Vendors needing power for decorations or lighting must supply their own self-contained power sources (e.g., portable power banks, battery-operated lights). No generators are allowed.
Audio & Music Restrictions: Personal sound systems, music, or sound effects at individual trunks and tables are permitted during setup and the trunk-or-treat portion of the event, provided the volume is kept at a reasonable level. All trunk-or-treat participant audio must be completely shut off 15 minutes prior to the movie screening (7 pm) to not interfere with the main event audio.
Media Notice
Photography, Audio + Videography Notice: MOSAIC at Chatham Park's Event Series is being documented through photography, audio and video recording. By entering the event premises, you consent to photography, audio, video recording and its/their release, publication, exhibition, or reproduction to be used for news, web casts, promotional purposes, telecasts, advertising, inclusion on websites, social media, or any other purpose by MOSAIC at Chatham Park and its affiliates and representatives.You release MOSAIC at Chatham Park, its officers and employees, and each and all persons involved from any liability connected with the taking, recording, digitizing, or publication and use of interviews, photographs, computer images, video and/or sound recordings. By entering the event premises, you waive all rights you may have to any claims for payment or royalties in connection with any use, exhibition, streaming, web casting, televising, or other publication of these materials.
Prohibited Items & Activities
Prohibited Items: To maintain a safe, family-friendly atmosphere, the following are strictly prohibited at vendor stations:
- Open flames, pyrotechnics, fireworks, or candles (LED/battery lights only).
- Weapons, real or realistic-looking prop firearms.
- Tobacco, vaping, or illegal substances.
- Sales or solicitation of unapproved non-event items
Emergency & Medical Procedures
Emergency Notification: In the event of a lost child, medical emergency, or security issue, report immediately to a MOSAIC events staff member wearing official event attire, located at the entrance of Lot O.
