Terms & Conditions

Booth Regulations: 
  1. If vendors would like a tent, they must supply their own freestanding white 10 x 10 tent 
  2.  All tents MUST be weighted on each leg with appropriate tent bags or weights. You will be asked to take your tent down if you do not have the appropriate weights on each leg. NO EXCEPTIONS.
  3. Tent legs may not be staked into the pavement. 
  4. No amplified sound is permitted to be coming from any booth. 
  5. No overstock merchandise may be stored on sidewalks.  Sidewalks must stay clear for pedestrians and emergency personnel.
  6. No open flames at booths.
RULES/REGULATIONS
  1. The May Day Festival requires vendors to be present and available during Festival hours. 
  2. Vendors must remain at the Festival site until the planned end of the Festival. Vendors who break down and leave early compromise their standing with the Festival and may forfeit their ability to exhibit at future Festivals.
  3. Vendors and their agents, associates, and assistants should maintain high standards of professionalism. Festival organizers reserve the right to remove an exhibitor whose conduct and/or merchandise are unacceptable and whose participation conflicts with the rules and regulations. Vendors whose conduct is unacceptable will forfeit their ability to exhibit at future Festivals. Festival management reserves the right to engage local Law Enforcement if deemed necessary
  4. No offensive, racial, sexual, provocative or drug-related merchandise or literature shall be displayed, sold, or distributed.
  5. Vendors participate in the May Day Festival at their own risk and assume responsibility for maintaining liability insurance that covers any damages or losses during the Festival.
  6. Vendors are responsible for collecting, reporting, and paying all required state and local sales taxes.
    1. Tennessee sales tax is 9.25%.
    2. The vendors which have sales & use tax numbers can pay their taxes for the event through their regular filing period, i.e., monthly, quarterly, or yearly.
    3. Vendors who do not have tax numbers may download a tax form from www.tn.gov/revenue to use for filing payments.
7. Vendors must have all required permits and/or licenses prior to the start of Festival day. Examples include plant/nursery licenses and licensed kitchens for processed foods. Vendors of certified organically grown produce must have a copy of the current organic certification. Vendors who fail to comply with applicable state, federal and local regulations may be subject to removal from the festival and forfeiture of booth space rental fees.
8. In the event of heavy rain or other severe weather conditions, the scheduled May Day Festival may be suspended. The decision to postpone the event is left solely up to the discretion of the Directors of the May Day Festival. If this occurs, we will try to reschedule for May 7th, 2023. If severe weather continues into May 7th, 2023, the May Day Festival will be canceled.  No refunds will be provided due to issues beyond the estival’s control, such as weather.  
 
The Festival Director reserves the right to close any booth not adhering to these rules and regulations.
 
 
The following is needed when accepted to participate in our event: 
A check or electronic payment to cover your booth fee.   
A separate check for $100 will serve as your cleaning deposit.  When you leave your space clean, we will return your check. Checks will be returned after the property managers have a chance to inspect the property the following week.
A copy of your insurance certificate listing a single limit liability of not less than $_1_ million, and general aggregate liability of not less than $_2_ million. Auto liability with a combined single limit not less than $ _1_million, and Umbrella/Excess Liability of not less than $_3_million. Capitol View JV-E, Capitol View JV-D, Boyle Investment Company, and Boyle Nashville, LLC shall be named as an additional insured of said policy. Certificate Holder will be Boyle Nashville, LLC 2000 Meridian Blvd, Suite 250 Franklin, TN 37067.

Level 3 vendor $500 Non-refundable -Space in our vendor village at the most centralized location -Preapproval of assigned location prior to the release of the Vendor Map. After the initial assignment of booth space, if there is a space that would be ideal for the vendor's business, there will be a discussion on how to best accommodate the desired location. -1 combined social media post announcing all of our vendors -1 personal social media highlight -Day of coverage on socials - listed on Vendor Map
