Calvert City Christmas Bazaar

The Calvert City Christmas Bazaar is one of the region's favorite holiday shopping events, bringing together more than 100 arts and craft vendors across four convenient locations throughout Calvert City.

Join us on Saturday, December 5, from 9:00 AM to 4:00 PM to shop unique handmade gifts, holiday décor, seasonal treats, and more.

Vendor setup will be available Friday, December 4, from 12:00 PM to 8:00 PM and Saturday, December 5, from 7:00 AM to 8:30 AM.

Vendors may indicate their preferred location during registration; however, final booth assignments will be determined by the event coordinator based on event layout and space availability.

Vendor locations include the Calvert City Civic Center, Altona Baptist Church, Calvert City United Methodist Church, and Calvert City First Baptist Church.

1. Registration & Payment:

• Vendor registration is not complete until payment has been received.
• Booth fees are non-refundable unless the event is canceled by the organizer.
• Registration is non-transferable without prior approval from the event coordinator.

2. Booth Assignments:

• Vendors may request a preferred location during registration.
• Final booth assignments are at the sole discretion of the event coordinator.
• Booth locations may be adjusted at any time if necessary for the overall success of the event.

3. Setup & Tear Down:

• Setup is available: Friday, December 4: 12:00 PM – 8:00 PM
• Saturday, December 5: 7:00 AM – 8:30 AM
• All booths must be fully set up by 8:30 AM on December 5.
• Vendors must remain open until 4:00 PM. Early tear-down is not permitted without approval from the event coordinator.
• Booth spaces must be cleaned before departure. Vendors are responsible for removing all trash and merchandise.

4. Merchandise:

• The event is intended for arts, crafts, handmade items, specialty foods, boutique items, and similar merchandise.
• The event coordinator reserves the right to decline any application or require the removal of merchandise deemed inappropriate or inconsistent with the event.
• NO controversial items may be sold. 

5. Booth Appearance:

• Vendors are expected to maintain a clean, attractive, and professional booth throughout the event.
• Tables should be neatly covered, and merchandise displayed safely.

6. Electricity:

• Electricity is limited and available only in designated booths.
• Vendors requiring electricity must request it during registration.
• Vendors are responsible for providing their own heavy-duty extension cords and power strips.

7. Insurance & Liability

• Vendors assume all responsibility for their products, displays, equipment, and personal property.
• The City of Calvert City, participating churches, Calvert Area Development Association, volunteers, sponsors, and event staff are not responsible for loss, theft, damage, accidents, or injuries occurring before, during, or after the event.
• Vendors are required to carry liability insurance.

8. Compliance:

• Vendors are responsible for complying with all applicable local, state, and federal laws, including Kentucky sales tax requirements.
• Food vendors must comply with all Marshall County Health Department regulations and obtain any required permits.

9. Conduct:

• Vendors are expected to conduct themselves professionally and treat customers, volunteers, and fellow vendors with courtesy and respect.
• Disruptive, abusive, or unsafe behavior may result in immediate removal without refund.

10. Weather:

• The Christmas Bazaar is a rain, snow, or shine event unless hazardous conditions require cancellation.
• No refunds will be issued due to weather-related attendance or sales.

11. Photography:

By participating, vendors grant the Calvert Area Development Association permission to photograph or video their booth and products for promotional purposes without compensation.

12. Cancellation:

• If a vendor cancels after registration, booth fees are non-refundable.
• If the event is canceled due to circumstances beyond the organizer's control (including severe weather, natural disasters, or other emergencies), refunds are not guaranteed.

13. Event Authority:

The event coordinator reserves the right to interpret these rules, make exceptions when necessary, relocate booths, and make decisions in the best interest of the event. All decisions of the event coordinator are final.
