By submitting a volunteer application for City of Oaks Comic Book Odyssey (COCO), you acknowledge and agree to the following terms and conditions:
1. Volunteer Status
Volunteers are not employees of COCO and are not entitled to wages, benefits, or compensation. Volunteer positions are unpaid and are intended to support event operations.
2. Application & Placement
Submitting a volunteer application does not guarantee placement. Volunteer assignments are based on event needs, availability, and role preferences. Volunteers who are able to commit to two or more shifts may be given scheduling priority.
3. Schedule Commitment
If selected, volunteers are expected to arrive on time for their assigned shifts and fulfill the full shift commitment. For certain opening or operationally critical positions, volunteers may be asked to arrive up to 15 minutes before the scheduled shift start time. Volunteers will be notified in advance if early arrival is required for a specific role or shift.
Volunteers who are unable to attend a scheduled shift must notify the Volunteer Coordinator as soon as possible.
4. Conduct & Event Protocol
Volunteers are expected to act in a professional, respectful, and welcoming manner at all times. Volunteers must follow event rules, safety procedures, and instructions from event staff, department leads, and the Volunteer Coordinator.
COCO reserves the right to reassign or dismiss any volunteer whose behavior is disruptive, unsafe, or not in alignment with event expectations.
5. Guest Privacy & Interaction
Volunteers must respect the privacy of guest artists, special guests, and speakers at all times. Volunteers may not request autographs, photos, or personal interactions with guests while on duty or while representing COCO as a volunteer.
Volunteers who wish to obtain an autograph or photo may do so only when off duty, acting as a paid attendee, and following the same procedures, pricing, and line requirements as all other attendees. Volunteers may not use their volunteer status to bypass lines, request special access, or receive complimentary interactions with guests.
6. Confidentiality & Representation
Volunteers may have access to non-public information related to event operations, guests, or staff. This information must be kept confidential. Volunteers may not represent themselves as official spokespeople for COCO.
7. Media & Photography
Volunteers may be photographed or recorded during the event. By volunteering, you grant COCO permission to use photos or recordings that may include your likeness for promotional or documentation purposes.
8. Assumption of Risk
Volunteering at COCO may involve standing for extended periods, lifting light materials, or working in crowded environments. Volunteers acknowledge and accept these risks and agree to participate at their own discretion.
9. Changes & Cancellations
COCO reserves the right to adjust volunteer roles, schedules, or assignments as needed due to operational changes. In the event of event modification or cancellation, volunteer shifts may also be adjusted or canceled.
